Add a Candidate Interview Feedback survey to a process

Currently, feedback can only be requested while a candidate is in a Scheduling stage.
Once the preferred feedback surveys are created, you will then need to add them into your processes to ensure that interview attendees are notified to complete this feedback portion of the interview process.
To do this, complete the steps below for the preferred product(s)/feature(s).
Assign Interview Feedback to a job
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- From the Settings page, select Job Manager under the Jobs section.
- Open the preferred job category and then job.
- When the Job Builder opens, navigate to the Candidate Journey section.
- Scroll down to the Scheduling stage of the selected Journey.
- Select the preferred feedback survey from the Select Candidate Interview Feedback selector.
- When selected, a Notification Channel selector will then display. Select the notification channel that will be used in sending this survey.
- Note: The default channel is the Candidate Profile, which cannot be deselected.
- Save the section.
- Publish the job.
Feedback added to a job will be sent to the interview attendees via the selected Notification Channel (SMS or email) when a candidate status is moved to Interview In-Progress.
Assign Interview Feedback to an event
When creating or editing an interview session from the Schedule section of an event, the option to add interview feedback will be listed under the Interview Details section. Select + Add Interview Feedback and then the preferred feedback survey from the Select Candidate Interview Feedback selector. When selected, a Notification Channel selector will then display. Select the notification channel that will be used in sending this survey.
- Note: The default channel is the Candidate Profile, which cannot be deselected.
Feedback added to an event interview will be sent to the interview attendees via the selected Notification Channel (SMS or email) when a candidate status is moved to Interview In-Progress. Feedback can then be completed while the interview is occurring.
In addition to this, only the assigned interview attendee(s) on the candidate’s event interview can complete this feedback.
Assign Interview Feedback to a conversation
Interview feedback can be added to your conversation templates or your custom conversations.
Assign Interview Feedback to a conversation template
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- When the Settings page opens, select Conversation Builder under the Automation section.
- Select a prebuilt conversation or a template to use in order to establish screening questions.
- Scroll to the very bottom to build actions into the conversation so you can establish certain screening criteria.
- At the bottom of the conversation in the Screening and Actions section, you can have your AI Assistant automatically schedule the candidate by selecting Schedule Interview in its dropdown menu.
- Edit the text box that displays as needed.
- Select the Configure button to open the Configure Auto Scheduling slide-out drawer.
- In this slide-out drawer, edit the interview details.
- In the Interview Feedback section, select the Interview Feedback and Notification Channel using their dropdown menus.
- In the bottom right corner of the drawer, select the Save button.
- Save and publish the conversation.
Assign Interview Feedback to a custom conversation
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- When the Settings page opens, select Conversation Builder under the Automation section.
- In the upper-right corner of the section, select + Add Conversation and then Add Custom Conversation.
- Follow the steps outlined here to build out questions and conditional paths as needed.
- At the bottom of the conversation in the Screening and Actions section, select the Schedule Interview action type.
- Edit the text box that displays as needed.
- Select the Configure button to open the Configure Auto Scheduling slide-out drawer.
- In this drawer, edit the interview details.
- In the Interview Feedback section, select the Interview Feedback and Notification Channel using their drop-down menus.
- In the bottom right corner of the slide-out drawer, select the Save button.
- Save and publish the conversation.
Assign Interview Feedback via Journey Targeting
If you utilize an Integrated ATS and Journey Targeting, then within the Candidate Journey section of a Journey Targeting flow, an + Add Interview Feedback button will be added under the Interviews stage of each interview’s slide-out drawer. Click this to add interview feedback details.
Two selectors will then display:
- Select Candidate Interview Feedback
- Notification Channel
- Note: The default is the Candidate Profile and it cannot be deselected.
Select the preferred feedback survey and the communication methods for sending the survey.
Feedback added to a Journey Targeting flow will be sent to the interview attendees via the selected Notification Channel (SMS or email) when a candidate status is moved to Interview In-Progress.
Assign Interview Feedback via workflow
Interview feedback can be added to a workflow by adding it as an action on a Scheduling stage.
The workflow audience must be Interview Attendees to use Request Interview Feedback as an action.
- Select All Apps in the top left corner of the header and then Settings from its drop-down menu.
- When the Settings page opens, select Workflows under the Automation section.
- Open the preferred workflow.
- Add a new task.
- Select + Add Trigger and then Candidate Status Updated.
- From the selector, you can either choose:
- Interview In-Progress
- Interview Complete
- Click the plus icon underneath the Start Point box and then Request Interview Feedback from its drop-down menu.
- Choose the preferred feedback from the feedback selector.
- Select the method in which interview attendees will be notified of this feedback.
- Note: The Candidate Profile is listed as the default and cannot be removed.
- Save and publish the workflow.
The Request Interview Feedback action is not available for conditional workflows.
