Candidate Work Experience can be captured, validated, and displayed as a collection of date ranges when added to a candidate form. This helps to prevent gaps in the candidate’s timeline and provide an overall easier user experience.
If you do not need a full timeline, you can always use the general Work Experience task instead.
Use cases
- Hiring Managers who want to review the last 10 years of their work history so that they can evaluate candidates' level of expertise and any specialized skills they may have acquired.
- Hiring Managers who want to have the ability to configure validation that matches the information they need.
- Admin users who have candidates input a complete range of data in order to maintain proper compliance in an industry with strict requirements.
Date format note
The date format is only collected as MM/YYYY. This will be used to validate a range configured time span by month.
- Start Date – Saved as the first day of the month.
- End Date – Saved as the last day of the month.
Configuration
Configure the Work Experience Timeline by following the steps below.
- Navigate to the Forms page.
- Open the preferred form.
- Click + Add Section.
- Select Work Experience Timeline from its drop-down menu.

- When added, this section comes pre-configured with the following form questions. Click the settings icon in the top right of the section.
- An Employment Question (Work Experience questions are pre-configured with conditional logic based on the candidate’s selection to this first employment question)
- MULTILINGUAL APPLICATION Note: The responses to the first question will be uneditable until we can enhance our multilingual conditioning.
- Your Job Title
- Company Name
- Address task

- An Employment Question (Work Experience questions are pre-configured with conditional logic based on the candidate’s selection to this first employment question)
- From the Required Time Frame selectors, choose the time frame in which candidates will need to enter in their work experience and that will be validated as a continuous history of dates. Any number of months and years can be selected for the time frame.

- (Optional) You can set a section condition in order to allow applicable candidates to skip the Work Experience Timeline section entirely. This can be beneficial for candidates who have no work experience history in this specific area or where detailed work time span isn’t as necessary. To set conditions,
- Toggle on the Add Condition setting.
- Set the necessary conditions that would cause a candidate to skip this section entirely. Learn more about adding conditions here.
- Enter in the instructions for this section, which will display to the candidate if they meet the conditions for this section (if set). You are able to update the font and formatting of this section, link out to any relevant URLs, and add tokens as needed. The following tokens are included with this task:
- #required-time-frame – This shows the configured time frame value.
- #gap-start-date – This shows the gap cards start month/year.

- Set the Fill Gap Title for a fill gap section in the timeline. As gaps are identified when candidates begin to enter in their work experience, an exclamation point will display in the timeline and a Fill Gap card will display in the History panel. Once a candidate clicks on the Fill Gap card, the empty gap entry will display where the candidate can update this information. This title is listed at the top of this section to the candidate.

- Enter the Fill Gap Instructions, which are the instructions presented to the candidate notifying them that a gap exists in their work history that they need to fill out.

- Click Apply in the bottom right corner of the drawer.
- If relevant, you can add the following task questions to this section:
- Address
- Custom question
- Date selection
- Display text
- Save the section.
- Add additional sections as needed.
- Publish the form.
Pre-configured conditioning

The work experience questions are pre-configured based on the candidate’s selection to the first employment question.
- If Yes is selected – The remaining work experience questions show.
- If No is selected – Only the date range remains.
MULTILINGUAL APPLICATION: The responses to the first question will not be editable until we can enhance our multilingual conditioning.
Add additional conditions
While you cannot remove this pre-configured condition, you do have the option of adding conditions onto it. To do this,
- Click the condition icon under the Your Job Title question.
- A slide-out drawer will open. Add an +AND and/or +OR condition and/or click + Add Rule Set to add an entire rule set.

- Click Apply to add the changes.

Disable / Hide default section questions
The date range and address portion of an entry are not conditional and will display in every response.
The pre-configured questions in this section are displayed to the candidates and used to describe their work experience. While these questions cannot be edited, they can be disabled as needed, and, therefore, not shown to the candidate.
To disable a question,
- Click the questions’s action menu, or ellipses.
- Select Hide Question in its drop-down menu. The question will then be grayed out and include the hidden eye icon next to the question title.

- If No is selected – Only the date range remains.

Enable / Show default section questions
The pre-configured questions in this section are displayed to the candidates and used to describe their work experience. If previously disabled, they can be enabled at any time.

To show a hidden question, simply click the hidden eye icon next to the question title. The grayed out display will then be removed and the question will display as normal.
Attribute mapping
Attribute mapping within this section will be read-only, as the Work Experience Timeline is defaulted to the Experience attribute for all accounts.
Candidate experience
When a candidate comes to the Work Experience Timeline section of their form, the section instructions will display for them to review. They will then need to complete the steps below.
- Click + Add History to begin entering in their work history.

- Answer the first employment question, which will determine the questions that are displayed after it.
- Question: Were you employed?

Answers:
- Yes – If selected, then the remaining work experience questions show.
- No – If selected, then only the date range remains.
- Fill out the information for this specific work experience.
- Click Create in the bottom right corner of this entry.
- After the first work entry is added, a timeline will appear at the top, indicating the completed portion of the timeline and the remaining gaps. The History panel underneath the timeline will also list the entered work experiences and empty gaps in chronological order. Click + Add History next to the History panel title to add additional entries.

- Enter the additional experience details.
- Click Create to add the entry to the timeline.
- Repeat this process for all work experience.
- Click Next Section to complete the rest of the form.
Pre-filled resume values
When attributes are parsed from the candidate’s resume, entry cards will be automatically created and pre-filled with their data. Oftentimes, missing fields will be listed within these cards, which will require the candidate’s attention to complete.

When records are prefilled, a modal will appear that will prompt the candidate to go directly to the first blank field/answer for the first incomplete card.

Candidates can then complete all entry cards in the History panel and then fill in the missing gaps.
Maximum responses allowed
Candidates can enter a maximum of 50 responses for their work experience.

If they exceed this number, a modal will appear notifying them that they have reached the maximum number and to reach out to their hiring manager if they need to add more experience.
Fill experience gaps

As candidates enter in their work history, Fill Gaps will be listed in the History panel when there are missing entries in the designated time frame. Candidates can continue to add history by clicking the + Add History button or they can fill the listed gaps by clicking each Fill Gap card and entering in the missing information.
When a Fill Gap card is clicked, the screen will auto-fill the date range with the associated time frame gap and include the fill gap title and description for the candidate to review before completing these details.
Add new history when current history is incomplete

If a candidate clicks the + Add History button before they have clicked the Create button for the current entry details, then a new entry will open and the information for the previous entry will be saved within the History panel with an error state listing the number of missing required fields for easy review.
Remove an entry

A Remove button will be listed in the top right corner of every entry. At any time, a candidate can open the entry from the History panel and then click this button. A warning modal will then display where they can click the Remove button to finalize the entry’s removal.
Moving forward with an incomplete history

If the candidate attempts to move forward in the form without completing their entire history, then a warning modal will display, notifying them that they must complete their history before moving forward.
