Move a candidate to a new job with Conversational ATS
Table of Contents
If your account utilizes an Conversational ATS and the Manual Candidate Mobility feature, follow the below process to assign a new job to a candidate.
Assign a candidate to a new job
- Ensure you are in the Candidate Inbox.
- Open the preferred candidate’s profile.
- Click the More button and then select the Move to Job action in the drop-down menu.
- In the slide-out drawer that opens, the candidate’s current job and application history will display. From the Location selector, update the job’s current location if necessary.
- Note: All available locations are those created in Location Management.
- Select the job associated with the selected location from the Job selector. All active jobs will be displayed in this selector.
-
Notes:
- If enabled, then closed jobs will also be displayed in this selector.
- If the selected job has no matching conversation, then an error state will display with an error message indicating that there is no conversation configured on the Job Posting site.
-
Notes:
- The Candidate Journey Status selector will then become functional and allow you to select the status that the candidate should move to.
-
Notes:
- There are different statuses shown depending on whether the Candidate Journey of the new job is the same or different from the current job. More logic on this selector is explained below.
- Job statuses may be limited when using this feature based on what was determined by your Company/Account Admin during configuration.
-
Notes:
- The Invitation Message will display the default messaging created for moving a candidate to a new job. This message can be manually edited on the fly or it can be updated in Assistant Messaging by your CS Representative.
- Click Move Candidate, and your AI Assistant will invite the candidate to apply to the new job.
Candidate Profile changes
Once updated, the following will occur:
- A milestone will be added to the candidate’s conversation noting the change.
- The candidate will be associated with both jobs under the Applications tab regardless of whether they were dispositioned from the previous job or not. While this will occur, if you do not have access to a job, then it will display as read only in the multi-application selector.
The candidate’s attributes will remain on their profile when moved to another job.
Paradox Jobs: Candidate Journey status logic
When a candidate is moved to a different job, there are different statuses shown depending on whether the Candidate Journey of the new job is the same or different from the current job. Because of this, the logic for this selector is as follows:
-
The new job has the same Journey as the current application.
- The drop-down selector will include an invite to apply or screen option.
- All possible next steps, including the status that the candidate is currently in, will be included.
- The outcomes for the new job’s Journey will also be displayed as options in this drop-down selector.
- Any duplicates across outcomes or statuses will be removed.
-
The new job has a different Journey as the current application.
- The candidate is put into the Capture Complete status for the new job.
- The outcome statuses that are configured on the new job will be included.
- A user can only move a candidate to the Send Offer status of another job when they have access to both the existing job and the new job.
- A status will not display if disabled for a Journey’s status.
-
Disposition Logic:
-
The candidate is dispositioned from the current job and moved to a new job with the same Journey.
- The status that the candidate was in before they were dispositioned will display by default along with all of the statuses and their next steps listed after that status.
- The outcomes for the new Journey will display.
-
The candidate is dispositioned from the current job and moved to a new job with a different Journey.
- The candidate is put into the Capture Complete status for the new job.
- The outcomes for the new Candidate Journey will display.
-
The candidate is dispositioned from the current job and moved to a new job with the same Journey.
Send message logic
- The first message will be sent to the candidate.
- The second message will be the messaging or action set for the workflow that is assigned to the candidate’s new status.
-
WhatsApp Logic:
- If the candidate is in a session, send both messages.
- If the second message has a mapped approved template, send both messages.
- Otherwise, the first message will send along with the Continue message, which states:
”A recruiter at #company-name would like to continue the conversation. Is it okay if they send you another message?”
Additional logic
The following reviews additional logic tied to this feature and its use with other features:
- Workflows: When a candidate is moved to another job, then the candidate should automatically be moved to the Capture Complete stage and will not automatically trigger any set workflows. Rather, the system will prioritize the Invite to Apply / Move to Job action.
