    Users can view and make edits to event messages on a per event basis. Users also have the option of creating an event messaging template that can be applied in place of existing default event messaging. This enhances both the candidate and user experiences by providing more relevant information to all attendees.

    Use cases

    • Event managers who want to edit the notifications that users and candidates are sent for a specific event so that the information related to only this event is sent to event attendees without editing the default messaging.
    • Event managers who want to see the notifications that are customized at a top level to determine which communications need further customization.
    • Candidates and event attendees who want to receive notifications for events that are specifically tailored to the event.

    Configuration

    Step #1: Ensure settings are enabled

    Contact your CS Representative to make sure that the correct settings are enabled for your account.

    Step #2: Create event messaging templates (optional)

    You have the option to create specific event messaging templates to reflect the communications you want to send out for an event type. Otherwise, event managers will be able to manually edit the default messages sent out for events. 

    To create a template that can be selected and used repetitively, 

    1. Navigate to the CMS.
    2. Open the Templates section.
    3. Create a new messaging template.
    4. Select Hiring Events as the Template Available In option.

    You cannot use messaging templates for the Calendar Invitation Description.

     

     

    Step #3: Add event messaging templates to event or event template

    All default event messaging will be available to edit manually or replace with a hiring event messaging template. Either action can be completed from the Tools section of the Event Builder or Event Template Builder. 

    1. Navigate to the Events page.
    2. Open the preferred event or event template.
    3. Navigate to the Tools section.
    4. Click the Event Notification Customization tool within the Pre-Event Tools list.
    5. All default communications will display in the order that they will be sent to the candidate or user. Click into any message section and then the preferred message.
      • Note: Messaging templates are not available in the Calendar Invitation Description.


         
    6. The message will display in a slide-out drawer. From here, you can complete one or more of the following actions:
      • (Optional) Select an event messaging template, if preferred. 
      • Update the messages listed.
      • Reset the message to its default copy.


         
    7. Multilingual messages. If Multilingual is enabled for your account and:
      1. You are creating a new event or event template, then users cannot view any new translations from the English messaging until the event/template is created and/or saved.
      2. You are editing an existing event or event template, then a multilingual icon will display next to the updated message’s communication method. When you are finished editing this message(s), click this icon to automatically apply translations to the other languages configured for this message. A confirmation modal will then open where you will confirm that the updated message should be translated to other languages. Click Save Changes to finalize the changes made.


         
    8. Click Create Event or Save Event to finalize the changes made.

    The updated event messages will then be applied to the event or event template.


    Available messages to edit

    The following messages are available for users to edit in an event or event template, depending on how the event/template is configured:

    Candidate messages

    • Interview Confirmation – This will display if there are interview sessions created in the scheduled.
      • In-Person Interview
      • Phone Interview
      • Virtual Interview
      • Group Interview
    • Event Registration Confirmation – This will display if there are non-interview sessions created in the schedule.
      • Event Registration Confirmation
      • Send My Event Schedule
    • Pending Event Interview Reminders – This will display if there are interview sessions created in the scheduled.
      • 24 hours after initial request
      • 48 hours after initial request
      • 72 hours after initial request
    • No Event Interview Availability – This will display if there are interview sessions created in the scheduled.
      • No Event Interview Availability
    • Event Interview Reminders – This will display if there are interview sessions created in the schedule.
      • 24 hours before interview time
      • 1 hours before interview time
    • Upcoming Event Reminders – This will display if there are non-interview sessions created in the schedule.
      • 24 hours before start of event
      • 1 hours before start of event

    Employee messages

    • Event Invitation – This does not allow the use of messaging templates within the Calendar Invite Description.
      • Invitation to Event Managers
      • Invitation to Event Ambassadors
    • Pending Event Interview Reminders – This will display if there are interview sessions created in the scheduled.
      • 24 hours after initial request
      • 48 hours after initial request
      • 72 hours after initial request
    • Interview Confirmation – This will display if there are interview sessions created in the scheduled.
      • In-Person Interview
      • Phone Interview
      • Virtual Interview
      • Group Interview
    • Upcoming Event Reminders – This will display if there are non-interview sessions created in the schedule.
      • 24 hours before start of event
      • 1 hours before start of event
    • Event Canceled
      • Event Canceled

    Reset to default communications

    When a notification is edited, a Reset to default action will be available within Additional Settings to allow you to return the message back to its original wording. To do this, simply click Reset within this section and then save the drawer.

    It is important to note that users cannot save an empty message.
