    Configuration Step #1: Add location calendars in Client Setup Step #2: Update location calendar settings

    Location calendars must be added and assigned to locations in your account. Follow the steps below to set up your location calendars.


    Configuration

    Step #1: Add location calendars in Client Setup

    When a calendar is added, it will be added to all locations in your account.

     

    To add location calendars to the account, users with full access to Client Setup can follow the process outlined below.

    1. Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
    2. On the page that opens, select Client Setup under Paradox Tools.
    3. From the left panel of Client Setup, scroll down to and open the Scheduling section.
    4. Find the Add Location Calendars setting and select the Add Location Calendars button next to it.
    5. A modal will open. Enter the following information:
      • Calendar Name
      • Messaging Label
        • Note: Whatever is typed into the messaging label field will replace the #interviewer-name token anywhere it appears in communication with candidates.
      • Calendar ID (optional)
    6. Select Edit Availability and then Default Interview Times in the slide-out drawer that opens.
    7. Select Add.
    8. Save the page.

    Once a calendar is added, it will be added to all locations in the account.

    For example, if a calendar was created called “Electronics” in an account with 5 locations, it will create a calendar for each location. If a calendar is deleted in Client Setup, it will have the same effect and will delete the location calendar from all locations.

    • Note: A location calendar cannot be deleted if there are already candidates scheduled for interviews through the location calendar or if they are configured in any of the journey targeting flows.
     

    You can also set the interview preferences for all users that use this calendar. Interview Preferences can then be utilized when scheduling for a job. Learn more here.

     

    Step #2: Update location calendar settings

    The location calendar assigned to a location will always default to the first location calendar alphabetically. The location calendar is configured in the job’s journey or the journey targeting’s Scheduling section.

     

    Users who have access to a location will also have access to view and manage its calendar. 

    1. Select All Apps in the top left corner of the header and then Calendars from its drop-down menu.
    2. When your Calendars page opens, select the preferred location calendar from the left panel.
    3. When the calendar loads, select the action menu, or ellipses, in the upper-right corner of the page and then Calendar Settings from its drop-down menu.
    4. The Interview Settings section will then open. From this section, you can update its settings, as needed. Click here to learn more about interview settings.
    5. Click Save in the top right corner of the section.
    6. Select Integrated Solutions from the left panel to open its section. This is where you can connect to an external calendar and enter in an email address tied to this calendar. Click here to learn more about Integration Solutions.
    7. Click Save in the top right corner of the section.
