Interview settings within your My Calendar and location calendars allow you to set the preferred interview settings for the associated calendar. This guide outlines and explains these settings.
Navigation
- Select All Apps in the top left corner of the header and then My Calendar/Calendars from its drop-down menu.
- Open the preferred calendar.
- In the upper-right corner of the calendar, select the ellipses icon and then Calendar Settings.
A new page will open to the Interview Settings section of Calendar Settings.
Interview Settings settings
When you open Calendar Settings, the Interview Settings section will open right away. From this section, you will see the following two settings first and then the below sections.
- Timezone – You can select your preferred timezone in the dropdown menu.

User Communications Timezone Format – You can select which timezone displays in scheduling communications sent to employees from the following options:
- Abbreviated (ex: MST)
- Full Name (ex: Mountain Standard Time)
- UTC Offset (ex: UTC-07:00)

Interview Limit – You can set a default interview limit for the maximum number of interviews allowed on your calendar over a specific period of time.

Maximum Number of Interviews – You can enter a maximum number of interviews (with the maximum set to 999) and choose how often the limit applies:
- per day
- per week
- per month

Maximum Number of Interviews – You can enter a maximum number of interviews (with the maximum set to 999) and choose how often the limit applies:
- Interview start time control – This allows you to set the intervals at which your availability is displayed to candidates. This helps to limit sporadic gaps in the user’s day by showing random interview times.
- When filling group interviews with multiple candidates – This allows you to select which group interviews to fill first with multiple candidates.
Default interview preferences
You can set up your default interview preferences that will populate into the scheduling request functionality when it is opened for a candidate. This works great for recruiters that complete a lot of similar interview requests on a regular basis.
- Include me on the list of attendees for interviews I schedule – You can toggle this on to include yourself on the list of attendees for all interviews scheduled by yourself.
- Default type – This is the default type of interview.
The default interview type for scheduling will be the first selected default interview type in the What interview types should be available? selector. If no default interview types are selected, the first custom interview type in the list will be the default.
- Default duration – This is the default duration of the interview.
- Default interview location – This is the default location of the interview.
Scheduling Timelines
If the Manage Company-wide Scheduling Timelines setting is not enabled in Client Setup, you can configure the following interview settings:

Minimum notice you need before an interview should occur – You can specify the amount of time that you’ll be notified in advance before an interview from the following options:
- Hours: from 0 to 12 hours
- Minutes: from 0-55 minutes

Interviews should only be scheduled within the next – You can define the maximum timeframe into the future within that interviews can be booked from the following options:
- 1 day
- 3 days
- 1 week
- 10 days
- 2 weeks
- 3 weeks
- 4 weeks
- 5 weeks
- 6 weeks
- 7 weeks
- 8 weeks
Default interview instructions
- Default Interview Instructions – For each of the main interview types, users can add default interview instructions that will be auto-filled and added to the scheduling request by default. This is helpful for similar interview requests or giving basic instructions that will always apply for different interviews.
- Busy Days, Vacations, and Holidays – Employees can manage their individual busy days that they do not want to be scheduled for interviews. If a user adds dates into this field, these dates will be removed from their recurring availability.
