Available ATS Integrations Configuration Step #1: Create a Dynamic ATS Conversation Skip question action Candidate experience

A dynamic ATS conversation is a conversation that dynamically retrieves questions from an external ATS to use within a conversation. It is important to note that only certain external ATSs can utilize this feature.

    Available ATS Integrations

This conversation template is only available when the one of the below ATSs is selected:

    • Brightmove
    • Cornerstone
    • SAP SuccessFactors
    • SmartRecruiters
    • Workday

Important Note: When creating Dynamic ATS conversations, you can add up to 40 follow-up questions.

    Configuration

Step #1: Create a Dynamic ATS Conversation

    1. Click the All Apps button in the top left corner of the header.
    2. Click the Settings app in its dropdown menu.
    3. Click Conversation Builder under Automation.
    4. In the top right corner of the All Conversations list, click Add Conversation.
    5. Select Add Custom Conversation from its drop-down menu.
    6. Name your conversation.
    7. Select the following values in the header of the conversation:
      • Template = Dynamic ATS Conversation
      • Conversation Targeting = Journey Targeting Candidates
      • Candidate Journey = The Candidate Journeys associated with this conversation.
        • Note: If the conversation is already in use within Journey Targeting, then these selectors will be disabled and cannot be updated.

The following setting in step #8 is only available for Workday Chat-to-Apply customers at this time. Learn more about the Workday Conversational Apply (Chat to Apply) integration.

    1. For Workday Chat-to-Apply customers only, enable or disable the 3rd Party Downtime: Pause Conversation setting.
      • When enabled, the conversation pauses when downtime is detected. Candidates receive a System Downtime message when the outage starts and a System Restored message when service is back. These can be customized in Assistant Messaging > Miscellaneous > 3rd Party Downtime Message. Learn more about Assistant Messaging.
    2. Review the selected template's questions and make updates where needed.
      • Notes:
        • The conversation's screening questions will be pulled in from your external ATS.
        • ATS Mapping will be enabled for all questions.
        • Equal Employment Opportunity Question: Clicking the question's three dot icon will open a list of information to collect. By default, all options will be selected. Deselect any information you prefer not to ask.
    3. Ensure to save and publish the conversation.

    Skip question action

The Skip Question action allows questions to be skipped based on a candidate’s answer to the previous question. If you would like to include skip questions in a conversation, follow the steps below.

    1. Navigate to the question that will be asked based on the candidate’s answer to the previous question and that will potentially be skipped by the candidate.
      • Important Note: If a question is required in your external ATS, then the Skip Question logic cannot be applied to that question.
    2. Click the question's action menu, or three dot icon, and then select Skip Question.

    3. In the slide-out drawer that opens, select the Starting Value. This can be a question or a Candidate Attribute.
      • Note: The Statement Message question type will be hidden from this field since no response is necessary for a Statement Message.
    4. Choose the preferred operator for the Screen For selector.
    5. Enter a value in the Text Input field that will cause the question to be skipped if the Candidate responds with it.
      • Note: The Then section below the If condition setting will always say Skip Question and will auto-populate to the title of the question that the condition is built on.
    6. If needed, you can add additional conditions by using the AND and/or OR operators. A new If statement will then display where you can set the additional condition by repeating steps #3-5.

    7. Click Apply when all conditions are created.

A banner will then be listed above the question to indicate that the Skip Question logic was applied and can be edited there.

    Candidate experience

When the Skip Question action is applied to a question, candidates who meet the criteria set for that question by responding with the values dictated in its condition(s) will not be asked that question and will, instead, be asked the following question.
