    The Employer Tax Information page is only available when using tax withholding in forms. This guide explains how to add and manage an employer profile.


    Use cases

    • Clients who utilize I-9s through the system (internal I-9 software or external I-9 software).
    • Clients who want to collect tax withholdings for a payroll system.

    Configuration

    This feature will only be available when Tax Withholding is enabled on the backend for you to utilize in Forms.


    Add new employer

    1. Click the All Apps button in the top left corner of the header.
    2. Click the Settings app in its drop-down menu.
    3. Click Employer Tax Information under the Company section of the Settings page.
      • Note: To complete the Service Provider Configuration, the Employer Tax Information must be added for all locations.


         
    4. Click + Add New Employer in the top right corner of the page.
    5. A modal will open with a Tax Presence Disclaimer that must be agreed to in order to create a new (or edit an existing) employer. Click I agree to open a new Employer page.
      • Note: Clicking Cancel or the x icon will close out of the modal and return you to the table view, as agreeing to this disclaimer is required.


         
    6. Enter all necessary information in the Employer Information tab. If using Paradox I-9, it is important to note that the Employer Name will become the Company Name in the Paradox I-9 portal and the CEM account name will become the Parent Company Name.
      • Note: All forms are dynamic. If a Tax Withholding form does not require this information, it will not be populated in the form. All content is needed in order to fulfill all use cases. 


         
    7. Multiple employer addresses. Businesses under the same FEIN with different addresses should have all of their addresses added to this tab. Each state selected on the Tax Information tab needs to be associated with an address. To do this, click the + Add Address button in the top right corner above the Address section to add one or more addresses.
      • Note: If later you remove an address from this tab, ensure that you first note the address association (State Tax ID) from the Tax Information tab. 
    8. Click Save.
    9. Open the Assigned Location tab.
    10. Click the + Add Location selector.
    11. Select all locations tied to this employer profile.
    12. Click Apply to add those locations to the page.
      • Note: If you assign an area folder to this employer profile, then all future locations added to this folder will also be assigned. A user will need to manually change this functionality if this is assigned. Area folders with a check box are synced for future locations to be automatically assigned. Area folders with a – are not.


         
    13. Click Save.
    14. Open the Tax Information tab.
    15. Enter in the Federal Employer Identification Number and then select the states where the employer pays taxes. Required states will be listed first and must be selected for the states associated with the assigned locations. Select all additional necessary states, if applicable.


       
    16. All states selected will display a State Tax ID field below the Search States bar. Enter in the State ID for all states.


       
    17. Click Save in the top right corner of the page.

    Edit an employer profile

    You can edit an employer profile by either:

    • Clicking into the employer profile from the Employer Tax Information list.
    • Clicking its action menu, or ellipses, and then Edit from the drop-down menu that opens.

    Each time an employer profile is edited, the Tax Information Disclaimer modal will display. Click I agree to continue to the profile and make the necessary changes. When all changes are made, click Save in the top right corner of the page.

    Removing employer address(es)

    When removing an Employer Address, ensure that you have removed the address’s associated State Tax ID from the Tax Information tab first; otherwise, a warning will appear noting that this step must occur before any addresses can be removed. In addition to this, the primary address is required to remain on the Employer Information tab.

    Remove an assigned location

    Remove an assigned location by opening the preferred employer profile, navigating to the Assigned Location tab, and then clicking the trash can icon listed in the same row as the corresponding location.

    A warning modal will appear. Click Delete to remove the location.


    Delete an employer profile

    From the Employer Tax Information page, hover over the preferred employer profile, click its action menu, and then click Delete from the drop-down that opens.

    Click Delete in the modal that appears to finalize the removal of the employer profile.


    Publish the Employer Tax Information page

    To publish the Employer Tax Information page, click the page’s current status and then the Publish button from its drop-down menu.

    Publish error

    All locations must be assigned to a tax profile when Paradox Dynamic Forms have been configured for tax withholding. If not, then you will be unable to publish this page until each location is assigned to a specific tax profile. In addition to this, a job cannot be toggled on unless the location has a tax profile assigned to it.

    Non-US and remote locations do not have this dependency.
