Giving feedback Candidate Profile Notification Selected communication method Viewing feedback General logic

Candidate Interview Feedback surveys allow interview attendees to provide their immediate feedback on a candidate after interviewing them. This information can then be used to assist hiring teams in selecting the best candidate for a position.

Depending on the trigger set up for your account, interview attendees will be notified to provide candidate feedback either once an interview is in progress or when it is completed.

    Giving feedback

Feedback can be given via the Candidate Profile or the selected communication method.

These feedback options will occur as described below for sequential interviews when each interview’s status reaches either In-Progress or Completed, depending on the configuration process set up.

    Candidate Profile

When the candidate has completed their interview, only the interview attendee(s) assigned to the interview will see a Give Feedback button next to the interview in the Interviews section of their Candidate Profile.

Clicking the Give Feedback button will open the associated survey in a slide-out drawer. Interview attendees will then complete the survey and then select the Submit Feedback button to post their feedback.

    Notification

A blue notification dot will display on the calendar icon within the Interviews tab title when an interview attendee has feedback pending.

In addition to this, employees can filter the Candidate Inbox and Candidate Management pages to see the interview attendees who need to complete their candidate feedback. Simply open the filter modal and select the Pending Feedback filter. From here, you can filter for the following:

    • All Interviewers – Only Company and Account Admins will be able to filter by all interview attendees.
    • Current User – This will allow the employee to filter for pending feedback tied to their specific user.
    • Specific User – Only Company and Account Admins will be able to filter by a specific user. In clicking this option, a list of all interview attendees will be provided in which they can select specific users to review.

Once a selection is made, a segment can be created for easier navigation and view.

    Selected communication method

If email and/or SMS is the selected communication method for notifying interview attendees of the Interview Feedback survey, they will receive an email or text message with the initial message that matches the survey Introduction message.

Selecting the Share your feedback button or link will open the survey for the interview attendee to complete.

    Viewing feedback

Employees who have access to candidates will be able to view the feedback provided by interview attendees once completed.

    • Interview attendee experience – The Give Feedback button will be replaced with View Feedback once they complete the survey.
    • Employees with access to the Candidate Profile – The View Feedback button will be disabled until feedback is provided by at least one interview attendee.

After feedback is given, employees can then click View Feedback to open all interview attendees' feedback in a slide-out drawer.

Employees can navigate between questions by clicking the arrow icons listed before and after the question indicator. Select Done to close the drawer when finished reviewing the responses.

    General logic

    • The Give Feedback button will appear once an interview is in progress.
    • If the interview has been deleted and the attendee has not submitted the Interview Feedback yet but clicks the link, then an error will display.
    • If an attendee has not submitted feedback and has permission to view feedback, then they will be able to see the feedback.
    • If an attendee has not submitted feedback yet and does not have permission to view feedback, then the Gives Feedback button will be hidden.
    • If an attendee has completed their feedback, they cannot edit it.
    • The Update button will still display alongside the Give Feedback button to enable an interviewer to make the necessary edits to the interview while the interview is in-progress.
    • If an attendee completed feedback for a candidate after their interview has been canceled or rescheduled, then the interview will be listed under the Completed Interviews section with either a Canceled or Rescheduled pill and the ability to view the feedback (by selecting View Feedback).
    • Candidate Interview Feedback surveys can be tied to multiple areas of the system. If multiple feedback tiggers are set for the same candidates, such as on both the job and the workflow assigned to the candidate, then the system will only send out one survey and will base its feedback configuration on the process setup for the below products in the following hierarchy:
      1. Job
      2. Event
      3. Journey Targeting
      4. Workflow
