Applications tab: Hire Details section

The Hire Details section in a Candidate Profile's Applications tab includes all sent, in-progress, and/or completed forms by the candidate or uploaded for/from the candidate.
Section logic
- Security measures are available to put in place to ensure that candidate documents are more secure. Click here to learn more about these measures and the experience that occurs when it is applied.
- When uploaded W4 Documents are opened from the Candidate Profile, details can be viewed and edited or removed, but any changes will not be saved to the candidate’s originally-submitted form.
- If display text is added to a form, it will not appear in the Hire Details section of the Candidate Profile when previewing the form. If you download the form, then this file will show the display text.
- The system automatically manages document versions. When a new version is completed, it replaces the previous one in the Files section. Previous versions are automatically archived and can be viewed using the document preview functionality.

FORMS REQUIRING MULTIPLE AUDIENCES (e.g., candidate and hiring manager): The document will remain in an Incomplete status until all required fields by all assigned recipients are submitted. Even if one party completes their section, the form is not considered complete until all required parties have submitted. An Incomplete tag was introduced to make this status more visible in the system, especially in the All Files view.
- Note: If you see a completed timestamp but the file is marked incomplete, check if all required audiences have submitted their sections.
Add forms
You can add additional forms at any time by selecting + Add in the top right corner of this section and then, in the modal that opens, entering a name for the file, uploading the file, and then selecting Add.
- Note: Depending on how your account is configured, you may see a drop-down menu first with the option to Upload Document for users or Complete Form for employees.
Files subsection
The Files subsection within Hire Details provides a view of a candidate's most recent document activity. This section only displays when a candidate has at least one completed document. All documents are displayed in reverse chronological order, with the newest documents listed first.
Logic to note:
- Only the four most recently completed documents are visible in this subsection.
- For multi-recipient documents, a document is complete once all designated recipients have completed their required portions.
View files
To view one of the files in this section, click the preferred file. To view a file that is not immediately displayed, select View All Files to open the All Files modal that contains the candidate’s entire document history. From here, you can search for files, upload files, filter by file type, or sort by Latest Activity or Alphabetical.
File actions
When viewing files in preview mode, a …More button will display in the top right corner that allows you to complete the following actions:
- Mark as sensitive content – This will blur the content of this document for you and/or other users. Click here to learn more about blurring content.
- Download – This will allow you to download the document.
- Delete – This will allow you to delete the document.
Pinned files
You may notice pinned files in each candidate's Files section. These were pinned by your Company/Account Admin, allowing you and your team to easily view the most relevant hiring documents for a candidate. View in-progress forms
Users with access to Candidate Profiles can view candidate in-progress forms from this section. Click here to learn more.
Download candidate forms & uploaded documents/fillable PDFs
You have the ability to download forms and documents individually or all at once. This allows you and your team to download files in the preferred format and as the need arises. Click here to learn more.
Ad hoc employee forms
Users can complete an employee form from the Candidate Profile at any point in the hiring process to provide the hiring team more insights into the candidate and aid in the final hiring decision-making process. Click here to learn more.
