    From the Surveys page, you will be able to create surveys that can be sent from a variety of system components.


    Create a survey

    When creating a survey, you can use tokens in the introduction, question, and closing message boxes to most efficiently convey relevant information to you candidates/users. Follow the steps below to create a new survey.

    1. Navigate to the Surveys page.
    2. Click the + Create New Survey button in the top right corner of the page.
    3. Enter in your survey title.
    4. Candidate Surveys Only. If you want the recipients of the survey to respond anonymously, toggle on the Anonymous toggle in the top right corner of the section.


       
    5. Review and update the Introduction message, if needed, to reflect your brand.
    6. Click the + Add a question to get started button.
      • Note: The maximum amount of questions that can be added to a candidate survey is 15. The maximum amount of questions that can be added to an employee survey is 50.
    7. An Add Question modal will then open. Enter in your survey question.
      • Note: The character limit is 320 characters.
    8. Interview Feedback Surveys and Evaluations Only. You will also have the option to tie a Custom System Attribute to the interviewer’s response. To do this, click the + Add System Attribute button within a question and select the attribute associated with this answer.
      • Note: Multiple Interviewer responses can be stored under the same attribute.


         
    9. Select a Theme. Options include:
      • Thumbs – This lists 2 answers with a thumbs up and a thumbs down.


         
      • Emoji – This allows 2-5 answers using emojis. Depending on the number selected, the emojis will further differentiate between a positive and negative experience.


         
      • Stars – This lists 5 answers with the corresponding number of stars.


         
      • Text – This allows 2-5 answers where text can be included or up to 10 answers if multi-select is enabled, where recipients can select more than one response.
        • Note: When a candidate responds to this question via SMS, a typed-out response reflecting one of these options will be accepted.


           
      • Dropdown (only available for Evaluations and Candidate Interview Feedback) – This allows two or more answers where text can be included. There is not a limit on the total number of answers that can be added with this question type.
        • Note: When a candidate responds to this question via SMS, a typed-out response reflecting one of these options will be accepted.
      • Open-Ended Answer – This will provide a text box for the recipient to enter their response.
        • Note: The character limit is 320 characters.


           
    10. For all but Open-Ended Answer themes, enter in possible responses to the question.
    11. For all but Open-Ended Answer themes, you can add additional answers by clicking the + Add Answer button.
    12. (Optional) You can add Additional Feedback to answers if additional feedback is needed. To do this, click the corresponding answer’s action menu, or ellipses, and then select Add Additional Feedback from the menu that opens. A box will display below the answer where you can enter in a Request Feedback message and then mark it as required, if preferred.
      • Note: The character limit is 320 characters.


         
    13. Update the Additional Settings section to reflect the following:
      • Hide Labels – This will be available for Thumbs, Emoji, and Star themed questions and allow you to hide the answer labels associated with the selected theme.
        • Note: This functionality will be supported for both web and form surveys.
      • Exclude from Overall Satisfaction and Alerts – This will exclude the question from the overall Satisfaction Rate on the Surveys dashboard and any notifications in regards to a negative response.
      • Create WhatsApp Template – This will create a template of the survey for WhatsApp.
      • Allow Multi-Select – This will be available for Text themed questions and allow recipients to enter more than one response. When selected, a Max Number of Selections field will display where you will enter in the value that reflects the maximum number of responses.


         
    14. Click Confirm to add the question to the survey.
    15. The question will then display within the Content section. Click the plus icon after the newly-added question and repeat steps #7-14 for including additional questions in the survey.
    16. Before clicking the Next button and moving to the Preview section, review the optional actions below.

    Reorder question answers

    You can reorder question answers in one of two ways:

    • Flipping the order
    • Manually adjusting the order

    Flip order

    If your first answer is intended to be the highest/best ranking, then you must flip your answers so that the highest number equals the highest/best response. Otherwise, the system will note Answer #1 as the lowest/worst rating due to its low value.

     

    You can easily flip the answers to a question so that the last response is the first and the first is the last. This can be beneficial to use when you want to list the more positive answers first.

    To do this,

    1. Click the preferred question.
      • Note: List select attributes can also be reordered.
    2. In the slide-out drawer that opens, click the Flip Order button in the top right corner of the Answers section.
    3. Click Save.

    For Thumbs, Emojis, and Stars themed questions and for any question that includes additional feedback, the icons and Request Feedback box will be moved with the label.

     

     

    Manually rearrange answers

    You can easily rearrange answers by clicking, dragging, and dropping an answer box into the preferred order. Ensure to save the page.

    Reorder survey questions

    After creating all of your questions, you may find it helpful to rearrange the questions to make the survey flow more logically. You can do this by clicking the Reorder Questions button in the top right corner of the Questions section.

    • Note: This button will only appear once two or more questions are added to the survey.

    A Reorder Questions modal will open where you can click the rearrange icon at the end of the preferred question and then drag and drop the question in the desired place. Click the Save button to save the changes made.

    • Note: Questions can only be reorganized before a survey is initially published.

    Delete survey questions

    You can delete a question from the survey by clicking the questions action menu, or ellipses, and then select Delete Question in the menu that opens. A warning modal will appear where you will confirm the removal of the question.

    Preview and publish a survey

    The final section is the Preview section. Review the survey details and how the survey will appear in SMS, Email, and Web formats by clicking the corresponding tab. When reviewing the Email version, it is important to note that you will have the option to customize the subject of the email from this section.

    If any updates need to be made, ensure to navigate back to the Content section to make the necessary changes. 

    When finished, click the Draft status in the top right corner of the section and then Publish from its dropdown. This will mark the survey as active.

    Student Evaluations

    When hosting a Campus Event or Conference only, users can create and use a Student Evaluation to capture their first impressions, which can help making informed decisions. Click here to learn more.


    Multilingual surveys

    Surveys can be supported in multiple languages when the Multilingual feature is enabled for your account. In the top right corner of each section, a language selector will be listed. In the Content section only, the languages can be configured.

    To add additional languages, 

    1. Click into the language selector. 
    2. Click the Configure Languages button in the bottom right corner of the menu that opens. 
    3. The menu will update to display all available languages. From here, you can select the preferred languages.
    4. Click Apply.
    5. In the modal that opens, confirm the new language template(s) for the selected language(s).
      • Note: All new languages configured will be auto-translated. Any additional changes made in English will not be re-translated in the other languages that have been previously added.

    To view and update the language templates created for languages outside of English, click into the language selector and update it to the corresponding language.


    Send a survey

    Anywhere your AI Assistant can communicate with a candidate, you can send a survey. Supported channels include SMS, email, widget conversations, WhatsApp, and Facebook.

    Manually sending surveys

    You can manually send a survey at any time to a candidate. To do this,

    1. Simply click the ...More button next to the candidate’s Candidate Journey status.
    2. Select Send Survey.
    3. A modal will open where you will need to select a survey.


       
    4. Click Send.

    Web Management

    Your AI Assistant can gather feedback by engaging with candidates on your Career Site. To do this, open a widget conversation and then enable the Surveys toggle under Catch-all Conversation. From there, choose the desired survey in the selector that appears and click Save & Finish. 

    The same survey cannot be sent to the same candidate more than once in a workflow. Separate surveys are needed for each round if feedback is required at multiple stages.

     

     

    Surveys with Job Search

    You have the option to set up surveys with Job Search. To do this,

    1. Enter a new targeting rule under Conversation Targeting.


       
    2. Click the + Add button next to this rule name.
    3. A modal will then open. Update the conversation, enable surveys, and choose the desired survey.
    4. Click Save.

    Events

    You can add surveys to events. To do this,

    1. Open the preferred event.
    2. Navigate to the Tools section.
    3. Select Event Surveys.


       
    4. The Event Surveys box will then open. Update the tab to either Candidates or Users, whichever audience you prefer for this experience.
    5. Add a Survey Trigger.
    6. A Select Touchpoint modal will open where you can choose the time in which a candidate/user will receive the survey.
    7. When a touchpoint is selected, select the settings for when this survey is sent to the candidate/user. These settings include:
      • Delivery – The time the survey will be delivered to the candidate/user in connection with the set touchpoint.
      • Survey – The survey selected for this touchpoint.
        • Note: Clicking View will open the survey so that you can review its details upon selection.
    8. Click Save.
    9. (Optional) If you want to add additional survey triggers, click + Add Survey Trigger. 
      • Note: Once a trigger is saved, you can switch between tabs to create more triggers, if needed
    10. Ensure to click Save next to the Event Surveys box before closing out of this window.
    11. Save the event.

    Campaigns

    Campaigns can be built around a survey and sent out to set candidates/users. To do this, 

    1. Create a campaign.
    2. Fill out the Title & Audience section details.
    3. Click Next.
    4. In the Compose section, select Survey as the Campaign Type.


       
    5. Select the desired survey from the selector that appears below the Campaign Type field. This can be sent out via SMS, Email, or both. 
    6. Click Next.
    7. Schedule the campaign.
    8. Click Schedule.
