Scheduling timelines are a set of controls that determine when interviews can be scheduled within the Paradox platform. They allow organizations to define:
- The minimum amount of notice required before an interview can be scheduled (e.g., “at least 24 hours in advance”).
- The maximum window into the future that interviews can be scheduled (e.g., “only within the next 30 days”).
These settings help ensure that interviewers have adequate preparation time and that candidates are only offered realistic, available time slots.
Set scheduling timelines
Scheduling timelines can be configured at multiple levels, allowing for both broad and granular control.
Manually on the interview (Advanced Settings)
When scheduling an individual interview, users can override default settings by specifying custom scheduling timelines directly in the interview’s Advanced Settings:
- Minimum Notice: Set how soon before the interview a candidate can schedule or reschedule.
- Maximum Scheduling Window: Define how far into the future interviews can be booked.

Per user role (Roles and Permissions)

Override logic
When updating scheduling timelines at the role or location level, admins can choose:
- Override All Existing: Applies the new setting to all users/locations, regardless of previous customizations.
- Only Where Not Configured: Only updates users/locations that have not set their own custom scheduling timelines.
Company-wide (Client Setup)
Admins with full access to Client Setup can set default scheduling timelines for the entire organization. To do this,
- Select the All Apps menu in the top left corner of the header and then Settings in its dropdown menu.
- When the Settings page opens, select Client Setup under the Paradox Tools section.
- Client Setup will then open. Scroll down to and open the Scheduling section.
- Toggle on Scheduling Timelines.
- Set the default minimum notice and scheduling window for all interviews.
- Save the page.

Note: These settings act as the baseline for all users and locations unless overridden at a more specific level.
Scheduling settings prioritization
If multiple interviewers or locations are involved, the system will use the most specific (highest priority) scheduling timeline setting available, following this order:
- Interview-specific (manual override)
- User role
- Location
- Company-wide
This ensures that candidates are only offered slots that are truly available and appropriate for all involved parties.
Sequential interview timeline prioritization
Each interview type (Phone, Virtual, In-Person) within a sequential interview has its own maximum scheduling timeline. Because of this, the system will enforce the lower value between the sequential interview maximum and the individual interview type maximum.
Candidate experience
When a candidate is invited to schedule an interview, the scheduling timelines directly impact the options they see:
- Minimum Notice: Candidates will only see time slots that are at least the minimum notice period away from the current time. For example, if the minimum notice is 24 hours, they cannot select a slot within the next 24 hours.
- Maximum Scheduling Window: Candidates can only select interview times within the allowed future window (e.g., within the next 30 days).
If a candidate attempts to reschedule, the same rules apply—they will only be offered slots that comply with the configured scheduling timelines.
