    From Analytics & Reporting, you will be able to view and run reports for you and your team.


    Navigation

    To navigate to reports, first click the All Apps button in the top left corner of the screen and then Analytics under the Advanced section in its drop-down menu.

    From the Analytics & Reporting page, you will have the option to:

    • Review active/paused recurring reports, one-time reports.
    • Search through report history to find an older report/file.
    • Navigate to one of our product dashboards.
    • Create a new report.

    Create a legacy report

    Due to security restrictions, direct linking to resume documents (i.e., clickable resume links) from reports is not supported. The resume attribute value may appear in reports, but links will not be clickable and attempting to access them directly may result in an error. This is expected system behavior to protect candidate data and comply with security protocols. 

     
    1. Navigate to Analytics & Reporting.
    2. Open any reporting list.
    3. Select Create New Report in the top right corner above the list.

    Type section

    1. The Type section will then open. Select the report Category and Report.
      • Note: If you see a Run reports across all brands/accounts? checkbox, this means that your user role has been given permission to run parent level reports across your CEM accounts. Click here to learn more about parent level reporting.
    2. Select the Frequency of when this report will be ran. Options include:
      • One-Time – This is the most common option as the report will run immediately once the user clicks Finish and Send Now at the end of this process.
      • Daily – You are able to define at what time of the day (in 30 minute increments) the report should run on a daily schedule. 
      • Send Twice Per Week – You are able to select two days of the week and a specific time of the day to send the report. 
      • Send Weekly – Similar to the twice per week option, this option is where you can select a single day of the week and time of the day to send the report. 
      • Send Every 2 Weeks – Similar to the weekly option, this will let you select a day of the week and the report will send the report on that day and time every two weeks. 
      • Send Monthly – This option allows you to select the day of each month for the report to run and the time of the day. 

    Recurring logic of note:

    • If you want the report to pull the prior month's data, then it is recommended to set the schedule to the first day of the month and running at a very early time to best emulate the prior month.
    • Each of the recurring options will have a default behavior to look at data from the previous time frame.
      • For example, the Daily option will run the report at each specified day and time. It will look at data 24 hours prior to that report running. So if today is 12/15 and I have a daily report running each day at 8am EST, that means on 12/16 at 8am EST when the report runs it will look for all data from 12/15 8:01am EST to now.
     
    1. If you selected any option but the One-Time option, then the following fields will display. Update these fields, as needed:
      • When to send – This is the day of the week and time when the report should send for the designated Frequency option.
      • When to stop – This is when the report should stop running. Options include:
        • End on date – The final date that the report is ran.
          • Notes: 
            • Reports can only be recurring for a maximum of 3 years. 
            • All designated users will receive an email notification 1 year, 2 weeks, and 1 day before this report is set to expire to notify them of the end date and to provide them enough time to update this report's end date.
        • Remaining number of occurrences – The number of times this report should run.
      • Email this report, even if there are no records found – When selected, this will ensure that all designated users will receive an email on the designated dates and times, even if no data is found. By default, any recurring reports will have this option automatically selected. Deselect this field if you only want to receive a report email when your report finds certain criteria of data.
        • Note: This is mainly used on the reports that have filters enabled.
        • Use case for not receiving this email: A user who wants to set up a daily Candidate Detailed Scheduling report to look for any candidates with interviews at Location ABC where Interview Attendee = John Smith. With this option unchecked. they would only get this email if the report found something for that location and where that attendee was involved.
      • Schedule Start date (optional) – If you want the report to start being delivered on a future date, then select the preferred date.
    2. If you selected the One-Time option, then you may have the option to select a Date Range under the Category field. If so, then complete the steps below:
      1. Click into this field.
      2. Select the start and end dates for the report.
      3. Click Apply.
    3. Click Next in the top right corner of this section.

    Fields section

    1. View all of the available fields for this report.
    2. If relevant, you have the option to complete the following actions on these fields:
      1. Remove a field – You can remove a field by hovering over the preferred field and clicking its trash can icon that displays.
      2. Add a field – You can add a field after its been deleted by clicking into the Search available fields field and either selecting the field from the list or entering in the field name and selecting it from the filtered list.
        • Note: You cannot add fields to the report that do not already exist for the report. Reference the reporting documentation to find the available fields for each report.
      3. Edit a field name – You can edit a field's name by clicking the pencil icon next to it, editing the name, and then clicking outside of the edit field name box.
      4. Reorder fields – You can easily rearrange the order of fields by hovering over the preferred field, clicking its multi-dot icon, and then dragging and dropping the field to the preferred order.


         
    1. Click Next in the top right corner of this section.

    Filter section

    Only some reports will have the Filter section included.

     

    This section will allow you to filter the data that is returned on the report and view a preview of the report's top 5 results. Each field you can filter has different options depending on the type of field it is. Date fields will have options specific to a date value where other fields will have text/string as well as and/or options.

    When all filters are added, ensure to click the Next button in the top right corner of the section.

    Important Note: Paradox Reports have a maximum date range of 2 years when pulling a report.

     

    Relative options

    The Relative options let you define the dates before, on, or after a certain number of days. There are several Relative date operator options, which are outlined in the table below.

    Date Operator Description Example
    next X days This option will check the selected date and start from that date and ahead by the value entered.

    The report run date is January 5th, 2025, 1pm EST

    Candidate Scheduled Interview Date next 7 days

    will return all candidate’s with a scheduled interview date from

    1/5/2025 00:00:00 - 1/12/2025 23:59:59

    more than X days ago This option goes back x days in the past to set the start date/time range for this report filter and pulls all data from before that point in time.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date more than 7 days ago

    will return all candidate’s with a capture start date from

    12/30/2023 00:00:00 - 12/28/2024 23:59:59

    exactly X days ago This option will check the selected date and only pull for that specific day.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date exactly 2 days ago

    will return all candidate’s with a capture start date on

    1/3/2025 00:00:00 - 1/3/2025 23:59:59

    less than X days ago This option goes back x days in the past to set the start date/time range for this report filter and pulls all data from that point to the current date/time.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date less than 7 days ago

    will return all candidate’s with a capture start date from

    12/29/2024 00:00:00 - 1/5/2025 13:00:00

    Between X and X days ago This option allows users to generate a report with an uploaded time between a specific number of days. The maximum amount of days that a user can generate data from is 180 days.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date between 4 and 9 days ago

    will return all candidate’s with a capture start date from

    12/27/2024 00:00:00 - 01/01/2025 13:00:00

    exactly X days ahead

    This option will check the selected date and only pull for that specific day.

    • Note: This operator is only available for certain reports that are based on future dates like upcoming interviews and user interview availability reports.

    The report run date is January 5th, 2025, 1pm EST

    Scheduled Interview Date and Time exactly 7 days ahead

    will return all candidate’s with a scheduled interview date and time on

    1/12/2025 00:00:00 - 1/12/2025 23:59:59

    current day

    This option will check the selected date and only pull values from the current full day when the report was ran.

    • Note: This operator is only available for certain reports that are based on future dates like upcoming interviews and user interview availability reports.

    The report run date is January 5th, 2025, 1pm EST

    Scheduled Interview Date and Time current day

    will return all candidate’s with a scheduled interview date and time from 

    1/5/2025 00:00:00 - 1/5/2025 23:59:59

     

    Absolute options

    The Absolute options will allow you to return a value for a specific date. There are several Absolute date operator options, which are outlined in the table below.

    Date Operator Description Example
    after This option will only pull values with a date after the selected date. It is not inclusive of the selected date. So if I select January 3rd for this filter, it's going to start from January 4th and ahead.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date after 1/3/2025 (January 3rd, 2025)

    will return all candidate’s with a capture start date from

    1/4/2025 00:00:00 - 1/5/2025 13:00:00 (Report Run Date/Time)

    on This option only pulls values from the full selected day.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date on 1/5/2025 (January 5th, 2025)

    will return all candidate’s with a capture start date from

    1/5/2025 00:00:00 - 1/5/2025 13:00:00 (Report Run Date/Time)

    before This option pulls up to two years worth of data as the start date and up until the day before the selected date on the filter.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date before 1/3/2025 (January 3rd, 2025)

    will return all candidate’s with a capture start date from

    1/4/2025 00:00:00 - 1/2/2025 23:59:59

    between This option will pull any values for the selected date between the start and end date in the filter. These are inclusive.

    The report run date is January 5th, 2025, 1pm EST

    Capture Start Date between 1/3/2025 (January 3rd, 2025) and 1/5/22 (January 5th, 2025)

    will return all candidate’s with a capture start date from

    1/3/2025 00:00:00 - 1/5/2025 13:00:00 (Report Run Date/Time)

     

    Other fields

    Important Note: Paradox Reports have a maximum date range of 2 years when pulling a report.

     

    Text/String options

    For text/string fields like Candidate Name or Candidate Email, you will have the option to enter the specific text or string values that should be used for this filter. The following are available operator options.

    Filter Option Description
    is Using this option will look for an exact match of what you enter. So if I use the value “John Smith” for this filter, it will only return candidates that match that name exactly. A candidate with the name “John T. Smith” would not be returned in the results.
    is not The opposite of the “is” filter option. In the same value, if I use this filter option with the value “John Smith” the report will return all candidates that do not match that name exactly.
    starts with Using this option searches for records that start with the same value you entered. If I wanted to see all candidates' names that start with “Jo”, I would enter that and see candidates like John Smith, Johnson McGrand, and Joe Smart all be returned. A candidate named Fred Johnson would not be returned in this scenario.
    ends with Using this option searches for the records that end with the same value you entered. If I wanted to see all candidate names with the last name of “Smith”, I would enter just “Smith” and use this filter option.
    contains Using this option will look for a match of the entered value anywhere in the field value. If I searched using this option with the value of “John”, I would see records for John Smith and Fred Johnson.
    not contains Using this option will do the same as “contains” but the opposite. So if I used the value of “John” with this option, I would not see John Smith or Fred Johnson in my results since “John” is part of the values.
    is unknown Use this option if you want to filter when the field is blank and has no value.
    has any value Use this option if you want to filter if the field has any value with in and is not unknown/blank.

     

    And/Or options

    If you add two or more filters, you will see an and selector, that will allow you to select between and and or. This allows you to set more complex filtering options for your report.

    Delivery section

    Report data visibility is always based on the permissions of the user who ran the report and never the recipient permissions.

     
    1. When the Delivery section opens, review and update the name of the report, as needed, by clicking the pencil icon next to its name. This can be helpful when you are running similar reports and you need to sort them more easily.
      • Note: By default the client's name is added to the report's file name, but this can be excluded if needed by checking the Exclude Default Client Name from File Name box in the File Format section.
    2. Update any File Format options, as needed, to better serve you and the report recipients in their data analysis.
      1. Choose date/time stamp – By default, the file name will include the date range used within the report. The default format is in a MM-DD-YYYY format, but it can be updated, as needed. Available options include:
        • Default
        • MM-DD-YYYY (01-01-2020)
        • DD-MM-YYYY (01-01-2020)
        • YYYY-MM-DD (2021-01-01)
        • MMDDYYYY (01012020)
        • DDMMYYYY (01012020)
        • YYYYMMDD (20200101)
        • MMDDYYYYHHmmss (01012020083055)
        • DDMMYYYYHHmmss (01012020083055)
        • YYYYMMDDHHmmss (20200101083055)
        • Do Not Include Date/Time Stamp
      2. Choose format – The format of the report. By default, this will be set as CSV, but it can be updated, as needed. Available options include:
        • CSV (default) – This file format contains plain text values separated by commas. CSV files can be opened by any spreadsheet program and in a simple text editor. CSV files are only capable of storing a single sheet in a file, without any formatting and formulas.
        • XLSX – This is the file extension used for Microsoft Excel spreadsheets. XLSX files include formatting of fields such as URLs, email addresses, and removes leading zero issues.
        • PDF – This file format has a smaller number of total fields/columns. Since PDF has a set size, any report that has a larger number of fields will not show this as a file format option while building a report.
        • JSON – This file type is an open standard file format that requires less formatting of the data within it. This format is typically only be used by data teams.
      3. File Delivery Method – This is the delivery method used for the file. Available options include:
        • Direct File (default) – This option will send the report file in an email as an attachment. If the file size exceeds 20mb, it will automatically be included as a .zip file. 
          • Note: If this option is used and the report file exceeds a file size of 25mb, Paradox will automatically convert that report from Direct File to Download Link so it is still delivered.
        • Download Link – This option will send a download link via email to download the file directly to the user’s device. This link is active for 48 hours from the time of the email being delivered. This is useful for larger report files as well as any report that has more sensitive data in it.
        • SFTP – This option will allow the report to send data to the SFTP destination setup for your account. Click here to learn more about the SFTP connection.
          • Notes: 
            • This option is only available to Company/Account Admins and Reporting Users. Your CS Representative (Paradox Admin) also has access to create and manage SFTP connections.
            • There is another option only available to SFTP delivery option where you can force the file to not be compressed (into .zip file) while being delivered to the SFTP destination.
      4. Exclude Default Client Name from File Name – As mentioned step #12, by default, your company name will be included in the file name when it is sent out to the designated recipients. By checking this box, then your company name will not be included in the file name.
      5. Delimiter for CSV file – This is the character used to separate individual data fields within a row. Options include:
        • Semi-colon
        • Comma (default)
        • Tab
        • Space
        • Pipe
        • Quotation Mark
    3. Determine which users will receive this report. By default, you will be listed as a report recipient. Complete the following actions as needed:
      1. Add recipients – To add users who will receive this report, 
        1. Click the + Add Employees button in the Deliver to section.
        2. Select the preferred users.
          • Note: Only active system users will display in this list.
        3. Click Apply.


           
      2. Remove recipients –To remove previously added users, simply click the trash can icon next to their name in the Deliver to list.
    4. Click Next in the top right corner of the section.

    Summary section

    1. Review the summary details of the report. If anything needs to be updated, navigate back to the corresponding section and make your changes.
    2. Select Finish and Schedule to finalize and schedule your report.

    Warning: Report data visibility is always based on the permissions of the user who ran the report and never the recipient permissions.
