When enabled in the Document Builder, the document audit log will track all changes and edits made to your document. This is crucial for compliance, transparency, and understanding the document’s evolution throughout its lifecycle. The audit log is available for both fillable documents and documents to review.
Enable document versioning
AAn audit log can be appended to a document in the Name and Upload section of the Document Builder. Simply toggle on Append Audit Log to Document in the Additional Settings section to begin tracking any changes made to the document.
View a document's audit log
When enabled for a document, its audit log can be viewed from the Hire Details section of the Candidate Profile when the form is in the process of being completed. When you download a version of the document, the audit log for that specific version is appended to the final page(s) of the downloaded PDF.
Audit log details
The audit log automatically records all document edits by a user or candidate. The audit log also tracks the document version associated with each change. The system records the following information for every edit:
- Date and time (UTC)
- IP Address
- Username or User ID
- Action
- Action Details
You can see all changes or edits within the previous document in red font, as well as the detailed audit log on the last page of the downloaded document.
For example: If Form I-9 is initially completed (Version 1) and then edited (creating Version 2), you can download Version 2 with the audit log that shows the changes made since Version 1. Any subsequent submission that includes changes will automatically create a new, increasing version number (e.g., Version 3, Version 4), providing a clear chronological record of its evolution.
FAQs
What happens to in-progress forms when a new document version is published?
Candidates who have already opened a form with the previous document version will continue to see and use that version. New candidates who access the form after publication will see the new version.
Can we revert to a previous document version?
Not as this time.
Can different document versions be used for different jobs?
No, only the most recently published version is active across all forms that use the document. If you need different configurations for different jobs, you should create separate documents.
Who can see the document version history?
Document versions are only maintained on the backend in our database.
What information is tracked in the document audit trail?
The audit trail captures user information, timestamp, previous configuration, new configuration, and a reference to any forms or communications where the document is used.
