Setting alternative interview locations

While all in-person interviews automatically default to a candidate's selected location, construction or other circumstances can sometimes make it difficult or impossible to host interviews at that location. On these occasions, you may wish to schedule interviews at a different location. This article provides advice on arranging alternative interview locations as well as some other workaround opportunities.
Choosing a solution
Based on your jobs, number and distance of restaurants, and other considerations, some solutions outlined in this article may be more effective than others. Please answer the questions below and then navigate to the section that best applies to your situation.

Changing the interview location
By default, all candidates are invited to interview at their selected location. Franchise Owner and Franchise Staff users have access to change this location within Jobs.
To change the interview location:
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- When the Settings page open, select Job Manager from the Jobs section.
- If you have more than one location, then you will want to duplicate the existing job(s) and only make changes to the interview location for the targeted location. To duplicate the job,
- Open the preferred job category.
- Find the preferred job in the list.
- Hover over the job's row and select the action menu, or ellipses, at the end of its row.
- Select Duplicate Job.
- Open the newly created job.
- Remove "Copy" from the job title.
- Select Edit Locations and remove all locations but the targeted job's location.
- Save the section.
- Open the Candidate Journey section.
- Scroll down to Scheduling and then select Edit Scheduling.
- Select another location as the Location.
- Select Save in the bottom right corner of the drawer.
- Publish the job.
- Select Back to Jobs in the upper-left corner of the builder.
- Open the original job that you duplicated.
- From the Overview section, select Edit Locations.
- Remove the targeted location.
- Select Save.
- Publish the job.
Your AI Assistant will now direct candidates that apply to the targeted location to interview at the location specified on the job.
Important Note: Once interviews become available again at the targeted location, you will need to complete the steps outlined above in reverse to once again host interviews at the targeted location.
Conditional workflow communication
If you have multiple jobs configured for the targeted location, then changing the interview location across all jobs can be more intensive than valuable as a solution. In this situation, we would recommend reaching out to your Admin team member, CS Representative, or the Support team to add a conditional workflow communication.
A workflow communication is a message that sends to candidates once they hit a certain stage in the hiring process (e.g., Invite to Interview) to provide them with updates and next steps. By adding a conditional workflow communication, you can create a message that only sends to candidates that apply to the targeted store location.
Some example conditional workflow communications include:
- "Thanks for your interest in [company name]! A hiring manager will be in touch shortly with interview details."
- "Thanks for applying! Please note that the restaurant to which you applied is currently under construction, so your interview with be held at [interview location]."
- “Thanks so much for your application! Our new [location] will open on 12/31. Please note that your interview will be held at another [company name]'s on [interview location].”
Changing the interview type
Sometimes it's not possible or ideal to send candidates to an alternative interview location. In those instances, we would recommend changing the In-Person Interview to a Phone Interview or Virtual Interview.
To change the interview type to a phone or virtual interview:
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- When the Settings page open, select Job Manager from the Jobs section.
- If you have more than one location, then you will want to duplicate the existing job(s) and only make changes to the interview location for the targeted location. To duplicate the job,
- Open the preferred job category.
- Find the preferred job in the list.
- Hover over the job's row and select the action menu, or ellipses, at the end of its row.
- Select Duplicate Job.
- Open the newly created job.
- Remove "Copy" from the job title.
- Select Edit Locations and remove all locations but the targeted job's location.
- Save the section.
- Open the Candidate Journey section.
- Scroll down to Scheduling and then select Edit Scheduling.
- Select Phone Interview or Virtual Interview as the Type.
- Select Save in the bottom right corner of the drawer.
- Publish the job.
- Select Back to Jobs in the upper-left corner of the builder.
- Open the original job that you duplicated.
- From the Overview section, select Edit Locations.
- Remove the targeted location.
- Select Save.
- Publish the job.
Candidates who are scheduled for a phone or virtual interview will receive a message from your AI Assistant informing them that their interview was scheduled.
