Send a message to a mass amount of candidates to inform candidates of an upcoming event, a new job posting, or your Career Site link for them to submit an application.
Create a Message campaign
- Select the All Apps menu in the top left corner of the header and then Campaigns in its drop-down menu.
- The Campaigns page will then open. Select + Create New Campaign in the top right corner of this page.
- Select the campaign option from the modal that opens. Options include:

Single Campaign – Sends only one campaign to people who match rules right now.
- Note: The process that follows will walk through a single campaign.
- Drip Campaign – Sends a series of campaigns to people that match rules in the future.

Channel & Audience section
- Name your campaign.
- If the Multi-branding feature is enabled in your account, select the brand associated with this campaign.
- Select the preferred delivery channel you want to send the campaign through. Options include:
- Communication Preference – The recommended channel to select, which ensures candidates receive the campaign via their single preferred channel (SMS or Email) to maximize reach while honoring individual choice.
- SMS – Candidates receive the campaign via text message only if SMS is explicitly listed as their preferred communication method.
- Email – Candidates receive the campaign via email only if Email is explicitly listed as their preferred communication method.
- Select the candidate audience using + Add Filter, then add or update any additional filters and the Candidate Timeframe as needed. For details on channel options, audience filter types, upload instructions, and audience size limits, read Campaign's audience builder.
- Select View Audience to preview the candidates within your filters.
- In the upper-right corner, select Next to move to the next section.
Important Note: Status changes cannot be made to Campaign-only candidates on their Candidate Profiles. If an associated application or event is tied to their profile, then you can make status changes from those tabs, but not from the Campaigns tab.
Associate Event section (optional)
If you want to associate a campaign with a specific event:
- Toggle on the Associate campaign with an event toggle.
- In the Event selector that appears, select the event that you want associated with your campaign. This can be an upcoming or past event.
- In the upper-right corner, select Next to move to the next section.
Compose section
- Select the persona you want users to receive the campaign from by selecting the Sender.
- Select Message as your Campaign Type.
- (Optional) If applicable, choose the Messaging Template that should be used for this communication.
- Note: Only campaign messaging templates can be found and selected from this dropdown.
- By default, an introduction message will display on the righthand side of the screen, which will be updated if a messaging template is selected. Review and edit this message if needed.
- Note: View a mock mobile phone/email preview by navigating between the SMS and Email tabs.
- Open the Email tab and update the subject line for this campaign’s email communication.
The character count limit for SMS is 640 characters, while the character count limit for Email is 1600 characters. When you have entered an input greater than 160 characters for SMS campaigns, then the character counter turns orange and a warning message displays under the text box.
- (Optional, but encouraged) Select Send a Test from the bottom left corner of the builder to send a test of the campaign to a specific email or phone number.
- Select Next in the top right corner of the builder.
If Multilingual is enabled for your account, you can update the message sent to candidates with a different language preference by completing the below steps:
- Select the language selector in the upper-right corner of this section.
- Choose the preferred language.
- Update the message for that language.
If you use multilingual messaging templates, the languages are automatically selected once you select the messaging template. You can change the languages configured by adding or removing them. By editing a messaging template, it is no longer synced to any updates made on the original template.
- Note: If you have selected additional languages, but the English messaging template selected for this campaign was edited and does not have that same language translation, then a modal will open that, when confirmed, will automatically translate the message to the selected languages.
Schedule section
- Set the date, time, and time zone that this campaign will be sent.
- Note: Campaigns cannot be edited, rescheduled, or deleted within 15 minutes of the scheduled time.
- Select Schedule Campaign in the bottom right corner of the builder.
- In the Schedule Campaign warning modal that opens, click Confirm to officially schedule the campaign or Cancel to return back to the Campaign Builder.
Candidate experience
When the candidate receives the email or text, depending on what the user configured, they will be able to respond directly.
- Note: The background image used for the landing page that the candidate goes to pulls from the company site within web management.
Candidate Profile indicator
Campaigns will only display in this tab for candidates who have received the campaign and engaged with it. If a candidate is sent a campaign but does not engage with it, the campaign will not display on this tab.
Within the Campaigns tab of the Candidate Profile, a Message tag will display next to the campaign sent to the candidate. You can select the campaign to view the conversation on the left panel.
Permissions
Access to sending a campaign is based on the Campaigns permission. By default, Company/Account Admins, Full User - Edit Everythings, Power Users, and Franchise Owners will have full access to this permission.
The Access to All Campaigns child permission under the Campaigns parent permission allows you to grant users access to all campaigns in the account or restrict users access to only their own campaigns with the below access levels:
- Full Access: User can view and edit every campaign.
- No Access: User can only view and edit their own campaigns that they’ve created.
