You can use mass action functionality in the Content Management System (CMS) to perform bulk operations across multiple intents/questions at once, including deleting custom topics, publishing or unpublishing intents, and switching intents between Contextual and Defined if Contextual AI is enabled in your account.
Use cases
- Bulk operations: Make broad, bulk updates to your CMS (such as retire topics, update live status at scale).
- Content hygiene: Actively iterate on your CMS and need to test, refine, and adjust topic sets frequently.
Configuration
Complete the steps outlined here to enable Q&A within the CMS.
Mass action options
The Mass Action menu will become available above a Q&A section when you've selected at least one response from its topics list. From this menu, you will have the following available actions:
- Change to Live – This will mark the selected Not Live topics as Live to be used by your assistant.
- Change to Not Live – This will mark the selected Live topics as Not Live so that your assistant isn't able to use them.
- Change to Contextual – This will mark the intents as Contextual responses, ensuring that your AI Assistant can adjust the verbiage, as needed, to better fit into the candidate's/user's conversation. Learn more about how Contextual and Defined intents differ in the Contextual AI overview.

Change to Defined – This will mark the intents as Defined responses, ensuring that your AI Assistant responds to the candidate/user with exactly the response provided. Learn more about how Contextual and Defined intents differ in the Contextual AI overview.
- Note: Sensitive Topics are always Defined and cannot be switched to Contextual.
- Edit – This allows you to edit the response for all selected intents to the same responses. Click here to learn more about editing responses in the CMS.

Delete – This option deletes selected intents permanently and is only available in the Custom Topics category. Standard Q&A intents cannot be deleted by any user.
- Note: Only Paradox Admins can delete intents.
Permissions
By default, Paradox Admins have full access to all mass actions, including the ability to mass delete custom topics. Users will need full access to the Candidate Assistant Responses or Employee Assistant Responses and the associated permission's Knowledge Base Publishing child permission in order to take mass action on the Candidate Q&A or Employee Q&A section, respectively.
