Workday: API Access for browser extension

The browser extension uses the Workday API to fetch important information on the candidate, their workday candidate ID, and job application ID. These IDs are necessary to have within Paradox, but they are not visible on the page when viewing a candidate in Workday.
By creating an ISU (Integration System User) in Workday, it can be used by Paradox to help support the browser extension functionality.
Setup process
- Open Workday.
- Search for and select the Create Integration System User task.
- When the new page opens, enter the User Name and Password for this role.
- Check the Do Not Allow UI Sessions box, if not already selected.
- Click OK to add the role.
- Search for and select the Maintain Password Rules task.
- When this page opens, add the ISU user(s) to the System Users exempt from password expiration box.
- Click OK.
- Search for and select the Create Security Group task.
- In the modal that opens, select Integration System Security Group (Unconstrained) in the Type of Tenanted Security Group selector and then enter a name for it.
- Click OK.
- Add the created ISU in the first step to the ISSG.
- Click OK.
- Search for and open the Maintain Permissions for Security Group task for this ISSG.
- Under Domain Security Policy Permissions section, click the plus icon to add a new row.
- Select Get Only access to the domain Candidate Data: Job Application.
- Click OK.
- Search for and open the Activate Pending Security Policy Changes task to activate these changes.
- Provide ISU credentials, Tenant Name, and API URL to Paradox.

Enable the feature
Step #1: Configure settings in Client Setup
To configure this feature, users with full access to Client Setup can complete the below steps.
- Select All Apps in the top left corner of the header and Settings from its drop-down menu.
- When the Settings page opens, select Client Setup under the Paradox Tools section.
- From the left panel of Client Setup, scroll down to and open the Integrations section.
- Check to make sure that Workday is selected as the External ATS Integration provider.
- From the left panel, open the More section and complete the following tasks.
- Browser Extension – Toggle this on, if not already enabled. This will need to be toggled on before a client can download the browser extension.
- ATS Embedding – Toggle this on. This will only be visible once the Browser Extension toggle is enabled.
- ATS – Select Workday as your client's ATS from this drop-down list.
- Workday URL – When Workday is selected, then this field will display. Enter the URL for the main landing page in Workday. This will enable the Olivia button to be embedded within the user’s Candidate page.
It’s important to clip the URL to only include the beginning of the page’s URL, so that the extension will be able to identify it’s child pages. For example, instead of https://workday.com/company/d/home.htmld, use https://workday.com/company/. If you have any doubts, contact your Paradox Admin.
- Save the page to enable the embedding.
Enable adding a candidate from the browser extension
By default, users will be able to manually add candidates to the CEM directly from within Workday when the Disable Adding a Candidate Manually toggle is off. To disable this functionality,
- Open the Apply section of Client Setup.
- Toggle on Disable Adding a Candidate Manually.
- Save the page.
Step #2: Ensure the browser extension is downloaded
The client must have the browser extension downloaded on their computer in order for this enhancement to work. They can access the download from this link for their production environment or this link for their staging environment (Chrome Web Store or Edge).
- Note: For customers on the EU Paradox instance, share this link (Production) or this link (Staging) with them.
