Q&A was built to answer the most frequently asked questions from candidates and employees to improve both the candidate/user experience and save recruiters time in fielding questions. Through the power of NLP, your AI Assistant has been trained on tens of thousands of phrases to address candidates’ questions about an organization and its recruitment process.

Q&A is built on a knowledge base of over 500 answers to properly address any questions candidates might have during the recruitment process while also customized to fit your employment brand messaging. In addition to this, enabling the Knowledge Training Library can help your AI Assistant more easily and directly address the most up-to-date questions about your company in a contextual AI response.

    System component impacts

    Q&A + Events

In order to best support our Conversational Events product, your AI Assistant was trained on to handle the most frequently asked questions from event attendees so that they can send the appropriate event information to candidates when requested.

Candidate Q&A can be utilized by a candidate while in the Scheduling stage for either Hiring Events or Orientation Events. If a candidate asks a question while in a pending event invitation status, then your AI Assistant will answer the candidate and then send the reprompt message set for after the Candidate Q&A message.

    Inquiry Detection + Q&A

Inquiry Detection allows your AI Assistant to answer a candidate’s question while they are in the middle of Capture (answering their name and contact questions, but not during screening) or a pending interview request. This feature is turned on once Candidate Q&A is ready to go live and has been published in your account.

When this feature is available, the Candidate Q&A knowledge base will also include state-level responses to provide more contextually relevant responses during the Capture and interview request stages of the conversation.

    Covid app + Q&A

The Covid-19 knowledge base was built for teams who want to address questions related to coronavirus. Similar to an event's Candidate Q&A, these bucketed list of intents will be added at the bottom of a Candidate Q&A knowledge base. Once enabled in Client Setup, the custom NLP app built for Candidate Q&A Covid-19 will be automatically connected to the knowledge base.

    Trucking + Candidate Q&A

Trucking Q&A was built for teams to answer questions specifically about truck driver recruiting, routes, CDL’s and other trucking related questions our standard knowledge base wouldn’t be able to address. Once enabled in Client Setup, the custom NLP app built for this will be automatically connected to the knowledge base.

    Geo-targeting + Q&A

Your AI Assistant will read the IP address of the candidate and give the appropriate KB responses based on their location (country or state).

    To enable this,

    1. Create a knowledge base file.
    2. Name it the country name as it is listed in CEM.
      • Example: If the CEM uses “United States,” the sheet must use “United States” not US, USA, etc.
    3. Navigate to CEM.
    4. Select All Apps in the top left corner of the header and then Settings in its drop-down menu.
    5. When the Settings page opens, select Web Management under the Platform section.
    6. Open the preferred site/page from the left panel.
    7. Toggle on Geographic Targeting.
    8. Add countries where the widget will be seen in the open text field that appears below this enabled setting.
    9. Select Save & Finish.

    States messaging + Q&A

Candidate Q&A states allow for different responses depending on what state the candidate is in regarding the conversation/process. This is why you see the same intents repeated in a knowledge base sheet.

    1. Capture states
      • Introduction
      • Phone Number
      • Email
    2. Schedule states
      • Schedule Pending
      • Schedule Confirmed
      • Schedule Complete
      • Schedule Canceled

    Permissions

By default, only Paradox Admins, Company/Account Admins, and Franchise Owners have full access to the Content Management System permission. Certain child permissions, including those listed below, are not automatically granted to customer user roles:

    • AI Assistant – The ability to create and manage your AI Assistant's persona.
    • Knowledge Base Publishing – The ability to publish edited Candidate Q&A and/or Employee Q&A lists.
    • Assist Responses – The ability to manage your Assistant's responses in regards to Q&A questions about the candidate's needs, your assistant, help input, and more.

    FAQs

Why is it important to put the company name into Client Setup > Q&A > Company Alias?

Putting your company's name into Company Alias allows our NLP to recognize that a candidate is talking about "'your/this company." Meaning that if a candidate were to say "What are Red Apple's benefits", our NLP might get confused and think they are talking about a actual red apple. Putting “Red Apple” into the Company Alias field will allow our NLP to recognize "red apple" = "this company" and will match intents better.

How can you test Candidate Q&A before going live?

Only use sample phrases and questions from the knowledge base to test Candidate Q&A – that is what the system has been trained to recognize. If you need to find these sample phrases and questions, refer to a KB Plan or CMS.
