Event scheduling with campaigns allows you to schedule and register candidates for an event in mass with one single communication. If you would prefer to only have candidates registered for an event, please use this guide for Event Invitation campaigns.
Create an Event Scheduling campaign
To create an Event Scheduling campaign, follow the steps outlined here. When you get to the Associate Event section (optional) section, complete the steps below.
- Check the This is associated with an event box under the Campaign Type selector.
-
Select the event associated with the campaign.
- Note: The list of events will be organized by whether they are past or upcoming and in descending order.
- Select the event sessions associated with scheduling interviews.
- Complete the rest of the campaign.
Once the campaign is scheduled, candidates will receive the campaign notification at the scheduled time.
Important Notes on Logic:
- If candidates are sent an Event Scheduling campaign AND then the event is canceled before the candidate selects an interview time, then those candidates should NOT be able to schedule an interview for the event.
- When the event is canceled, the status of all of the candidates included in the campaign should automatically update to Interview Request Cancelled and receive the following Employee Initiates Cancel message:
- Hi #candidate-firstname. Unfortunately, #company-name has canceled their upcoming hiring events. We apologize for any inconvenience. A team member will reach out to you if anything changes in the future. Thank you!
Candidate Profile indicator
Campaigns will only display in this tab for candidates who have received the campaign and engaged with it. If a candidate is sent a campaign but does not engage with it, the campaign will not display on this tab.
Within the Campaigns tab of the Candidate Profile, a Scheduling tag will display next to the campaign sent to the candidate. You can select the campaign to view the conversation on the left panel.
Permissions
Access to creating and sending campaigns is based on the Campaigns permission. By default, only Paradox Admins, Company/Account Admins, Full User - Edit Everythings, Power Users, and Franchise Owners will have full access to this feature. Contact a user with full access to Roles and Permissions to adjust permission levels, as needed.
- Note: An additional Access to All Campaigns child permission under the Campaigns parent permission is available that allows you to grant users access to all campaigns in the account or restrict users access to only their own campaigns.
