This guide outlines the experience a candidate has when they receive and interact with an offer letter.
Review the offer
A candidate receives a link to their offer via SMS, Email, or WhatsApp depending on their communication preference. The candidate can access the offer by following the steps below:
- Select the offer link sent to their communication preference.
- In the verification page that opens, select the preferred contact method to receive the verification code.
- From the verification page, enter in the one-time code sent to your preferred communication preference.
- If a signature is required in the offer, the Consent to Use Electronic Signatures modal displays. Select I Agree in to consent to this and view the offer.
If a candidate selects Cancel or the X icon, then an Action Required modal displays warning the candidate that they must agree to consent in order to view the offer.
- Review the offer. You can complete the following actions in the offer letter:
- View Document – If a document task is attached from Forms, then the candidate can select View to view the document in a modal.
- Sign Offer – If a signature is required, the candidate can select Sign.
- Download – The candidate can download the offer as a PDF by selecting the download button in the upper-right corner.
- Select Accept or Do Not Accept.
Accepted offer experience
After accepting their offer, the Congratulations! page displays. The candidate can then download their offer if needed.
Denied offer experience
After denying their offer, the Offer Not Accepted page displays. The candidate can download their offer if needed.
Downloading an offer
Once an offer is accepted or denied, the candidate will view a completion screen that includes a button for downloading their offer.
Document download reminder
The #offer-url token is available to use on Offer Accepted and Offer Declined statuses, allowing candidates to automatically receive a message that includes the ability for them to download their offer. This is setup as a workflow communication and allows candidates to download their forms at any time. Work with your CS Representative to configure this automatic notification.
External offer integration logic
When offers are managed in an external system (such as Workday), the external system must send an API call ("ping") to Paradox to notify that the offer is complete. If this notification is not received, the candidate will remain in their current status in Paradox, and the offer link will not be sent automatically. In these cases, manual intervention is required to move the candidate to the correct status or to manually send the offer link. Once the candidate is manually moved to the expected status, the system will resume normal processing for that candidate.
