    If you have access, you can manage all of your calendar settings and configurations in one place by editing your Calendar Settings.

    Edit your calendar settings

    If you have access, you can manage all of your calendar settings and configurations in one place in the My Calendar/Calendars app.

    1. Click the All Apps button and then then My Calendar/Calendars app from its drop-down menu.
    2. In the upper-right corner of the calendar, select the three-dotted action menu of the calendar to access the drop-down menu.
    3. In the drop-down menu, select Calendar Settings.


       
    4. Configure the calendar settings according to preferences.
    5. After configuring your calendar settings, select the Save button in the upper-right corner.

    Interview settings

    This section allows you to edit your interview settings.

    • Timezone –  You can select your preferred timezone in the dropdown menu.

    Availability controls

    • Interview Limit – You can set a default interview limit that establishes the maximum number of interviews your calendar can have over a specific period of time.
    • Interview start time control – This allows yoy to set the intervals at which your availability is displayed to candidates. This helps to limit sporadic gaps in the user’s day by showing random interview times. 
    • When filling group interviews with multiple candidates – This allows you to select which group interviews to fill first with multiple candidates.

    Default interview preferences

    You can set up your default interview preferences that will populate into the scheduling request functionality when it is opened for a candidate. This works great for recruiters that complete a lot of similar interview requests on a regular basis.

    • Include me on the list of attendees for interviews I schedule – You can toggle this on to include yourself on the list of attendees for all interviews scheduled by yourself.
    • Default type – This is the default type of interview.

    The default interview type for scheduling will be the first selected default interview type in the What interview types should be available? selector. If no default interview types are selected, the first custom interview type in the list will be the default.

     
    • Default duration – This is the default duration of the interview.
    • Default interview location – This is the default location of the interview.
    • Default Interview Instructions – For each of the main interview types, users can add default interview instructions that will be auto-filled and added to the scheduling request by default. This is helpful for similar interview requests or giving basic instructions that will always apply for different interviews.
    • Busy Days, Vacations, and Holidays – Employees can manage their individual busy days that they do not want to be scheduled for interviews. If a user adds dates into this field, these dates will be removed from their recurring availability. 

    Integrated solutions

    Calendar connections and details

    This section allows you to edit your integrated calendar connections. 

    If you as the client do not have a global calendar authentication in place, users will be able to manually connect their individual calendars. For basic users that need to connect their calendar, an admin can share the link on this page for the user to connect their calendar.

    For full access users that are connecting their own calendar, they can choose the calendar service that they would like to integrate with from the following options:

    • Connect with Google
    • Outlook
    • Exchange
    • Zoom Calendar

    These buttons will take the users to an OAuth page for their calendar service where they can log in to their account. After choosing the account to connect, the calendar service will ask the users to approve the permissions that our calendar apps need to view the free/busy times on the user’s calendar. 

    Integrations

    If you have any integrations in the account, such as Zoom, you are able to connect and disconnect your accounts in this section.

    Calendar delegation

    This section allows you to manage your calendar delegations to other users or personal assistants.  

    • Personal assistant – You can set up a personal assistant to take action on their calendar for them. All communication that would be typically sent to the user when updates to their calendar are requested will instead be sent to the personal assistant that has been added in this field.
    • Alternate interviewer – If you set up an Alternate Interviewer and you decline an interview, your virtual AI assistant will automatically invite the alternate interviewer listed on the your profile and replace yourself in the attendee list.
    • Share Your Calendar – You can set permissions for who can view and manage your calendar. You can open either the Manage or View Only tab and then add users based on who they want to have access to their calendar.

    Only individual users can be added in Share Your Calendar. You can work with your CS Representative to add entire user roles.

     

    Location calendar settings

    You can also edit the Calendar Settings for any location calendar by following the steps outlined below:

    1. Navigate to your desired location calendar.
    2. In the upper-right corner, select the three-dotted action menu to open the drop-down menu.
    3. Select Calendar Settings.
    4. Edit your desired calendar settings, which are the same as outlined above.
