Indeed Apply overview

The Indeed Apply integration allows candidates who apply on Indeed to have their information and answers to their screening questions shared directly with your Paradox account. When this information is received in the system, a Candidate Profile will be created for each applicant so that they can continue with the Candidate Journey process.
Using Indeed Apply will not only allow a more seamless experience between Indeed and the CEM, but it will also lead to more applicants due to Indeed’s high traffic volume and easy application process. This feature is available for both Conversational ATS and Integrated ATS customers.
Configuration
Follow these steps in order to configure and utilize this feature.
Jobs posted to Indeed Apply timeline
When Indeed Apply is enabled, your jobs should begin populating in the Paradox Master Feed within the next 1-2 hours. Once the jobs are available for Indeed to pick up in the master feed, you can expect jobs to be displayed on Indeed within 24-48 hours.
Job Data Packages and Indeed Apply
Paradox will include the following Job Attributes from your Job Data Packages in the feed to be read by Indeed Apply for proper tagging:
- Education Level
- Employment Type
- Experience
- Base Pay Minimum
- Base Pay Maximum
Important Note: In order for pay rates to be sent to Indeed, please ensure you are utilizing the Base Pay Minimum and/or Base Pay Maximum Job Attributes.
Avoid Indeed Jail
The four actions below help to ensure your jobs are not flagged and removed by Indeed.
- Simplify the job title. Avoid additional information about the job, such as bonuses, job type, pay, etc.. These will not be accepted by Indeed. Review this documentation for further details on accepted job titles.
- Remove any keyword spam from job descriptions. Indeed will not accept jobs that appear to have a list of spamming words for attempted result optimization.
- Ensure standard pay rate formatting. If your account is utilizing Base Pay Minimum and/or Base Pay Maximum in Job Data Packages, ensure that numerical values are only used for the fields. Otherwise, this will not map correctly to the feed and will provide incorrect pay rate data to Indeed.
- Remove Personal Identifiable Information (PII) Questions. Screener/Application questions that request PII information, such as questions around including full driver’s license number, Social Security Number, or bank account information, will need to be removed or you will risk having reduced visibility and Indeed Apply disabled across your jobs.
Conversation display in the CEM
When a candidate is brought over from Indeed using Indeed Apply, then two unique parts will be added to the conversation display in their Candidate Profile:
- Milestone in Conversation – A milestone will be listed to note that the candidate applied through Indeed.
- Screening Component – The screening question labels and their answers will be displayed under the milestone.
Important Note: If the job ID does not match the job ID from the job posting, then the screening questions will not be included in the conversation display. However, the candidate will still be added to the CEM with the milestone in conversation marking them as a Capture Complete candidate.
Opt out of Indeed Apply
You do have the option to opt out of Indeed Apply if you would like to submit jobs to other job boards. Return to the configuration guide and remove Indeed as a job board.
Troubleshooting missing jobs in the feed
If you find that your jobs are not flowing properly to Indeed, this may be due to the fact that your jobs are not set up properly. Review each job’s details in Job Builder to make sure that all fields are accurately updated as described above, including the list select screening questions and their value fields. Once changes are saved, your job data should be sent to Indeed.
FAQs
How soon do Indeed Apply jobs get posted to Indeed?
Once the above is configured and jobs are turned on in My Jobs, Indeed Apply-enabled jobs should begin populating in the Paradox Master Feed within the next 1-3 hours. This feed refreshes every 3 hours (0, 3, 6, 9, 12, 15, 18, 21 hours – UTC timezone). Once the jobs are available for Indeed to pick up in the master feed, you can expect jobs to be displayed on Indeed within 24-48 hours.
Example: If Indeed Apply is configured at 10:00 AM, then the jobs should begin displaying on the Paradox Master Feed at 11:00 AM. The jobs must be on the master feed at the time Indeed checks the job feed in order for them to be added. We do not currently have the exact times Indeed checks the feeds, but it is estimated to be every 3 hours.
Does Indeed Apply support Multi-brand clients?
If you are using Multi-branding, please note that the job posting can include the brand name to display to candidates, but we currently do not have the ability to assign each brand to their respective Indeed accounts.
How often does the Indeed Apply feed update?
This feed refreshes every 3 hours (0, 3, 6, 9, 12, 15, 18, 21 hours – UTC timezone).
If I turn off the job in the CEM, but the job is still appearing in the Career Site, will candidates be able to apply?
Yes! Due to Indeed’s feed refreshing every 3 hours, jobs that are turned off in the CEM will still appear on your Career Site during the time period before the feed is refreshed. Because of this, candidates can apply via Indeed Apply during this time period.
How often do job posting dates update on Indeed?
Per Indeed standards currently, ATS partners are not able to automatically refresh jobs. We are working with Indeed to understand if there is a cadence in which we can do this. If there is an agreement we will communicate accordingly.
Can I sponsor jobs on Indeed?
Yes, you are able to sponsor your jobs directly on Indeed. To do this, you will have to share job links from within My Jobs with your Indeed Reps and notify them that your jobs are on the "Paradox Multi-Source Feed." Your Indeed reps will then connect your jobs to their Indeed employer accounts.
When does a job get created as a new posting on Indeed?
When a job is turned on, it will keep the same job ID and continue to use the same job posting page. If this action is taken and a job has an active sponsorship, it can cause this job to end the sponsorship campaign on Indeed.
