    When utilizing Paradox Assist, you have the ability to move a candidate to an allowed next step in their journey, confirm the change in your conversation, and see where they are today—including when an automation updates their status again after your move.

    Configuration

    You will need access to both the Paradox Assist and Next Steps feature. Contact a Company/Account Admin or your CS Representative to determine if these settings are enabled for your account.


    Update a candidate's status

    1. From any page in the platform, open the Assist widget from the bottom right corner of your page.
    2. Send a message to your AI Assistant that you want to change a specific candidate's status. Ensure that the name is entered correctly.
    3. Your AI Assistant will confirm the intent, retrieve the candidate, and present the matching available next steps.
      • Notes: 
        • No available Next Steps: If there are no matching Next Step options available for the candidate in their current status, your assistant will explain that this is the case, let you know what next steps do exist, and ask if you'd like to search for information about the action you are trying to perform.
        • Multiple candidate processing: If you request to change multiple candidates at one time, then each candidate's status update will be handled individually. 
    4. Your AI Assistant will then provide you with a list of actions that are available to you based on your user permissions. These include:
      • Next Step buttons – If the intent was vague, then you may see the status's Next Step buttons. Make your selection for how you want to update this candidate's status.
      • Possible target statuses – This will display if more than one status is configured for a Next Step button. Select the preferred status to move the candidate into.
      • Confirmation message and buttons – This will display before your assistant executes the status change. You can then select:
        • Confirm – This will execute the status change.
        • Cancel – This will cancel the status update action completely.
        • Back – This will return you to view other available status changes.
    5. Your assistant will then take the requested action.
    6. If any follow-up tasks are required of you when taking action on a candidate, such as completing a form or scheduling an interview, then a slide-out drawer will automatically open, prompting you to fill it out.
      • Note: If you do not complete any required follow-up tasks, then the candidate will not successfully move into a new status.

    At times, your assistant may skip steps in the above process when you've made your request clear and easier for them to follow. 

    • Example Input: “I want to hire Lynn Hill.”
    • Example Output: Your assistant will skip any Next Step that isn't around hiring and presents the confirmation message and buttons automatically. 
     

    Any workflow automations that are triggered automatically for the selected status may move the candidate into a new status. Your assistant will make note of this in their confirmation message.

     

    Request to view candidate statuses

    In addition to requesting a status change, you can also request information on the candidate's current status/placement in their journey and the Next Steps that are available to you.


    Permissions

    Your AI Assistant will only allow users to take action on the candidates that they have access to in the system. Your assistant checks the user's permissions on the following levels before determining if they have access or not:

    • Roles and Permissions
    • Journey stage level
    • Journey status level

    FAQs

    Why doesn’t Assist change status when I ask?

    Your account may not have Paradox Assist or Next Steps enabeld, your journey may not define that transition, or you may lack the right user permissions.

     
     

    Why won’t Assist move someone straight to “Hired”?

    Assist only offers configured next steps from the candidate’s current status. If Hired is not an allowed next step, your assistant will explain what is allowed.

     
     

    Why did the final status differ from what I confirmed?

    An Immediately After Trigger automation may have run, which is configured in Workflows. Your AI Assistant should explain the intermediate and final statuses within their confirmation message.

     
     

    Can I use Paradox Assist while scheduling or opening offers?

    A required drawer may block the conversation with your assistant until you finish or close any required tasks. Once completed, your AI Assistant will be available to answer any of your questions or assist you with further actions.
