Auto-scheduling via Campaigns is a powerful tool for proactive outreach and high-volume coordination. Unlike job-level or conversation-based scheduling, which typically wait for a candidate to take an action (like applying or reaching a specific stage), campaigns allow you to push scheduling opportunities to a targeted audience.
This guide outlines information around the use cases and configuration of this feature.
Use cases and outcomes
- Proactive Mass Outreach: Campaigns allow you to schedule multiple candidates at once who meet specific criteria. This is ideal for "re-engaging" cold candidates in your database or inviting a large group of pre-qualified candidates to book an interview simultaneously.
- Automated "Drip" Scheduling: By using Drip Campaigns, you can set up a recurring audience (e.g., "candidates who reached Capture Complete but haven't scheduled in 3 days"). Your AI Assistant will continually monitor for candidates who hit this metric and automatically send them a scheduling prompt, acting as a "stop-gap" to ensure no one falls through the cracks.
- Database Mining: If you have a sudden need for a specific role, you can filter your existing candidate pool (e.g., by location or past screening scores) and send a scheduling campaign to immediately fill interview slots without requiring them to re-apply.
- Simplified "Scheduling-Only" Workflow: For teams who don't want a full conversation, the Scheduling campaign type allows for a simple introduction message followed immediately by the auto-scheduling prompt. This is a "low-friction" way to get candidates on the calendar quickly.
Limitations
- Attendee Limitations: Currently, campaign auto-scheduling typically supports only a single attendee (or a Round Robin group/location calendar).
- No Sequential/Panel Interviews: Unlike job-level scheduling, you cannot set up sequential or panel interviews through a campaign.
- Audience Overlap: Scheduling campaigns will send prompts to everyone in the filtered audience, even if they are already scheduled. To avoid duplicate prompts, it is recommended to use Message campaigns for simple reminders.
Auto-schedule via Campaigns
Scheduling campaigns send scheduling prompts to all candidates in the audience, regardless of whether they are already scheduled. You are not able to exclude already-scheduled candidates from receiving scheduling prompts in this campaign type.
To avoid this, use a Message campaign for reminders or informational messages.
When users create a campaign, they can use it to schedule multiple candidates that meet certain criteria at once. Users with full access to Campaigns can complete the below steps.
- Select All Apps in the top left corner of the header and then Campaigns from its drop-down menu.
- Open or create the preferred campaign.
- Note: This process can be carried out in a drip campaign by either building a campaign template or configuring a new scheduling campaign.
- Filter for your audience.
- Set the campaign type to Scheduling.
- Define the interview that will be used when auto-scheduling candidates.
- Note: In its current state, limitations exist for auto-scheduling interviews. Review the limitations outlined above.
- Review and update the default messaging sent to the candidate, if preferred.
- Select Next.
- Schedule the campaign.
