    Schedule a single interview

    Manually scheduling individual interviews can be carried out within the scheduling drawer. The settings that display within this drawer will vary depending on the account's configuration.


    Schedule a single interview

    Access to this functionality is based on user permissions. Contact your Company/Account Admin or CS Representative if you need this access.

    1. Ensure you are viewing the Candidate Inbox.
    2. Navigate to the preferred candidate's profile.
    3. Select the More button and then Schedule from its drop-down menu.
    4. If you do not have recorded interviews enabled for your account, then you will open directly to the scheduling drawer. Update the Interview Type. 
      • Note: For in-person interviews, a user will also have to select a physical location from the drop-down selector that appears when it is selected. If Room Booking is enabled and rooms have been added, the user can then select a room as well.

    If you have scheduling templates, you can use them within the manual scheduling drawer in the Candidate Inbox. You can learn how to use scheduling templates at the Scheduling Templates article.

     
    1. Update the Interview Duration, if needed. Options include:
      • 15 minutes
      • 20 minutes
      • 30 minutes
      • 45 minutes
      • 1 hour
      • 1 hour 30 minutes
      • 2 hours
        • Note: You have the ability to make a custom time, which can only be set in 5 minute increments. If a user types in a time outside of the 5 minute increment, your AI Assistant will automatically round the duration to the closest 5 minute increment.
    2. Add the Interviewer(s) that have the correct permissions for the job/location.

    Interviewer Selector: When scheduling an in-person interview, only users who have permission for the interview location will appear as selectable interviewers. If a user does not have the required location permission, they will not be available to add as an interviewer for that location. Please ensure the user has the appropriate location permissions in Roles and Permissions if they need to be assigned as an interviewer for in-person interviews.

     
    1. When two or more interviewers are added to an interview, then a Required pill will display next to each of their names. If relevant, select this pill to mark an interviewer as Optional, meaning that your AI Assistant will not check their OIT when scheduling the interview but will still send them the interview invitation.       • Note: At least one interviewer is required for each interview. The last required interviewer cannot be marked as Optional.

    Requisition-Based Permissions Note: Any interviewers added to a requisition after scheduling takes place will be updated on the job and receive the corresponding workflow communications (when configured).

     
    1. Add Interview Instructions that will be shared with the candidate, if preferred. These are shown to the candidate in a few different places.
      • Text message (when engaging with your AI Assistant through SMS)
      • Email invite (for both the candidate and the interviewer)
      • Calendar invite (in the interview details)
    2. Select Schedule to schedule the interview.
