The Candidate Inbox includes a variety of features and functions that assist users in hiring candidates with accuracy and efficiency. Whether it’s searching for specific groups of candidates or downloading their forms before implementation, the Candidate Inbox is the main space for working with candidates.
Web Alerts
Web alerts are alert notifications sent do you from within the CEM. Web alerts can be managed from within Alert Management. Click here to learn more about web alerts.
Global search
You can access a global search within the inbox by selecting the magnifying glass icon in the upper-right corner of the Candidate Inbox.
When selected, the search icon expands into a slide-out drawer, where you can search for candidates by name, journey stage, job, or location. Results are displayed based on the candidate's history:
- Single Interaction: If a candidate has only one interaction (such as a single application), selecting the result routes you directly to their Applications tab.
- Multiple Interactions: If a candidate has multiple interactions (such as an event invitation and a campaign), they are grouped into a single search result showing their name, conversation count, and most recent activity. Selecting this result routes you to the Overview tab to see all interactions at a glance.
This search supports the Boolean operators of AND, OR, and NOT in the same search terms to find more accurate results.

Candidate panel
The candidate counter should display the accurate number of candidates. Any large numbers that are abbreviated will display its actual number when you hover over it.
The candidate panel lists all candidates and quick details about them in your inbox. You can sort and filter candidates from this panel as well as add a new candidate.

- Segment Switch – This will open a drop-down list of all existing segments. From here, you can click into and view a segment or set a segment as your home page so that it filters the inbox as soon as you open the CEM.

Add Candidate – This will allow you to add a candidate to the CEM. Learn how to manually add a candidate.
- Note: When Hiring Events is enabled, Hiring Event Custom Conversations will not be displayed when adding a candidate and selecting the correct screening and actions for them.

Sorting – This will sort the Candidate Inbox based the following:
- Recent activity
- Unread messages
- Newest to Oldest
- Oldest to Newest
- Select Timeframe – This is will load the candidates in the Candidate Inbox based on the set timeframe. This feature is recommended for clients with over 1000 candidates, as it aids in better system performance, and will need to be enabled by your CS Representative in order for it to appear in the header of this panel.
- Filtering modal – This will open the filtering modal where you can filter the list.
- Candidate name and details – This will display the name of the candidate as well as any other details related to their job for easy reference.
- Time Since Capture – This will list the time since the candidate has been captured in the system. If it is marked as Live, then the candidate is currently being captured.
When the Candidate Inbox is sorted by Unread Messages, candidates are ordered by their creation date within Paradox. This means that even if a new action occurs on an existing candidate, they will not move up in the Candidate Inbox past more recently created candidates.
Candidate Profile
The Candidate Profile houses all information around each candidate in the system. From the Candidate Profile, you can view the candidate's conversation since it was initiated, general candidate details, the candidate's resume and other forms, and much more. You can also take actions on candidates from their Candidate Profile.
