    Configuration Step #1: Enable Client Setup settings Step #2: Review Olivia Assist calendar Connect a Google Service account Limitations

    This integration allows teams to leverage a Google service account to generate virtual meeting URLs with Google Meet.


    Configuration

    Step #1: Enable Client Setup settings

    Users with full access to Client Setup can complete the below steps.

    1. Select the All Apps button in the top left corner of the header and then Settings from its drop-down menu.
    2. When the Settings page opens, select Client Setup under the Paradox Tools section.
    3. From the left panel of Client Setup, scroll down to and open the Scheduling section.
    4. Select Google Meet as the Virtual Technology option.
    5. Save the page.

    Step #2: Review Olivia Assist calendar

    Users with full or view access to Assist will be able to complete the below steps.

    1. Select the All Apps button in the top left corner of the header and then Settings from its drop-down menu.
    2. When the Settings page opens, select Assist under the Paradox Tools section.
    3. The Calendar section will open automatically to the branded calendar set up for the account. This will be the calendar used to generate calendar invitations (using the conferenceData object). Review this calendar to make sure it is correct and linked properly.

    Connect a Google Service account

    Please ensure the account domain matches the users' domain.

     

    We can expect users that are joining interviews to have a company account on the same domain. In this case, those users will be able to join the meeting without being added as an attendee on Google Meet. This means we will add no attendees to the Google Meeting (within the integration), and users with an email on the same domain as the service account will be able to join and admit candidates. This will remove the need to send double calendar invitations.

    To connect a Google Service account, complete the steps below:

    1. An Admin will need to create a company email account on the same domain as their employees (example: @google.com).
    2. Navigate to the Assist page. This process is outlined above.
    3. In the Calendar section, select Sign in with Google.
    4. Enter in the new email account.
    5. Review the permissions and select Allow. Required permissions include:
      • View your email messages and settings – This will allow the AI Assistant to view responses to the calendar events so that they can understand the appropriate next step actions that are required when an interviewer accepts/declines interview invitations.
      • See, edit, share, and permanently delete all the calendars you can access using Google calendar – This will allow the AI Assistant to generate and manage calendar invitations for interviews from the service account.

    Their new account will then be linked.


    Limitations

    • Users will need to add all interviewers and candidates to a Google meeting so they can join the meeting. 
    • The users and candidate will get two calendar invitations, and the Google Meeting auto-generated calendar invite should have #interview-type - Google Meet as the title of the event. Both calendar invitations will have the same Google Meet URL, which is a function that we cannot control.
    • Users and candidates will not be able to join the meeting prior to the meeting start time. 
    • Users will be unable to allow candidates into the meeting if they do not join with the email that they have listed on their candidate information.
    • The Google Meeting will be canceled/edited if the interview is canceled or rescheduled.
