    Next steps provide teams with the ability to determine what actions a user can take on a candidate when the candidate is in specific statuses.


    Use cases

    • When your team wants to define the actions (or next steps) that users can take when candidates reach a specific status within their journey.
      • Example: When candidates reach the Application Complete status, the client wants their recruiters themselves to decide whether to send the candidate a job offer or move the candidate to a Disposition status. 

    Important logic

    Any user below the Company/Account Admin level will need to have Next Steps enabled in order to disposition a candidate. Only Company Admins have the option of seeing the More Options menu in the candidate’s status.

    If a status does not have Next Steps created and they are not a Company Admin, the system will not allow a manual status change.


    Configuration

    Step #1: Enable this feature.

    Step #2: Create next steps

    Next Step descriptions are required for the following statuses:

    • Interview Pending (for all Scheduling and Round Robin stages)
    • Interview In-Progress (for all Scheduling and Round Robin stages)
    • Hiring Event Invitation Pending
    • Event Interview In-Progress
     

    Users will need access to the status associated with the Next Step button. Ensure to update either stage or status permissions, accordingly.

     

    In using next steps, your team can determine what actions a user can take on a candidate when the candidate is in specific statuses. On each journey status, the set of actions can be configured.

    1. Select the All Apps button in the top left corner of the header and then Settings in its drop-down menu.
    2. When the Settings page opens, select Journeys under the Automation section.
    3. Open the preferred journey.
    4. Select the preferred stage and status from the left panel.
    5. Scroll down to the Next Step section.
    6. Enter in a description that will display to the user when candidates are in this status. The description should describe what status the candidate is currently in and help guide the user to their next actions.
    7. Scroll down to the Next Step Buttons section.
    8. Select the + Add Next Step Button under the Configuration tab.
    9. A slide-out drawer will then open. Enter a name for the button.
    10. Select + Select Status.
    11. Select the status(es) that should be available when this button is clicked.
    12. Click Apply in the bottom right corner of the menu.
    13. Select Save in the bottom right corner of the drawer.
    14. Repeat steps #8-13 for all of this stage’s next steps buttons.
      • Note: You can add up to 5 buttons.
    15. To reorder buttons, simply click, drag, and drop the multi-dot icon to the left of a button.
    16. Preview the user experience by clicking the Preview tab in this section.
    17. Ensure to toggle on Highlight this step as Action Needed for employees above the Next Step section in order to highlight this step as needing attention in the Action Needed folder.
    18. Select Save Changes.
    19. Repeat these steps for all necessary statuses.
    20. Select Publish Journey in the bottom of the left panel.

    Edit or delete a next step configuration

    Navigate to the preferred stage’s status and scroll down to the Next Steps section. Within the Configuration tab, hover over the preferred next step option, click its action menu, and then select either Edit or Delete.

    Complete the preferred action and ensure to save and publish the journey.

    FAQs

    Can next steps be used to move candidates into the Orientation Event stage? 

    Yes! Employees will have access to moving candidates into this stage from the Candidate Profile.
