    The Choose a Time feature allows users to select times to send to the candidate when sending an interview request.


    Configuration

    Only Company/Account Admins with full access to Client setup or your CS Representative can enable this feature for you. Please contact them for assistance, if needed.

    1. Select the All Apps button in the top left corner of the header and then Settings from its drop-down menu.
    2. When the Settings page opens, select Client Setup under the Paradox Tools section.
    3. Client Setup will then open. Scroll down to and open the Scheduling section.
    4. Toggle on the Allow employees to choose the interview time setting.
    5. Save the page.

    Using the Choose a Time feature

    After an interview is configured, the user has the Choose Time option.

    1. Configure the interview.
    2. Click the Choose Time button at the bottom of the drawer.
    3. A list the interviewer’s open interview times will display. Select one or more times to send to the candidate.
      • Logic Note:
        • Multiple Times – This will cause your AI Assistant to present those specific times to the candidate as interview options.
        • One Time – This will cause your AI Assistant to schedule the candidate for the selected time, and no coordination will happen between your AI Assistant and the candidate.
          • Note: This is useful when a user wants to schedule an interview on busy days or set an interview with a candidate without changing their OITs if the interview time is not a frequent occurrence.
      • Schedule over unavailable times toggle: If Schedule over unavailable times is enabled, every time slot becomes available as an option to schedule the interview. If there are absolutely no times available, and you navigate to this page, this option will be on by default.
        • Note: The Schedule over unavailable times toggle is not available in specific situations. Read more about this here.

           
    4. Select Schedule.

    Optional attendees

    When optional attendees are added to an interview and you choose a time, then all required attendees' availability will be shown.

    When scheduling an interview, you can hover over an available time to view how many attendees are available. The icons displayed will indicate the number of attendees who are available to attend the interview:

    • Fully shaded – When the icon is filled in, then this represents required attendees.
    • Outline – When the icon is an outline, then this represents optional attendees.

    Sequential Interviews. When hovering over an available time, you will be able to view all of the sessions of the interview and the number of attendees that are available for each.

    • Note: If the sequential interview is scheduled in any order, then the order of the interviews will display depending on when each is available.
     

     

    Time zone

    You will also be able to determine the time zone in which the times should be sent to the candidate using the time zone dropdown in the top left of this slide-out drawer.

    Date selection

    You can also change the date by clicking the date listed. Upon clicking this, a calendar will open where you can select the preferred date to view its OITs. The selected date will then display it’s open times, in which you can choose to schedule the candidate for an interview.

    Schedule over unavailable times

    If the Schedule over unavailable times toggle is enabled, every time slot becomes available as an option to schedule the interview. If there are absolutely no times available when you navigate to this page, this option is turned on by default.

    The Schedule over unavailable times toggle is not available in these situations:

    • When the interview type is a Group Interview.
    • Sequential interviews that have a Scheduling Method set to Any Order.
    • When there's a round robin group and the Number of Attendees is not equal to the amount of users in the round robin group.
    • When Any Room is selected as the Room and the customer is using a room booking integration (such as Zenoti or Condeco).
    • When there are 20 or more attendees.

    Sequential interviews/scheduling method

    Once at least 2 interviews have been added, an additional setting will appear titled Determine Scheduling Approach. Based on the selection here, the scheduling method will be populated with the respective selection. Options include:

    • Consecutive In-Order
    • Consecutive Any Order
    • Schedule Over Multiple Days

    Once Choose Time is clicked, the scheduling method will be reflected at the top of the drawer. As long as Schedule over unavailable times is toggled off, Any Order will be a selectable option. When it is toggled on, however, choosing a time must happen in the order of the sequential interview has been outlined in Interview Details.


    FAQs

    Will candidates be able to click the calendar link and select a different time than the ones preselected?

    No, if Choose Time is used, then only the times sent will be available to the candidate.
