    Automation stages can be added to journeys in order to support more complex journeys. These stages will allow the candidate to move through additional processes alongside their Candidate Journey without having their status updated.

    Automations that are created within a Candidate Journey can then be applied to one or more workflows in order to trigger a workflow task without updating the candidate’s status. It is important to note that these automations will occur automatically and will not be shown in a stage’s Next Steps box.

     

    It is important to note that Automation Stages can only be used with integrations at this time.

     

    Use cases

    • When a company utilizes background check integrations while candidates complete necessary Candidate Journey tasks, such as their Onboarding Form(s). Once the candidate's background check is completed, an Automation stage triggers associated communications to the candidate or users regarding the candidate’s background check eligibility without updating their Candidate Journey status.

    Configuration

    Step #1: Create Automation stages in Journeys

    1. Select the All Apps button in the top left corner of the header and then Settings in its drop-down menu.
    2. When the Settings page opens, select Journeys in the Automation section.
    3. Open the desired System Journey.
    4. When the journey opens, select + Add Stage in the bottom of the left panel.
    5. Enter a name for the stage in the modal that opens.
    6. Select Automation as the Stage Type.
    7. Enter a name for the trigger.
    8. Click Add. The Automation stage will then open.
      • Note: Automation stages will then be listed under all other selected Journey Stages in the left panel.
    9. Select + Add Trigger to add additional triggers for this status.
    10. Select Save Changes.
    11. Repeat these steps for all necessary statuses.
    12. Click Publish Journey in the bottom of the left panel.

    Manage Automation stages

    Within the Automation stage, you can complete the following actions:

    1. Rename Journey – Select the pencil icon next to the journey's title to rename it.
    2. Rename Stage – Select the pencil icon next to the stage name to rename it.
    3. Reorder Triggers – Select the settings icon next to the Save Changes button and then Reorder Triggers to update the order in which the triggers are displayed.
    4. Delete Automation – Select the settings icon next to the Save Changes button and then Delete Automation to delete this stage from your journey.
    5. Delete Trigger – Select the trash can icon to the right of the trigger you want to remove.
    6. Add Trigger – Select the + Add Trigger button to add additional triggers.

    Step #2: Add Automation triggers to workflows

    You can add an Automation stage to a workflow by completing the steps below:

    1. Select the All Apps button in the top left corner of the header and then Settings in its drop-down menu.
    2. When the Settings page opens, select Workflows under the Automation section.
    3. From the Workflows page, click into the desired workflow.
    4. Either open an existing task or add a new task by clicking the + Add Task box.
    5. Within the selected workflow task, you can add an Automation stage in one of two ways:
      1. Move to Status task – You can set the task to move a candidate from a set status to a set trigger. This will automatically move the candidate to the task set up for that trigger.
      2. Candidate Status Updated selector – Select a trigger from the Candidate Status Updated selector and then choose an action that will be completed once the candidate is moved into this trigger.
    6. Build out your workflow to include the necessary triggers and their associated actions.
      • Note: Automation stages can only be used with integrations.
    7. Select the Publish button.
