    Calendar invites All other email alerts Email impersonation configuration (Paradox Admins)

    When an Assistant Calendar is an Outlook or Google calendar, the system will use this email address to schedule events with room resources. However, if no Assistant Calendar is configured, Paradox uses the default email address olivia@paradox.ai for booking rooms and creating attendees' calendar events. 

    A calendar invite sent from a Paradox domain (example: olivia@paradox.ai) will not be automatically accepted by the room resource. In addition to this, when connecting new service accounts, the system automatically connects your service accounts to your Assistant Calendars. Because of this, custom email alerts will need to be configured.

    There are two ways that email alerts are sent out from the system:

    • Calendar invites
    • All other communications

    Calendar invites

    For teams using Microsoft Azure/ Entra (SMTP), they can update the email address that calendar invites are sent from by following the below steps:

    1. Open Microsoft Azure/ Entra (SMTP).
    2. Update the Email field to the email they want to use for sending calendar invites.
    3. Save the page and check to make sure the updated field is stored in the cloud.
    4. Work with your CS Representative to disconnect and then reconnect the new email address.

    Any calendar invites will then be sent through their original email address but display as the updated email address. 


    All other email alerts

    Teams have the ability to send emails through the Paradox system, from their own sender domain. This means that emails will appear to be sent from your email network, but they will actually be sent through Paradox without the candidates/recipients knowing.

    • Example: Instead of an email coming from olivia.alerts@paradox.ai, it can come from olivia@enzo.com.

    Paradox leverages SendGrid’s email sending API in order to send all Paradox-application generated emails. This means your team will need to make updates to your DNS records in order to send from your domain, through Paradox’s (SendGrid’s) network.

    When your team chooses to send emails from your own domain, this means that all emails will be sent from Paradox with your company's From Address.

    Email impersonation configuration (Paradox Admins)

    The below process is outlined specifically for Paradox Admins/CS Representatives.

    1. Coordinate with an Admin user on what the full account and (sub)-domain they will be sending emails from.
      1. Domain = @example.com
      2. Sub-Domain = @subDomain.example.com
    2. Open the CEM account.
    3. Select the All Apps button and then Settings.
    4. When the Settings page opens, select Assist under the Paradox Tools section.
    5. Open the Custom Email Alerts section from the left side of the page.
    6. Update the Sender Name field. This should default to “#ai-name from #company-name”, but it can be customized to whatever the customer wants.
    7. Update the Sender Email Address field. This should be the actual email address used for alert emails.
      • Note: If the domain needed is “@paradox.ai”, then skip this step.
    8. Select Save.
    9. At this point, the CNAME records should populate. Provide these records to an Admin user and ask for them to add to their DNS records.
      • Note: Have the Admin user enter in the CNAME record values as they appear in the CEM. Do not add additional text, such as http://. This will cause the verification step to fail.
    10. Once the Admin user has verified the DNS records have been updated, return to the same page in the CEM and select Verify.
    11. Select Send to send a test email to yourself to verify that the email address and name are displayed correctly.
