This page covers building a standard job and how the user's experience will be after the job has been configured.
Use Cases
- This job type is best used if you need to have an external ATS's control over your jobs and are utilizing professional hiring use cases where the job will follow a standard requisition modal.
Create a standard job
- Navigate to the Jobs page.
- Click + Create New.
- Select New Job.
- Choose Standard.
- Select Blank Job or Create from Template, depending on how you want to build the job.
- Click Next.
- Assign a Job Family.
- Click Save.
Overview section
The Job Builder will open up to the Overview section where you will configure the following fields.

- Job Name / Public Job Title – The job title that will display to candidates. If Internal Job Titles are enabled for your account, then this will display as Public Job Title.
- Internal Job Title – The job title that the hiring team will see within the system and when searching for a job. This will only display when Internal Job Titles is enabled for your account.

Additional Job Titles / Public Job Titles by Location – The job titles that can be tied to a specific location. To create job titles by location, you will need to first add the locations (#8) that will be hiring for this job. This button will then be enabled, allowing you to add job titles by location. Note: If utilizing the Multilingual feature:
- You can only add additional job titles in English.
- These job titles can then be translated by following this process:
- Select the preferred language from the language selector.
- Click the + Add Job Titles button.
- Make changes to the English additional job titles.
- Click the Finish button. This will save the translated additional job titles by language.

Note: If utilizing the Multilingual feature:
- Job Code – (optional) The job code that should be assigned to the job. This is a code that can be assigned based on your business process, but it is not the same as the Paradox Job ID that is displayed in My Jobs.
- Template External ID – This field will only display in a job template. This is the external ID for a template that will assist jobs in being updated via API.

Job Posting Type – This will only be available if Enable Internal and External Job Types is toggled on. Select the job type that should be assigned to the job you are configuring.
- External jobs will be available for all candidates to search for this job through job search and XML feeds.
- Internal jobs will not be added to XML feeds and treated as internally shared jobs only.
- Allow employees to edit the Job Posting Type in My Jobs – When toggled on, this will allow the Job Posting Type to be edited in My Jobs.

Locations - The locations tied to this job. When this drawer opens, you will have the following options available:
- Remote Position – Toggle this on if this job is a remote position.

Preferred Location – Select the most preferred location for this job.
- Note: At least one location must be selected for the Preferred Location or Remote Position must be toggled on to enable the Save button.

Additional Locations – Select the additional locations that will be hiring for this job.
- If Select All is selected, then all new locations or folders will not automatically sync.
- If a folder/area is selected, then all new locations within that folder will automatically sync.
- Shifts – Select the shifts this job is hiring for.
- Additional Details – This will only be available if you have Job Data Packages enabled for your account. This allows you to attach Job Data Packages to the job and define the data for each assigned location.

Hiring Goal / Number of Hires – This will display when the Candidate Volume Optimizer and/or Number of Hires feature(s) are/is enabled for your account. To add a predetermined action for this feature,
- Click Configure.
- In the slide-out drawer that opens, select the Number of Hires box.
- Select one of the following actions to take place when the preferred number of hires is met:
- Olivia [Your AI Assistant] Will Turn the Job Off
- Notify Hiring Manager
- Click Save.
Once all required fields are complete, click Save to proceed to the next section.
Additional Details Permissions Notes:
- The Job Data Permissions drop-down may be disabled from editing and include a lock icon next to the attribute in the Job’s Additional Details if disabled in Job Data Packages.
- If available and marked as optional to enter in My Jobs, then you have the option to leave the attribute value as blank. If the attribute is a list-select attribute, then the User can deselect all options to leave the value as blank.
- If available and marked as required to enter in My Jobs, then an error will display until a value is entered for the attribute.
Job Description section
When creating a job template, this section will be optional if the Allow templates to be saved without required data setting is enabled on the backend.

This section is where you are able to add and format the job description for this job. You can also add configured Dynamic Job Descriptions for this job, if preferred, when you have 2 or more locations tied to the job.
Once added, click Save to proceed to the next section.
- Multilingual Note: If the Multilingual feature is enabled for your account, select the language that you want this description translated into and then click Apply. You also have the option of customizing the font and adding Dynamic Job Description Sections, if enabled for your account, from the Add Section selector in the toolbar.
Hiring Team section
When creating a job template, this section will be optional if the Allow templates to be saved without required data setting is enabled on the backend.

In this section, you will assign the hiring team who will be able to view and manage candidates that apply to the job at the locations assigned to them. This team can also be utilized to target the following:
- Interview Attendees
- User Workflow Communications
- Candidate Journey Permissions
To add hiring team members, follow the process below.
- Click + Add Role.
- In the menu that opens, select the roles that need to have users assigned to this job.
- Note: This will display the Hiring Team Roles configured on the backend. Reach out to your CS Representative if these need to be adjusted.
- Click Apply.
- The selected role(s) will then display in the Hiring Team section. Click the + Add Employee button next to the first role listed.
- User Role Selections – Selecting a user role will dynamically assign users that have this user role assigned to them and the location permission for the locations on the job.

Individual User Selections – Selecting an individual user will assign them as this role for the locations assigned to them.

- In the menu that opens, select the preferred individual user(s) and/or user role(s).
- Click Apply.
- Select or deselect the Can Manage Job permission for users who should or shouldn't, respectively, have the permission to toggle the job on/off in My Jobs.

- Complete steps #4-7 for each selected hiring team role. Each role must have at least one user assigned.
- Click Save.
Additional hiring team actions
Additional hiring team actions include the following:

Adding a role description to My Jobs – You can add a hiring team role description to each selected role, which will display in My Jobs and provide users more context as to which users should be selected, if they are given the ability to manage this role in My Jobs. To do this,
- Select the action menu, or ellipses icon, next to the preferred hiring team role.
- Select Edit Hiring Team Role from its drop-down menu.

- In the slide-out drawer that opens, enter a hiring role description.
- Note: You can enter up to a max of 180 characters.
- Click Save.

Marking the role as optional for this job in My Jobs – By default, all hiring team roles selected will be required in My Jobs. However, you can mark this role as optional by following the steps below.
- Select the action menu, or ellipses icon, next to the preferred hiring team role.
- Select Edit Hiring Team Role from its drop-down menu.

- In the slide-out drawer that opens, toggle off Make ‘[Role Name]’ a required Hiring Team Role for this job.
- Click Save.

Deleting the a user role/user from selection – If a user role or user was previously selected but that no longer needs to be included on the job, you can easily remove that role/user by clicking the trash can icon in the righthand side of its box.

Candidate Journey section
When creating a job template, this section will be optional if the Allow templates to be saved without required data setting is enabled on the backend.

Next, you will assign the Candidate Journey to the job.
- Select the desired journey from the selector.
- The journey’s stages and statuses will then populate the page. Select the preferred option for each stage to configure the candidate's experience once they apply to this job. (e.g., Interview, Offer, Assessment, or Form (Application or Onboarding)).
- Note: If the Scheduling stage is included in the selected Candidate Journey, then a Configure button will display where you can configure the interview details and add interview prep, instructions, and advanced scheduling settings.
- Click Save in the top right corner of the section.
If you select Manually Schedule as the Interview Type, then you will be able to edit the closing message in the Close the Conversation box of your outcomes (in the Screening section).
Screening section

The final section is where you will configure the job's screening questions and outcomes. The screening questions are the questions your AI Assistant will ask candidates to determine if they meet the minimum qualifications for this job. The outcomes will determine what status a candidate should move to based on their answers to the screening questions.
To set the screening questions and outcomes, follow the steps below.
- Click + Add Question. The screening question builder will open.
- Enter a name for your question (i.e., “Education”, “Experience”, etc.)
- Enter the question that should be asked by your AI Assistant in the Conversation box.
- If you have job boards enabled, a Job Board Question may display under the Conversation box. By default, this will pre-populate with the entered screening question, but this can be adjusted to reflect how the question should be sent to job boards facilitating a non-conversational application. ie: Indeed Apply.
- Note: Please ensure Candidate Attribute Tokens are added to the Job Board Question. These values will not populate for non-conversational apply experiences.
- Select the Reply Type, or the format type of the candidate's answer. Options include:
- Free Text – The candidate will be able to type out a response.
- Document Upload – The candidate will have the ability to upload a file. See below for more information.
- List Select – The candidate will make one selection from multiple options.
- Video – The candidate will respond in a video format.

Location Preference – The ability for candidates to select their preferred location(s) from a list. Click here to learn more.
- IF MULTIPLE LOCATIONS ARE ENABLED and SELECTED FOR THIS JOB: You can select Available Locations from this selector so that the candidate will be presented with a list of the locations where this job is available. The candidate’s response will then be collected in the conversation, but for the initial version, candidates will only be assigned the Job ID in the CEM, not the work location. Learn more here.
- Repeat this process for all questions.
- Create all necessary questions.
- Once there are questions created and saved, you will have the following actions available for each question. Update your questions using these actions, if needed:
- Edit Question – The ability to open the edit slide out to make changes to the question
- Hide Question – The ability to “hide” a question from being asked without deleting the question.
- Reorder Question – The ability to change the order of screening questions without re-adding or removing questions.

Delete Question – The ability to completely remove a question from the screening section of a job.
- Note: If a question is deleted after candidates have answered the question and completed Apply, then the question will remain in the candidate’s profile for reference.
- Click Default Outcome. This is the outcome status candidates should be moved to if they do not meet any other configured criteria.
- By default, the Move to status selected option will be Capture: Capture Complete. Update this to another status, if preferred.
- Note: We often recommend setting this criteria to a candidate review status so candidates are not mistakenly moved to a qualified or disqualified status.
- To configure additional outcomes, click + Add Outcome.
- Enter a name for the outcome (i.e., “Age Fail” or “Meets Requirements”).
- Choose the name of the desired screening question along with the rest of the IF statement.
- Add additional AND and OR statements if there are multiple responses in your outcome.
- Type the message that your AI Assistant should close the conversation with when they meet the criteria of the outcome.
- Select the status that your AI Assistant should move the candidate to when they meet the criteria of the outcome.
- Click Save in the top right corner of the outcome box.
- Repeat steps #10-16 for all necessary outcomes for the job.
- Click Save in the bottom right corner of the drawer.
Document Upload question type
The Document Upload question type will prompt the candidate to upload a document. When this is selected, a Document Upload Options section will display under the Reply section.

This section will include the following fields/settings:

Document Name – The name of the document that candidates will upload. If the Is this document a resume? toggle remains disabled, then this field will be required. Either document (resume or other) will be listed in the Hire Details section of the Candidate Profile.
- Note: Documents will also support being saved and stored to an attribute.
- Is this document required? – Toggle this on to require the candidate to upload the corresponding document. If the document upload is not required, the candidate will be able to skip the resume upload at the time of screening.

Is this document a resume? – This will be toggled off by default. Toggle this on to follow the resume logic, which entails your AI Assistant asking the candidate to upload their resume. If this toggle remains off, then the Enable Resume Parsing toggle will not display. If a candidate skips uploading their resume or document, then they can receive document reminders, if set up.
- Note: Document reminders are included in Assistant Reminders to ensure that candidates are reminded to complete a document upload request. Reminders are supported via Email, SMS, and WhatsApp (if enabled for your account).
- Enable Resume Parsing – This will only display if the Is this document a resume? toggle is enabled and will allow the resume to be parsed to the Candidate Profile. Resumes will also be uploaded to the Resume section of the Candidate Profile and can be saved and stored to an attribute. Learn more about Resume Parsing here.
INDEED APPLY RESUMES: Indeed Apply should require resumes if it is required in the job’s screening questions. However, this question is “optional” by default. Below is the corresponding logic:
- Required - IF document in the screening conversation is "resume" and is "required"
- Optional - IF document in the screening conversation is "resume" and is "not required"
- Optional - IF no document/resume is in the screening conversation
Screening question actions

Once screening questions are created and saved, you will have the following actions available for each question from the question's action menu, or ellipses icon:
- Edit Question – The ability to open the edit slide out to make changes to the question.
- Hide Question – The ability to “hide” a question from being asked without deleting the question.
- Reorder Question – The ability to change the order of screening questions without re-adding or removing questions.

Publish the job

To publish the job, click the job's status and then click Publish. The job can now be turned on in My Jobs for candidates to apply to!
If a Confirm Approval Cancelation modal appears when you click Publish, then it means that you edited a job that was pending approval to post within My Jobs. Clicking Confirm will cancel all approvals that this job has pending in My Jobs and leave the job in its original status (on or off). Learn more about the Approvals Engine here.
