    The Scheduling drawer includes advanced settings to better support the preferred scheduling experience.


    Configuration

    Contact your Company/Account Admin or CS Representative to enable this feature for your account.


    Scheduling Timelines

    Scheduling timelines will directly dictate the times your AI Assistant will send to the candidate based on the interviewer's OIT. The scheduling timelines can be set for each interview request sent using Advanced Settings. 

    • Note: The scheduling Minimum and Maximum time frames set by a user here will take priority over the configured company-wide scheduling timeline a Paradox Admin configures for you on the backend.

    Limit Rescheduling Interviews

    You can determine how soon before the interview a candidate can reschedule and how many times in total the candidate can reschedule. To do this, enable the Limit Rescheduling Interviews setting and then update the additional that display below this toggle.

    • Candidates can reschedule interviews – You can set the candidate's ability to reschedule to Any time or until 1 to 24 hours before their interview. 
    • Limit number of times candidates can reschedule – You can determine the frequency to be Never, 1-3 times, or Unlimited. 
      • Note: The option that is selected when manually scheduling the interview will override what is configured company-wide.

    Have Attendee Schedule Interview

    The Have Attendee Schedule Interview setting will remain locked unless the interview attendee selected above is a Basic or Limited User and different than the user manually scheduling the interview.

    • Use Case: A company may use a coordinator to schedule all the interviews. Toggling this on and selecting an interviewer grants them the ability to schedule the interview themselves. The user who was granted permission to schedule is then notified and they are directed to the Basic User Portal or Recruiting Dashboard where they are then able to schedule the candidate.     Travel Required

    This setting will display when the Manage Company-wide Scheduling Timelines setting is enabled on the backend and, when enabled, it will change the scheduling timelines to match what is configured for travel timelines and updates the message sent to the candidate.


    Private Events

    This setting will display when the Allow for private interview calendar events setting is enabled in Client Setup and, when enabled in the scheduling drawer, will mark the interview calendar invitation as “private” on both the candidate and user’s calendars.


    Set Interview Owner

    You can select a specific user or user role who is listed as the interview owner. The interview owner receives alerts and messages for the following:

    • When a user reschedules an interview.
    • When a user declines an interview.
    • When a Basic User has yet to schedule a candidate after 24, 48, and 72 hours after.
    • When a user’s calendar has no availability for interviews.

    This is available in the manual scheduling drawer within the CEM and the Journey Targeting and Job Builder auto-scheduling drawer. 

     

    Virtual Interview URL

    Auto-scheduled virtual interviews will have an interview URL generated for them via their API. For manually-created interviews, users need to go into Advanced Settings and toggle it on for each interview. This has functionality comparable with Zoom or Webex but is hosted natively inside of the Paradox platform.

    When editing a scheduled interview, users can toggle the Virtual Interview URL on or off. If toggled on during editing, the system is expected to generate and attach a virtual meeting URL to the interview (for Zoom, Teams, Paradox Video, etc.).

    Read-Only Display:  If you attempt to toggle this setting off after originally being enabled, this setting will display as read only with a tooltip explaining the reason for this behavior. Oftentimes, this setting will be read-only until the interview is rescheduled.

     

    Candidate Timezone

    A user has the ability to override the timezone that interviews are sent in to the candidate. The candidate's time zone will be stated below the timezone dropdown for reference. Click here to learn more about time zone configuration.
