Conditional workflows expands the Workflows product from triggers based only upon candidate status change activity and adds in the ability to filter your workflows tasks and actions based on the additional candidate metadata stored via Candidate Attributes.
Use cases
Users who want to configure different actions to happen based on selective candidate data.
- Example:
- Workflow Task #1 is configured with the trigger Candidate Status Updated to Interview: Complete
- User can add a condition which where:
- Candidates where Candidate Attribute Area_of_Interest CONTAINS Product Manager
- Send survey called IT Candidate Feedback
- Candidates where Candidate Attribute Area_of_Interest CONTAINS Vice President
- Send survey called Leadership Feedback
- Candidates where Candidate Attribute Area_of_Interest CONTAINS Product Manager

Configuration
Workflows must be enabled for your account to use this feature. Contact your CS Representative if it is not already enabled for your account.
Add workflow conditions
You can add an Add Condition component to any pre-populated status in the workflow builder.
To add a condition, follow the steps below:
- On the workflow canvas, select the + button to add a new action.
- Select Add Condition from the action menu.
- In the Conditional Criteria drawer, enter the Condition Group Name. This is an organizational name for this set of conditional paths and does not need to be unique.
- Select + Add Condition to create a new conditional path.
You can add up to 20 conditional paths per group and up to two conditional groups per status.
- In the Build Condition Targeting Rules drawer that opens, enter in the Condition Name.
- Select your Targeting Rules, Matches, and Input options:

Targeting Rules: Select what aspects tied to the candidate will be targeted. Options include the following:
- Assigned Location
- Candidate Attributes (list)
- Job Attributes (list)
- Matches: Select a text operator to modify the statement (e.g., "Contains," "Exactly Matches," "Does not start with").
- Input: Enter a free-text input or select a value from a dropdown that reflects the attribute value the condition should target (i.e. Product Manager, Scottsdale, Has a college degree, etc. - the options are endless).

Targeting Rules: Select what aspects tied to the candidate will be targeted. Options include the following:
The system cannot compare a numerical value to an empty value.
- To create complex conditions, use the + AND or + OR statements, or select + Add Rule Set to create a new group of rules.
- After configuring the rules, select Save.
- In the Conditional Criteria slide-out drawer, select Save to save your progress.

To save time, you can also complete the following actions on your conditional paths:
- Edit
- Duplicate
- Delete
- Reorder
The system will not allow you to save a workflow with duplicate conditional paths. You must edit the criteria to make the new path unique.

After configuring your conditions, they display on the canvas in a tree-diagram structure, with each path appearing as a separate branch.
To add additional actions to conditional paths, follow the steps below:
- Under each conditional path, select the + button to add an action.
- Configure actions either in-line or in a separate drawer, depending on the complexity of the action.

Actions with simpler configurations, such as Move to Status, Use Integration, and Set Attribute Value, can be configured directly within the builder.
- Move to Status: A dropdown will display for you to select the new status.
- Use Integration: A dropdown will display for you to select the integration to run.
- Set Attribute Value: A dropdown will display for you to select the attribute, and a text input or dropdown will display to enter the value.
Configure actions in a drawer
Actions with more complex configurations, such as Send Communication, Request Survey, and Send Talent Community Opt-in, will open an additional editor drawer for configuration.
When you add one of these actions, the drawer will open automatically. After the initial configuration, you can select the action on the canvas to reopen the drawer and make edits.
Preview and publish
The conditional builder provides several features to help you review and validate your work.
- Default Condition: The builder automatically creates a default condition for candidates who do not match any of the configured rules. You can add actions to this path or disable it with the eye icon.
- Preview: Each conditional path will display a one-line preview of its criteria. If there are more than three lines, you can select Read More to expand the full criteria.
- Hover Text: On any field in the conditional builder, you can hover to view the full text in a tooltip.
- Validation: The system will display errors for incomplete configurations, such as a conditional path that does not have any actions added to it.
