    The Registration section is where you can outline the details of event registration. After a user with full access to the Events permission will first create an event and then complete the Overview, Recurring Rules, Jobs, Team, and Schedule sections. They will then open the Registration section, where they can complete the following steps:

    1. Select whether this event will be a Private or Public Event.
      • Note: If Invitation only private event is selected, then set the Close Registration time and/or registration limit and move to step #10.
    2. The Allow for pre-event registration option will be selected by default to allow candidates to register for the event before it begins. If you do not want to enable this experience, deselect this option and navigate to step #6.
    3. Select the conversation that candidates will use when pre-registering for the event.
    4. Click + Add Registration Outcome and add additional outcomes for this conversation.
    5. Set the Close Registration time and/or registration limit.
    6. If you want to allow candidates to register for the event at the event, select Allow for on-site registration.
    7. Select the conversation that candidates will use when registering for the event onsite.
    8. Click + Add Registration Outcome and add additional outcomes for this conversation.
    9. In the Close On-Site Registration section, set the date and time when candidates can no longer complete on-site registration by selecting the following options:
      • Event end date & time
      • 1 hour after the event
      • 12 hours after the event
      • 24 hours after the event
      • Set specific date and time
        • When this option is selected, it defaults to the event’s end date and time, but you can customize it according to your needs.
    10. Click Next in the top right corner of this section. This will open the Tools section.

    Scheduling conditions

    You can configure scheduling conditions and advanced settings for your orientation event in the Registration section by following the steps below: 

    1. Select the Scheduling Conditions & Advanced Settings card.
    2. In the Add a Scheduling Condition slide-out drawer, select the + Add Scheduling Condition button.
    3. Configure the scheduling condition by selecting the following details: 
      • For every IF statement, you need to select a condition value, matches value, and input value.
        • Condition value options:
          • Assigned Location
          • Assigned Group/Job
          • Candidate Attributes
        • Matches value options:  
          • Is
          • Is Not
          • Contains (only for candidate attributes)
          • Does not contain (only for candidate attributes)
        • Input value options:
          • The Input values will change depending on the condition value selection.
            • If the Condition value selection is Assigned Location, the Input value options will include all locations within Location Management.
            • If the Condition value selection is Assigned Group, the Input value options will include all groups within Group Management.
            • If the Condition value selection is Assigned Job, the Input value options will include all jobs within Job Management.
            • If the Condition value selection is Candidate Attributes, the Input value will be a free text response.

    Scheduling based on an Assigned Job is available for both Conversational ATS and Integrated ATS customers.

     
    1. After a condition is configured, the user can add additional AND or ORs to the condition.
      • If the user clicks + AND, the user will expand the IF statement to include an additional parameter.
        • Note: If the user creates an IF statement that includes an AND (see below example), a candidate can only be scheduled for this event when both conditions are met.
      • If the user clicks + OR, a new IF statement will appear.
        • Note: If the user creates an OR an additional IF statement (see below example), a candidate must meet one of the two IF statements to be scheduled for the event. 

    Advanced settings

    Within the Add a Scheduling Condition drawer, there are two settings available:

    • Maximum Number of Candidate Per Location – This setting determines how many candidates per assigned location from Location Management can be scheduled for this event. The only two options include Unlimited and 2 candidates.
      • Note: The majority of use cases will have Unlimited selected.
    • Send Events that Match Candidate’s Timezone
      • If auto-schedule to Orientation Events is configured and this toggle is on, this event will not be presented to the candidate if the event’s timezone does not match the candidate’s timezone.
      • If scheduling conditions are configured, Configured will appear within the Scheduling Condition & Advanced Settings card/button.
