Your AI Assistant can understand and communicate with candidates to answer thousands of questions each day.
Use cases
- Teams who want to have multilingual responses available for their knowledge base.
- Teams who need to have the knowledge base available in multiple languages for their candidates.
Best practices for implementation
- It is highly recommended to configure a multilingual knowledge base after your teams have already approved the initial English knowledge base.
- Candidate and Employee Q&A translations are configured using Translation on the Fly,
- If the team chooses to add custom translations, then the Translation on the Fly setting must be enabled in the Multilingual section of Client Setup. From there, you can import translations into the corresponding language knowledge base.
- If you or your CS Representative make(s) updates to the English knowledge base and are using Translation on the Fly for the multilingual functionality, be sure to have your CS Representative reset the translations to those changes are reflected across each language.
- If your team created custom translations, you will have to manually make those changes across each language.
- Choosing custom translations can make maintenance of their knowledge base incredibly time-consuming and tedious.
- If you toggle on Page Language Targeting within the widget, then your AI Assistant will start the conversation in the language of a URL language tag.
- Example: If the HTML code on a URL is es, toggling on Page Language Targeting will start the conversation in Spanish.
Configuration
Complete the steps outlined in the Multilingual CMS: Configuration guide.
Reset translations
Resetting translations means that each of the language knowledge bases will be refreshed and re-translated to match the updated, published English (en) knowledge base. Contact your CS Representative if you need your knowledge bases translated after the initial translations occur.
Edit / upload translations
If a you are not using Translation on the Fly and have custom translations, you can edit the translated responses by clicking into each Q&A category and making your changes or downloading the knowledge base, editing the responses in a Google Sheet, and re-uploading them with the help of your CS Representative.
Conversation logic
When a candidate asks, for example, "Do you speak [specific language]?" the system determines the response based on two simple steps:
-
Languages supported in account
- If the requested language is enabled in the account, then your AI assistant automatically switches the conversation to that language.
- The candidate receives the standard confirmation message, translated in the language: “I'm happy to speak with you in {language}. How can I help you?”
-
Languages not supported in account
- If the requested language is not supported by your settings in Client Setup, then the system looks at the Multilingual intent in the Persona topic of the Candidate Q&A section:
- If a message is set up, the AI assistant uses this pre-set response and displays the custom message (and media) you created.
- If a message is not set up, the AI assistant uses the default hardcoded message: "I currently only speak English. Do you have any other questions for me?"
- If the requested language is not supported by your settings in Client Setup, then the system looks at the Multilingual intent in the Persona topic of the Candidate Q&A section:
If a candidate explicitly signals that they don't understand or tries a negative switch (e.g., "I don't understand Vietnamese"), then the AI assistant bypasses the CMS and uses the legacy hardcoded response: "I'm sorry. If you would like to switch, please reply with your language preference." This message cannot be customized.
