The Schedule section of the Event Builder is where you can set the event's schedule. After a user with full access to the Events permission will first create an event and then complete the Overview, Recurring Rules, Jobs, and Team sections. They will then open the Schedule section, where they can complete the following steps:
- Hover over the calendar and then click, drag, and drop the highlighted portion of the calendar to mark your first session.
- A slide-out drawer will automatically open, allowing you to select this session as an Scheduled Interviews or Event Session.
- Update the selected session's details, which are outlined below.
- Repeat the previous step for all sessions.
- Click Next in the top right corner of this section.
Scheduled interviews
- Enter a name for the session.
- The start and end date will reflected the time range you selected in the calendar. Update these times, if needed.
- Select the Interview Type.
- Select how long each scheduled interview will be from the Duration of Each Interview selector.
- Select the number of interviews that you want to take place for the selected interview duration.
- Update the venue location and venue name as needed. By default, this field displays what you selected as the venue in the Overview section.
- Assign any interviewers to serve as interviewers for the session based on the team members you added to the event. Refer to the below section for more detailed functionality.
- If you want to create sequential interviews, select Add Interview and update the interview details as needed. Refer to the below section for more detailed functionality.
- Add any of the following to the Interview Details:

Add Buffer Time – This allows you to choose the amount of buffer time between each of your interviews. You can select this and use the dropdown menu to select the following interview buffer times:
- 5 minutes
- 10 minutes
- 15 minutes
- 20 minutes
- 25 minutes
- 30 minutes
- Custom
- Note: You cannot select a buffer time that exceeds the duration of each interview.
- Interview Instructions (optional) – Add any interview instructions.
- Interview Feedback (optional) – If you have Surveys and Interview Feedback enabled for your account, you can select this and add your preferred Candidate Interview Feedback survey.

Add Buffer Time – This allows you to choose the amount of buffer time between each of your interviews. You can select this and use the dropdown menu to select the following interview buffer times:
- In the Determine Scheduling Approach section, you can determine how interviews will be scheduled using the dropdown menus:

Select how interviews are scheduled – This setting allows users to determine how interviewers are added to this session are scheduled for an interview with candidates. Options include:
- Auto-Assign Interviewers – Your AI Assistant will select the interviewer for each interview.
- Manually Assign Interviewers – Event Managers will have to manually assign candidates to an interviewer from the All Candidates list of the event.

Select how candidates are scheduled – This setting only displays when the user is using sequential interviews. Options include:
- Consecutive In Any Order – This schedules the interviews consecutively, but the interviews can be in any order (example: 1, 2, 3, 4 or 2, 4, 1, 3). Candidates can be scheduled based on interview availability, but they must complete all interviews in the session.
- Consecutive In-Order – This schedules the interviews consecutively in chronological order (example: 1, 2, 3, 4). Candidates can only be scheduled in order of the interviews.

Select how interviews are scheduled – This setting allows users to determine how interviewers are added to this session are scheduled for an interview with candidates. Options include:
- In the Customize Interview Capacity, select the number of interview time slots and interviewers you would like in each interview. The maximum interview time slots is 150, and the maximum interviewers to add in each interview is 10.
- Select Create Session.
Event session
- Name the session.
- The start and end date will reflected the time range you selected in the calendar. Update these times, if needed.
- Select the Session Venue. Options include:
- In-Person – If selected, enter venue details.

Virtual – If selected, you have two options depending on your virtual technology provider:
- If you have WebEx, Zoom, or Microsoft Teams as your virtual technology providers, you can select Auto-generate Meeting URL or Add URL Manually. When you select Auto-generate Meeting URL, a URL will be generated upon event creation. You also have the option to hide this information from unregistered candidates, if preferred.
- For other virtual technology providers, enter in the Session URL and password (optional). You also have the option to hide this information from unregistered candidates, if preferred.
- (Optional) Enter in a description of the session.
- Select the Session Staff that will attend the session.
- Enable or disable the Session Staff Only setting to hide the session from candidates and make it available to be viewed and joined only by event team members.
- Note: This is only available for Event Sessions, Virtual Event Sessions, and Live Video Broadcast sessions.
- Select Create Session.
Add interviewers and add interviews
You can add interviews and add multiple interviews to create sequential interviews.
When you select a Scheduled Interview interaction type for In-Person events or a Virtual Interview interaction type for Virtual Events, one interview is automatically created by default. You can add additional interviews by completing the below steps:
- In the Interview Details section, select + Add Interview.
- The system will add a new interview step. You can add up to a maximum of 8 interviews in a single sequence.
- Update the specific interview details for each step, including the Interview Name (select the edit icon).
- Take additional action on interviews as needed from the interview's action menu, or ellipses. These actions include:
- Move Interview Above – This adjusts the order of the sequential interview by moving it above.
- Delete Interview – This deletes the sequential interview.
As you add new interviews, previous interviews automatically collapse for a cleaner view. Select the expand icon to expand and edit the full details of any sequential interview, or the collapse icon to collapse the interview’s information.
Editing a Sequential Interview
- Scheduled Candidates: If a candidate is scheduled for a sequential interview(but not yet In-Progress) and the change affects their overall sequence start time, they will be rescheduled following standard logic.
- In-Progress Candidates: If a candidate is already In-Progress (completed at least one sequential interview), changes will only affect their upcoming interviews, and they will be notified of the revised sequence steps.
Deleting a Sequential Interview
If the entire sequential interview session is deleted:
- The system cancels all affected candidates (Scheduled or In-Progress).
- Users are prompted to configure the cancellation message in SMS and Email that will be sent to those candidates.

Users can add event team members as interviewers to the session by following the steps below:
- Select the desired team members in the Add Interviewers dropdown.
- Select Add to Session.
Once the user selects the desired event team members, a helper icon and text display under the Add Interviewers dropdown menu to tell the user how many total interview time slots within this session do not have interviewer coverage.
Availability and Scheduling Logic
- Availability Assumption: Users can be added even if they currently show zero availability, as they may become available prior to the event's start. The system assumes a user is available for an event interview time slot unless that slot is blocked as Busy on their OIT Calendar.
- RSVP Restriction: If an interviewer’s RSVP status for the event is Not Going, they cannot be scheduled for an event interview time slot.
View interviewer availability
You can view the specific interview time slots that a user is and isn't available for during the session by following the steps below:
- Select the action menu, or ellipses, next to the interviewer's name.
- Select View Availability to access the View Interviewer Availability drawer.
Every slot of time under the interviewer represents a single interview time slot per duration that they are available for.
- Available status – The time slot pill appears as green or blue.
- Unavailable status – The pill appears as disabled. Hovering over the unavailable time displays a pop-up that explains the reason for the user’s unavailability.
Schedule over unavailable times
If the Schedule over unavailable times toggle displays, then the user has the option to schedule employees for an event over the busy times set on their calendar. This setting can be enabled or disabled as needed.
Remove an interviewer
Users can remove an interviewer from a session by selecting the three-dotted menu next to their name and choosing Remove Interviewer.
