    From the Talent Community page, you can manually add candidates to a Talent Community, view all candidates tied to a Talent Community or not assigned to one yet, review all Talent Communities created for your account, create folders for sourcing and future pipelining, and create segments for easy filtering.


    Candidates section

    The candidates section includes three lists:

    • All Candidates – This includes all candidates who completed their Talent Community conversations with your AI Assistant.
    • Incomplete – This includes all candidates who did not complete their Talent Community conversation with your AI Assistant.
    • No Community Assigned – This includes all candidates who were manually added to the Talent Community page or who joined the Talent Community prior to the inception of the Community Management page. Candidates who were manually added must respond to the Talent Community invite in order to be assigned a Talent Community.

    Click into the preferred list to view all the candidates associated with it.

    Candidates who receive a Talent Community opt-in question via a scheduled campaign will not be saved in the Talent Community page until they reply Yes to this question.

     

     

    Table settings

    To customize the table settings in the Candidates section, follow the steps below:

    1. Navigate to the Candidates section.
    2. Select the table icon in the top right corner.


       
    3. Navigate to the For You or For All tab to customize the respective table settings.
      • For You – When a user customizes the table settings For You, the table customizations will only apply to that specific user.
      • For All – When a user customizes the table settings For All, the table customizations will apply to all users who have access to the event. All customizations made For All users will override any user-specific customizations.
    4. Customize the ordering of the columns for your table by doing the following
      1. Reorder fields by dragging and dropping the columns to rearrange the columns into your desired layout.
      2. Hide a field that you do not want to appear by selecting the eye icon next to the column’s name. Once you do this, the eye icon turns grey and has a slash through it to indicate the column is hidden from the table.
      3. Create a new field by selecting Create a New Field, where you can enter a Field Name and select a System Attribute.
    5. Select the Save button in the bottom right corner of the drawer.

    Add a candidate

    You can manually add a candidate to a Talent Community by completing the steps below.

    1. Click the + Add Candidate button in the top right corner of any Candidates list.
      • Note: This button may not display if users have been disabled from manually adding candidates.


         
    2. Enter in the candidate’s details in the slide-out drawer that opens.
    3. Assign a candidate to a community using the Community drop-down menu.
    4. (Optional) Enable or disable the Skip Opt-In toggle. This toggle allows you to upload and use candidate information without requesting them to opt-in.
    5. Click Add Candidate in the bottom right corner of the drawer.

    The candidate will then be added to the All Candidates and either the No Community Assigned (if not assigned a community) or the community that they were assigned to lists.

    When created and Skip Opt-In is not enabled, your AI Assistant will contact the candidate via the contact method(s) entered for them and ask them if they would like to join your company’s Talent Community. Once they have responded to this message, then their assigned talent community will be updated.


    Communities section

    The Communities section has a list of all active and inactive Talent Communities. Clicking into the preferred community will display a list of its corresponding candidates along with the community’s status and a search bar for filtering the list.


    Folders section

    The Folders section allows users to organize and segment candidates into custom lists for targeted action, such as mass invitations or internal tracking.

    The Folders section has a list of all folders, whether public or private. Selecting the preferred folder on the left sidebar displays a list of all candidates in the folder.

    Create a folder

    To create a folder, follow the steps below:

    1. In the Candidates, Communities, or Segments section, select the checkbox(es) next to each candidate that you want to add into the folder.
    2. Select Take Action, and then from the dropdown menu, select + Add to Folder.
    3. You can take the following actions:
      • If you already have an existing folder to add candidates into, you can select the folder from the dropdown menu and then select Apply.
      • If you haven’t created any folders yet, select +Create Folder.
        • Note: You can only select up to 100 candidates at a time.
    4. In the Create Folder slide-out drawer, update the following details:
      • Name – Name the folder.
        • Note: If Multilingual is enabled for your client’s account, you can update the folder name with a different language preference by selecting the language selector and choosing the preferred language.
      • Privacy Type – Select the privacy type of the folder. You can select from the following options:
        • Private – This folder type is visible only to you by default. You can add other users to folder, setting custom access as needed.
        • Public – This folder type is visible to everyone accessing the talent communities based on their user permissions and standard visibility rules.
      • User Access – If the Privacy Type is set to Private, this section displays. Select + Add Users to add users. You can select from the following options:
        • Users – This displays a list of individual users. Select the checkbox(es) next to each user you want to access the folder, and then select Save.
        • Roles – This displays a list of user roles in the account. Select the checkbox(es) next to each user role you want to access the folder, and then select Save.
          • Note: You can select both individual users and user roles.

    Once the folder is created, it displays in the Folders section in the left sidebar. You can select the folder to view a list view of each candidate added to the folder.

    You can also create another folder by selecting + Create Folder when search is disabled or + when search is enabled under the Folders section.

     

    Remove candidates from the folder

    1. In the Folders section, select the folder where you want to remove candidates.
    2. In the folder, select the checkbox(es) next to each candidate.
    3. Select Take Action, and then from the dropdown menu, select x Remove from Folder.

    Edit folder settings

    If a user does not have access to Community Management, they are only able to archive folders. In this case, a Paradox Admin needs to unarchive the folder.

     

    If you are the folder creator or a Paradox Admin, you can edit any of the existing folder settings by following the steps below:

    1. In the upper-right corner, select Settings.
    2. In the Folder Settings slide-out drawer, review the folder details. Update them as needed.
    3. Once you finish reviewing the folder details, select Save in the lower-right corner.

    Archive a folder

    If you are the folder creator or a Paradox Admin, you can archive (soft-delete) a folder by following the steps below:

    1. In the upper-right corner, select Settings.
    2. In the lower-left corner, select Archive to archive the folder.
    3. The Archive folder? warning modal displays. Select Confirm to proceed with archiving the folder.

    Unarchive a folder

    If you are the folder creator or a Paradox Admin, you can archive (soft-delete) a folder by following the steps below:

    1. In the upper-right corner, select Settings.
    2. In the lower-left corner, select Unarchive to archive the folder.

    Segments section

    Learn more about Talent Community filters here.

     

    The Segments section will only display when at least one filtered view of the candidates section has been created and saved. This is a similar process to that completed in the Candidate Inbox.

    1. Open the All Candidates list.
    2. Click the filter icon next to the search bar. 


       
    3. Select the preferred filters from the modal that opens.
    4. Click the + Save Segment button that appears in the bottom of the modal when at least one filter is selected.


       
    5. In the New Segment modal that opens, enter in the name of the segment and then assign the segment to yourself, all employees, or for specific user roles.
    6. Click Save to save the segment to the Segments section.

    Take action on candidates

    You can take the following actions on a candidate or multiple candidates in a talent community:

    • Invite to Apply
    • Add to Folder

    Candidate Mobility needs to be enabled to view the Invite to Apply option. Learn more about candidate mobility.

     

     

    Invite to apply

    To invite talent community candidates to apply, follow the steps below:

    1. In a candidate list view, select the checkbox(es) next to each candidate.
    2. Select Take Action, and then from the dropdown menu, select Invite to Apply.
    3. In the Invite to Apply slide-out drawer, update the following details:
      • Location – Select the location to send this candidate to.
      • Job – Select the job to send this candidate to.
      • Invitation Message (optional) – Review and update the message that candidates receive for this job invitation as needed.
    4. Select Invite to Apply to send the message.

    You can only send the Invite to Apply message to 100 candidates at a time.
