Event invitations, RSVPs, and other notifications

This guide walks through how to send event invitations, manager your RSVP status, and other event notifications.
Send event invitations via campaigns

- Note: If a candidate is already registered for an event via event invitation and then is manually scheduled for another event, that first event's registration will be canceled for that candidate.
If you do not have Campaigns enabled for your account, then candidates can register for an event via their conversation with your AI Assistant or through manual scheduling.
User invitation email communications

When a user is added to an event, they will receive an invitation to the event.
- Note: The invitation is the same for both managers and ambassadors. The copy within the invitations can be customized by your CS Representative.
Manage your RSVP
You can manage your event RSVP from two places:
- The invitation email notification
- The event homepage
Invitation email notification
Accept invitation

From the invitation email notification, you can accept your RSVP by clicking the Going button. When the Going button is clicked, a new tab will open with the following pop-up confirming your RSVP.
Decline invitation

From the invitation email notification, you can decline your RSVP by clicking the Not Going button. When the Not Going button is clicked, a new tab will open with the following pop-up confirming your RSVP.
Invitation timeout

If the user clicks on either the Going or Not Going button and the event has already passed, a new tab will open with a This Event Has Ended pop-up.
Event homepage

On the event homepage, the RSVP card will display your most up-to-date RSVP status. By clicking the Pending status, then you can update your RSVP. Statuses will be listed as the following:
- Pending – The user has not accepted nor declined their RSVP for the event.
- Going – The user has accepted the RSVP.
- Not Going – The user has declined the RSVP. When the user clicks Not Going, a decline event invitation confirmation modal will display.
Event list view

You can update your RSVP from the Upcoming Events list view. Once an event has passed, your RSVP will not display within the Past Events list.

Pending notifications
- If the your RSVP status for an event is Pending, you will receive a pending invite reminder at the following times:
- 24 hours after the invite was sent
- 48 hours after the invite was sent
- 1 week after the invite was sent
- If the your RSVP status for an event is Pending, you will receive a pending invite reminder at the following times:
- When you respond to your event invitation, all event managers on the event will receive a notification that states your RSVP response.

- If your RSVP status for an event is Going, you will receive an upcoming event notification at the following times:
- 24 hours before the start of the event
- 48 hours before the start of the event
- 1 week before the start of the event
- If your RSVP status for an event is Going, you will receive an upcoming event notification at the following times:

Pending notifications

Candidate notifications:
- General hiring event alert notification: If the candidate is registered and scheduled to an interview for the event, they will receive a notification 24 hours and 1 hour before interview time.
- Virtual hiring event alert notification: If the candidate is registered to the event, they will receive a notification 48 hours, 24 hours, 1 hour before, and immediately at the start of the event.
- Orientation event alert notification: If the candidate is scheduled to an orientation event, then they will receive a notification 48 hours, 24 hours, and 1 hour before the event start time.
- Orientation event registration request notification: If the candidate was sent a registration request and did not select an event, they will receive a pending registration reminder 24 hours, 48 hours, and 72 hours after the initial auto-scheduling request.
