The purpose of this page is to offer a quick refresher on the differences between Client Job Feeds and Master Feeds, and to explain how their auto-synchronization process works.

Client job feeds vs master feeds

Client Job Feeds serve as the source of truth, containing all the raw job data provided by our clients. These feeds form the foundation of our job management service. In contrast, the Master Feed is a refined version of this data, presented in XML format and tailored based on the conditions and configurations set within our system.

The process begins in Client Setup > Job Management > External ATS Job Management, where specific client feeds are selected to create the Master Feed. Once selected, job targeting conditions for the Master Feed are configured. These conditions determine how jobs are processed in our system (My Jobs) —whether they are marked as ON, OFF, or set to Disable Application.

From this setup, jobs targeted to turn on or marked as Disable Application are included in the Master Feed, which contains all active jobs/requisitions that candidates can view, engage with, and apply to.

Master feed and client job feed Apply URL

Master Feeds can help us determine which Apply URL candidates use to submit applications. This could be:

• The Paradox Apply URL, if the client wants candidates to apply through Paradox.
• An External ATS Apply URL, if the client prefers candidates to apply through their Applicant Tracking System (ATS).

The Apply URL is determined by targeting conditions:

• If the job is Targeted to Turn ON, the Master Feed includes it with the Paradox Apply URL. (Application complete outside of Paradox)
• If the job is Targeted to Turn OFF, it is excluded from the Master Feed.
• If the job is Targeted to Disable Application, the Master Feed includes it with the External ATS Apply URL (Application complete outside of Paradox)

Client job feeds refresh schedules

To ensure job data stays accurate and up-to-date, refresh schedules for client Job Feeds are configured by the integration teams using our Paradox Scrape tool during the client’s job feed creation process. 

Master feeds refresh schedules

Our auto-synchronization process ensures that the most up-to-date job data from the client Job Feeds, selected to create our Master Feed, is accurately reflected in the Master Feed.

• Refresh Timing: Master Feed refresh process starts at the top of each hour (i.e., 8:00 am, 9:00 am, etc).
• Important Note: The synchronization process does not always complete at a consistent time.

1. Synchronization process:

The synchronization process starts at the top of every hour, where the client’s account ID is sent to a queue to begin processing. The speed of synchronization depends on the queue size (the number of client accounts with Master Feeds requiring an update). A shorter queue results in faster synchronization, while a longer queue may delay the process.

If a user manually refreshes a Master Feed (i.e., at 8:40 am), the client’s account ID is immediately added to the queue. If the queue is free, the synchronization process will start right away. Note: The time required for the process to complete may vary depending on when the manual refresh occurs.

• For example, if a Master Feed is manually refreshed at 8:05 am, the process may take longer because it coincides with auto-synchronization for other client accounts starting at 8:00 am. This variability is reflected in the View History drawer. Each stored version in View History reflects that the feed was refreshed or updated at that time, whether through an auto-update or a manual update.

2. File creation process:

Once synchronization is complete, our system generates and stores a Master Feed file that is downloadable for users via the View History drawer. The timing of file creation depends on the account's instance:

1. For accounts in the Lowe’s, FedEx, Advantage, Mchire, Regis, Unilever, Aramark, Darden, and Lockheed instances, the file creation process runs at the 5th minute of every hour.
2. For accounts in the Olivia instance, the file creation process runs at the 15th minute of every hour.

Note: Although the file creation process starts at these times, it does not necessarily finish within the same minute.
