    Interview statuses provide available actions to users that can be utilized for workflows to assist in automations. It is important to note though that the system will prioritize any integration flow over this logic.


    Interview In-Progress status

    The Interview In-Progress status is the status that a candidate moves into when their interview begins. The following actions will be available for users when candidates are in this status:

    • Interview Complete – This overrides the current system logic and marks the status as complete. Moving a candidate to this status will allow you to access the preconfigured Candidate Journey statuses and their actions.
      • Important Notes:
        • If marked as Completed before it’s designated time, then the time of the interview will end at the next closest 5 minute mark (e.g. 10:13 → 10:15), and the system will then allow mark the rest of the time as available for scheduling.
        • For sequential interviews, selecting this action will mark both completed and uncompleted interviews as Completed. For example, if a candidate has completed 2 out of 3 interviews, then clicking this action will mark all 3 as Completed. Pending sequential interviews will have this action disabled.
    • Reschedule –  This will allow you to reschedule the interview from the Reschedule Interview slide-out drawer.
    • Cancel Interview – This will allow you to cancel the interview and review and edit the cancellation message sent to the candidate.

    Interview In-Progress → Interview Complete logic

    After an interview has started, the candidate’s status will be updated to Interview Complete at the time the interview is set to end even if they were manually moved out of the Interview In-Progress status to a new status.

    For example, if an interview ends early and the interviewer manually moves the candidate to an Interview Complete status and then to a Send Form status, when the duration of the scheduled interview time ends, the candidate will be moved to Interview Complete despite already having their status updated.


    Interview Pending status

    The Interview Pending status includes the following actions:

    • Edit Interview – This will allow you to edit the interview in the Edit Interview slide-out drawer.
    • Cancel Interview – This will allow you to cancel the interview and review and edit the cancellation message sent to the candidate.

    Status expiration logic

    • The expiration logic for candidates in the Interview Pending status is based on the interview request creation date, not the candidate creation date.
    • If the expiration timeframe (e.g., 30 days) is updated in the configuration, only interview requests created after the change will follow the new expiration logic. Existing interview requests created before the change will not be affected.
      • Note: To confirm the logic, test with a new candidate and verify that their interview request expires after the configured period.

    Customize dropdown messaging

    The copy provided in each status’s dropdown menu can be customized to better meet your team’s needs. To do this, users with full access to Assistant Messaging can complete the steps below:

    1. Select All Apps in the header and then Settings in its dropdown menu that opens.
    2. When the Settings page opens, select System Journeys under Automation.
    3. Open the preferred journey. 
    4. Open the journey’s Interview Stage to view all statuses.
    5. Navigate to the Interview In-Progress status.
    6. Edit the copy and/or the button names.
      • Note: Buttons cannot be added to this drop-down menu, and the correlated status associated with each button will be locked.
    7. Save the updates made.
    8. Navigate to the Interview Pending status.
    9. Edit the copy and/or the button names.
      • Note: Buttons cannot be added to this dropdown menu, and the correlated status associated with each button will be locked.
    10. Save the updates made.
    11. Publish the Candidate Journey to finalize the changes.

    FAQs

    Why did the candidate move back to an Interview Complete status when I already manually moved them to another status?

    This is system logic currently. At the time that the interview was supposed to end, the candidate will return to the Interview Complete status regardless of the status you/the client moved them into before their interview duration was completed.
