Configuration Step #1: Determine the Contextual AI settings you want to use Step #2: Enable this feature Step #3: Provide your consent to using these features Revoke consent Step #4: Updating user permissions

Contextual AI enables your AI Assistant to have more human-like conversations with your candidates and employees. When enabled for your account, each Contextual AI feature you would like to implement requires the consent of a Company/Account Admin before these features can be used in the platform.

    Configuration

Step #1: Determine the Contextual AI settings you want to use

Review the Contextual AI features below to determine what you would like enabled for your account.

    • Contextual Writing and Editing – This feature allows your team to auto-generate text from scratch or existing text in certain system areas. Click here to learn more.
      • Your brand's tone – If using the Contextual Writing and Editing feature, then select from one or more of the following brand tones that can be used by your team when creating and/or adjusting text:
        • Formal
        • Casual
        • Professional
        • Enthusiastic
    • Knowledge Training Library – This features allows users to upload documents so that the system can generate topics and answers for them in the Content Management System (CMS). Click here to learn more.
    • Contextual Q&A – This feature enables your AI Assistant to provide contextual responses within a candidate’s conversation if Q&A is enabled for your account and a candidate asks a Q&A question. This ensures that your AI Assistant's response is adjusted to reflect the context of the conversation while also providing the candidate with accurate information. Click here to learn more.
      • Use emojis in contextual responses – By default, emojis can be used in your AI Assistant's messages. If you do not want emojis used in the conversation, let your CS Representative know.

    Step #2: Enable this feature

While you will need the help of your CS Representative to enable the parent toggle for this feature, other feature settings can be enabled and customized by users who have full access to Client Setup.

If you have this access, then complete the below steps.

    1. Select the All Apps button in the top left corner of the header and then Settings from its drop-down menu.
    2. When the Settings page opens, select Client Setup in the Paradox Tools section.
    3. Client Setup will then open. Scroll down and open the Contextual AI section from the left panel.
    4. The Contextual AI toggle should be enabled by your CS Representative. If it is not, then please reach out to them for assistance.
    5. When enabled, the following fields will display. Toggle on the features that you want to utilize, which include:
      • Company Information – This box is where you enter information about the company that is used to influence Contextual Q&A/Care responses. It is crucial to ensure that this information is provided accurately and can be updated at any time.
        • Note: When Contextual AI is enabled, Paradox automatically generates an AI-generated description with accurate, relevant data based on public data sources. You can adjust this description as needed, with a maximum limit of 240 characters.
      • AI Model:
        • Select the LLM to use for Contextual AI – This determines which AI Model is used for your assistant. This field will be preselected and read only.
      • Approving User Role(s):
        • Select which user role(s) will receive a notification to approve the use of Contextual AI in the account – This allows you to select the users who will be notified that this feature was enabled in their account (when this page is saved) and that they must consent to using this product from the Company Information page. By default, Company/Account Admin roles will be selected, but roles can be removed as needed.
      • Contextual Writing and Editing – This setting allows users to auto-generate text from scratch or existing text. This will only apply to certain system areas. Click here to learn more.
        • What tone is your brand? – This will display when the Contextual Writing and Editor setting is enabled. This setting determines the tone of your brand when utilizing the Text Generation and GenAI Text Editing feature. You can select one or more of the following options:
          • Formal
          • Casual
          • Professional
          • Enthusiastic
            • Note: These options will be available for a user to choose from when creating and/or adjusting text.
      • Knowledge Training Library – This setting refers to a feature where users can upload documents and the system will generate topics and answers for them. Click here to learn more.
      • Contextual Q&A – This setting enables your AI Assistant to provide contextual responses within a candidate’s conversation, if Q&A/Care is enabled for their account. Click here to learn more.
        • Use Emojis in Contextual Responses – By default, this setting will be enabled, allowing emojis to be used in your AI Assistant's messages. If they do not want emojis used in their assistant's conversation, disable this setting.
    6. Save the page.
    7. Reach out to your Company/Account Admins to provide their consent to using these features from the Company Information page.

Step #3: Provide your consent to using these features

By default, Company/Account Admins should have full access to the Contextual AI section of the Company Information page. Access to this section can be adjusted under the Company Information parent permission.

When Contextual AI is enabled for your account, Company/Account Admins or the user roles chosen to provide their consent in Step #2 will need to sign off on using Contextual AI features from the Company Information page. To do this, they can follow the steps below.

    1. Select the All Apps button in the top left corner of the header and then Settings from its drop-down menu.
    2. Select Company Information under the Company section of the Settings page.
    3. All of the Contextual AI features enabled for your account will display on this page. Review the feature descriptions and enable the toggle for the features you want to use.
      • Note: You are required to provide consent in order for team members to use Contextual AI features.
    4. An Enable Contextual AI modal will open where you will need to review and check the I agree box below the description.
    5. Select Confirm in the bottom right corner of the modal.
      • Note: If the modal includes a scrollbar, then you will have to scroll to the bottom of the modal in order to enable the I agree checkbox.

This will note your consent signature and the date for when you approved the use of Contextual AI.

    Revoke consent

You can revoke your consent at any time. To do this,

    1. Toggle off the preferred feature from the Company Information page.
    2. A warning modal will display, listing the products that are currently using it. Click Revoke Consent.

    Step #4: Updating user permissions

Work with a user who has full access to Roles and Permissions to determine which user roles should have access to enabled Contextual AI features. By default, Company/Account Admins will have full access to the features enabled for their account. However, permissions for other users will need to be adjusted as needed. These roles include the following:

    • Contextual AI – Access to all of the below features.
      • Contextual Response Notes – This provides users access to reviewing your AI Assistant's Contextual Response Details within a conversation. Click here to learn more.
      • Contextual Editing – This provides users access to text editing and generation across the platform in order to create more engaging content, communications, and more. Click here to learn more.
        • Note: This access is provided to all users by default.
      • Knowledge Training Library – This provides users access to generating Candidate Q&A responses by simply uploading a document or pasting a URL in the CMS. Click here to learn more.
