System Attributes is a data architecture solution that hosts relevant information in regards to the candidate, job, event, location, campus, and interview feedback – essentially, any product or feature that requires data storage. There are two types of attributes within the account:
- Standard System Attributes are common data points that are repeatable and relevant across accounts, solutions, etc.
- Custom System Attributes are custom data points that are specific to your solution and are, therefore, unique to your account.
Almost, if not all, System Attributes can be used as tokens in the system, or placeholders where information is dynamically populated based on the type used (event, conversation, candidate, job, location, etc.) and where that information is stored. This documentation reviews the different available attributes and how to use them in the system.
Create and manage attributes
Only your CS Representative can create and manage System Attributes on your account, which ensures a higher level of security around managing your account's datapoints. Please contact them for assistance.
Tie attributes to system features and automations
When managing your account, you are able to tie System Attributes to various system features and automations, including forms and workflows. Doing so allows valuable data to be stored in the system and used where applicable, such as a job description or job offer.
Your CS Representative will configure most of System Attribute fields for you during implementation, but if you are making any adjustments to your current setup, you can find information on the System Attributes fields within the corresponding documentation pages. If you have any lingering questions, we encourage you to contact your Company/Account Admin for guidance.
Attribute options
The following are attribute options available in the system:
-
Candidate Attributes – Candidate Attributes are relevant data values that can be found about a candidate on their Candidate Profile.
- Profile-Level Attributes – These attributes ensure that any candidates/applications associated with a profile ID will have the same data stored on all profiles/applications. Profile-level data values will be updated each time a new application is associated with a profile, ensuring that the profile contains the most up-to-date and accurate candidate data.
- Job Attributes – These attributes link job data to separate system areas so that you can use job data for relevant searches, targets, triggers, and actions. If you are utilizing Job Search, then you will have access to Job Attributes.
- Location Attributes – These attributes store relevant location details.
- Event Attributes – These attributes are data points related to specific events and can be tied to both hiring events and orientation events. While these attributes are helpful in tracking candidate data, this information is not added to a Candidate Profile.
- Interview Feedback Attributes – These attributes are a part of the Candidate Interview Feedback feature and can be assigned to your interview feedback questions.
Attribute storage options
-
List-select enabled attributes – This allows a list selector to display for System Attributes so that attribute data is stored better. This is helpful in preventing any incorrect data values entered by the candidate or employee and will ensure the most accurate information persists anywhere that the attribute is configured. These can be created by your CS Representative or Company/Account Admin and used in the following system products/features:
- Jobs
- Job Data Packages
- Forms
- Conversation Builder
- Workflows
-
Masked or encrypted attributes – This prevents certain data from displaying to users (including your CS Representative) in the CEM and ensures the privacy and security of candidate data for information that is important to request but not relevant for your team to know while hiring. This includes but is not limited to their Social Security Number, race, or banking information. However, these attributes can be viewed with the right permissions. Click here to learn more.
-
Mask – This will prevent the attribute from being displayed within the Candidate Inbox and will display all asterisks when a value is present.
- Examples: race and gender.
-
Encrypt – This will only show asterisks in the UI, have encrypted values in the database, and will be masked when using the public API when pulling Candidate Attribute values.
- Examples: Social Security Number, banking information, and sensitive information that venders should not have free access to view
-
Mask – This will prevent the attribute from being displayed within the Candidate Inbox and will display all asterisks when a value is present.
