    The Basic/Limited User Event portal will list all of the events that are assigned to you. From here, you can RSVP to an event, review event details, keep track of your interviews, and check in candidates.


    Event portal

    When the Event portal opens, it will open to the Events page where you can view any upcoming, past, and recurring events.

    1. Events panel – This panel lists the events based on their status/type. Clicking one will open its corresponding status/type of event in the Event list. Event statuses/types include:
      • Upcoming Events
      • Past Events
      • Recurring Events
    2. Event list – This list will display all of the events that fall under the event status/type selected from the Events panel.
    3. Search bar – This will search the Event list for the characters entered.
    4. View by – This will allow the user to view the list by month or view all events.
    5. List view – This will display the events in a list.
    6. Widget view – This will display the events in a widget form.
    7. RSVP – This is your RSVP response. This can be updated at any time leading up to the event from the Event panel or from the email notification that you receive for the event.
      • Note: Email notifications will be sent for an event 24 hours, 48 hours, and 1 week after the invite was sent until the RSVP status is updated.

    You can click into any section to view its corresponding event details.

    1. Dashboard – This is the default landing page when an event’s details are opened. From the dashboard, you can view the details of the event, the schedule, the number of engagements on the event site, your RSVP status, and the number of interviews/sessions already scheduled for the event.
    2. Roster/Candidates – This section will display two lists. Clicking into any listed candidate will open their Candidate Profile in a slide-out drawer. These lists include: 
      • My Candidates – This list is where you can view the candidates that are scheduled to meet with you.
      • All Candidates – This list is where you can view all candidates that are attending the event. 
    3. Schedule – This section will display two schedules that will allow you to review the candidates assigned to you and check them in at the time of the event. These schedules are:
      • My Event Schedule
      • Event Schedule
    4. Team – This section lists the team members who were invited to the event, their contact information, and their current RSVP status.

     

    Dashboard section

    From the Dashboard, you will be able to gather the most information about the event.

    1. Schedule – The next session for the event and a link to view the full schedule.
    2. Interviews/Sessions – The different interviews/sessions and, if applicable, the number of candidates who are scheduled for those interviews/sessions.
    3. Engagements – For hiring events, this is the number of times candidates have contacted your AI Assistant about the event or reviewed general event details on your event pages/sites. The link and QR code for the Event Landing page and Upcoming Event site can be copied from this widget. For orientation events, this will display the Event Q&A questions and their configurations only.
    4. RSVP – Your RSVP status. This can be updated at any time before the event.
    5. Event Registration – The date and time that registration ends and a progress bar that demonstrates the number of candidates scheduled compared to the maximum amount of interviews/sessions.
    6. Dates and times – The date(s) and time(s) of the event.
    7. Location – The location of the event.

    Candidates section

    The Candidates section includes two types of lists: My Candidates and All Candidates. When clicked, the sections will list out the candidates that are assigned to you for an interview/session and all candidates who signed up for the event, respectively.

    This section has the following columns:

    1. Name – The name of the candidate.
    2. Phone Number – The candidate’s phone number.
    3. Email – The candidate’s email address.
    4. Job Title – The job title that the candidate applied for. If jobs are disabled for your account, this will be blank.
    5. Requisition ID – The requisition ID tied to the job title. If jobs are disabled for your account, this will be blank.
    6. Group – The job group the candidate applied for, which only displays if jobs are disabled for your account.
    7. Location – The location of the event.
    8. Journey Status – The candidate’s current Journey status.
    9. Interviewer – The employee interviewing the candidate.
    10. Registered On – The date the candidate registered for the event.
    11. Apply On – The date the candidate applied to the job.
    12. Interview Date – The date of their interview/session.
    13. Interview/Event Session – The name of the interview/event session.
    14. Type & Time – The type and time frame for the interview/session. The type of interview will display as an icon and will list the interview type in a tooltip when you hover over it.
    15. Last Active – The last time the candidate was active in the CEM via their conversation with your AI Assistant.

    You can click a candidate’s row to open their Candidate Profile and review important information before you meet with them for their interview/session.

    Section actions

    Several actions can also be completed from these candidate listings. These actions can help you find candidates and/or view candidate information more efficiently.

    1. Filter view – This will filter the listing based on selected Job and Candidate data.
    2. Search bar – This will search the listing for the characters entered.
    3. Customize view – This will allow you to show/hide column headers and rearrange the columns as needed before saving the new view.
      • Hide a column – You can hide a column by clicking the blue eye icon.
      • Show a column – You can show a column by clicking the gray, crossed-out eye icon.
      • Rearrange a column – You can rearrange a column by clicking, dragging, and dropping its rearrange icon, or multi-dot icon, in the preferred order.
    4. Export data – This will allow you to export the table as a CSV, PDF, or XLSX file.

    Schedule section

    The Schedule section includes two types of schedules: My Event Schedule and Event Schedule. The My Event Schedule will open by default and display the scheduled and open interview/session times for the event day(s). The Event Schedule will display a breakdown of the event sessions and their details.

    My Event Schedule

    My Event Schedule will display open and scheduled interview/session times alongside a candidate listing, where the full name, job title, and check-in functionality will be listed.

    1. Schedule dates and times – This column will list your current event schedule for the event day(s) with both scheduled and open interview/session times. Scheduled times will include the candidate’s name and starting time for the interview/session.
    2. Candidate listing – This column will list all candidates and open interview/session times assigned to you. For scheduled time blocks, you can click the candidate’s name to open and view their Candidate Profile in a slide-out drawer. You can also check in a candidate to their interview/session by clicking the Check-in button next to their name.
    3. Add Candidate functionality – You can also add a candidate to the event by clicking the action menu, or ellipses, next to an Open Interview Time and then + Add Candidate in the dropdown menu that opens. This will open a slide-out drawer where you can enter in the candidate’s information.

    Event Schedule

    The Event Schedule will show a breakdown of the event sessions and their details.

    1. Schedule dates and times – This column will list the current event schedule for the event day(s) with session times.
    2. Event session – When clicked, this session type will reveal additional details about the session, including the time frame, location, and description.
    3. Interview session – When clicked, this session type will display a breakdown of all interview times within this session block and update this box to display the details of the session, the number candidates scheduled and checked in, and a listing of those candidates. Candidates can be checked in from this box.

    Team section

    The Team section lists the team members who were invited to the event and their RSVP status. From this section, users can also view contact information and the roles assigned to them at the event.
