    Time zones Workflows and Campaigns scheduler logic User experience

    With the help of your CS Representative, you are able to set the hours in which communications are sent to candidates in the designated timezone.


    Configuration

    This feature is disabled by default. To enable the setting of candidate communication hours, contact your CS Representative.

    Communication hours logic

    When this feature is enabled, it will apply to all products where communications are sent. These include:

    • Scheduling
      • This logic will apply to new interview invites, reschedules, cancels and updated interview invites. Interview reminders should not be included in this update.
    • Conversation reminders
    • Workflows
    • Offers
    • Candidate Journey communications (Forms)
    • Surveys

    The next action would be to select business hours. It's a two-part selection process:

    1. Days selector: This will allow users to select the days in the week the communications can be sent.
    2. Hours selector: This will define the window of time the communications need to be sent.

    Time zones

    • With integrations, timezone can be selected with either the Job Location or Candidate Location (city, state, country), if available.
      • Note: If no requisition/job/work/candidate location is passed while creating a candidate, then the system will use the user’s timezone.
    • Candidates IP: If the timezone is detected using the candidate's IP Address, then the system will use that as the candidate's timezone.
      • If the candidate's IP Address is not known and candidates come in through Job Search, the system will use the time zone of the job location that the candidate applied to.
        • Notes:
          • Any communications (SMS) sent outside of these hours will be queued and sent the following day.
          • If the candidate reaches out to your AI Assistant via SMS (short code/long code/Whatsapp), your AI Assistant will respond immediately.

    Workflows and Campaigns scheduler logic

    1. The message will be sent if the delay added on workflow task/campaign falls within the SMS communication time frame.
    2. The message will be sent at the next earliest available communication time if the delay added on workflow task/campaign falls out of preferred communication hour.

    User experience

    When attempting to complete a task that requires communications to be sent and it is outside of the set candidate communication hours, then you will see a yellow banner display, noting that the communication will be sent at the start of the candidate communication hours time window.
