    The Employee Dashboard allows employees to easily access tasks that were sent to them to complete as well as interact with your AI Assistant through Employee Q&A.


    Configuration

    Landing page based on permissions

    The Employee Dashboard is the default landing page, but it can be overwritten by the homepage selection in Roles and Permissions.

     

     

    Employees with login access

    A user’s permissions will determine where they land when logging in to the system. If a user has login access and:

    • No access to the Candidate Inbox but full or view access to Employees, then the Employee Dashboard will open when they log in to the CEM.
    • Full or view access to the Candidate Inbox and full or view access to Employees, then the Candidate Inbox will open when they log in to the CEM.
    • Full or view access to the Candidate Inbox but no access to Employees, then the Candidate Inbox will open when they log in to the CEM.

    Employees without login access

    If an employee doesn’t have login access:

    • But has full or view access to the Employees permission, then they will go through a verification process in order to access the Employee Dashboard.
    • And no access to the Employee Dashboard, then they will be directed to a landing site to respond to a communication.

    Additional logic

    • If an employee doesn’t have login access and the Employee Dashboard toggle is off, then employees will go through a verification process and then land on the basic user portal hiring hub (current logic).
    • When an employee is assigned to a user role that does not have login access but has access to the Employee Dashboard, then the All Apps button will be hidden from this user.

    Employee Dashboard

    When an employee opens the Employee Dashboard, it will include the following sections:

    • Employee Tasks
    • Assistant Chat
    • Care section (Managers only)

    Employee Task section

    The Employee Task section displays all communications that have been sent to the employee that have not been viewed and/or responded to when a response is needed. The left-most task card in this section will be the most recent communication sent to the employee while the right-most will be the oldest communication sent

    Card indicators

    • New tag – All communication tasks that have been sent out will display a New tag in the top right corner of the widget the first time you see it on the Employee Dashboard. This tag will remain for 24 hours, at which time it will be removed.
    • Paused tag – Communication tasks that were paused will display a Paused tag.
    • Delivery channel – The delivery channel used to send the communication will display within the card for easy review. Only communications that require a response will display in the Employee Dashboard.
      • Notes:
        • While email communications that require a response can only be completed on the dashboard, SMS communications can be completed either directly on the employee's phone or from this dashboard.
        • Employees who attempt to respond to a communication via email will be redirected to the Employee Dashboard where they can complete it.
        • When an employee receives a communication via SMS but goes to their dashboard to complete the communication, everything that was sent to the employee via SMS will appear in the Assistant Chat section.
        • Completing communications sent via SMS will be synced between the Employee Dashboard and the user’s phone.

    Complete tasks

    To complete a task, simply select Chat with Olivia in a task card. The communication will then display within the Assistant Chat section. Respond to the communication via this chat.

    The task will then be marked as complete and removed from the Employee Tasks section. When all tasks are completed, a confetti animation will display within the dashboard.

    Communication Delays: There will be a high chance communications sent to employees will include a delay. When an employee has opened a communication that has content with a delay after it and:

    • There is not a required response, it will be inserted into the Assistant Chat section and marked as complete.
    • There is a required response, it will be inserted into the chat, and the moment that the employee responds, it will be marked as complete. After this first content is completed and the delay has been met to receive the next content piece, a new task will be present on their Employee Dashboard.
     

    Communications with only a message included that are sent via email only will not display as a task on the Employee Dashboard. Click here to learn more.

     

     

    Finish later (pause communication)

    When an employee decides that they would like to finish a task at a later time, they can pause a communication in one of two ways:

    1. Select the Finish Later button that replaces the Chat with Olivia button in the task card.
    2. Navigate to another app.

    This will pause the communication and display a Paused tag on its corresponding task card along with the content preview of the place they stopped at in the communication.

    Continue a paused communication

    When an employee decides to resume a paused communication, the employee will be able to select the Continue button listed within the task card. If the communication has no previous context associated with that communication, then the entire communication and the employee’s responses will display in the chat. If there was a previous chat history around the communication, then the last content that the employee left off on will display in the chat.

    Assistant Chat section

    The Assistant Chat section will support:

    1. All Employee Q&A-related questions (if the CMS and Employee Care are enabled for the account) in the following contexts:
      • When the communication task is either paused or completed.
      • At the start of the conversation when the employee has not started a task.
    2. Employees completing their communication, regardless of its delivery method (SMS or email)
      • Note: This process is outlined in the previous section.

    Employee Care section

    When a manager’s employees ask the client’s AI Assistant Employee Q&A questions that they are unable to answer, then an Unknown Topic card will be added to the Employee Care section of the Employee Dashboard with the employee’s name and question as well as the date when that question was asked. The manager will have the ability to either select Dismiss to remove the card or Review to open the employee’s profile where the manager can respond to the question.

    Either dismissing or answering the candidate will mark the Unknown Care topic as complete and remove it from this section.

    The Unknown Care topic will be archived seven days after it was initially added to make sure that the most up-to-date questions are present within this section.

     

     

    Multiple managers in one location

    When multiple managers are on the same team, each manager will have access to their own Employee Care section that includes the same Unknown Topic cards. If a manager reviews and dismisses a topic, the topic will remain on the other managers' dashboards so that they can open and respond, if preferred. However, if a manager responds to an employee, the other managers will not have that topic display in their Employee Care section.

    Manager changes teams

    There will be cases where a manager either moves teams, gets promoted, or leaves the company. In these cases, the manager that switched teams will no longer have access to the Unknown Topic cards of their old team and will now only have access to the new Unknown Topic cards from their new team.


    Celebrations

    When the system detects that it is the employee's birthday, the moment the employee opens their dashboard, a Happy Birthday! text will display at the top of their dashboard along with a confetti animation on the screen.


    Direct 1:1 messaging (email communication)

    When a manager receives an email notification that their employee has messaged them, they will be able to select Respond to Message from the email and respond to the employe from the landing page that opens.


    Dashboard impersonation limitations

    When an employee impersonates another employee, and they are on the impersonated Employee Dashboard, all tasks, Unknown Topics (Employee Care section), and the Assistant Chat will be read only.

    FAQs

    What happens if an employee refreshes their browser in the middle of completing a communication from the Employee Dashboard?

    When an employee is in the middle of a task and they either refresh the page or close the browser and open up the dashboard, the task will remain in progress.

     
     

    What happens when an employee has multiple tabs of the Employee Dashboard open? Will completed tasks be synced across tabs?

    Yes! If at some point an employee decides that they would like to open up multiple tabs of the Employee Dashboard, each tab will be synchronized with one another.
