    Create a messaging template Duplicate a messaging template

    Messaging templates are messages that were prebuilt to be used repetitively by teams. These templates are helpful to ensuring that candidate messaging is consistent across your hiring teams.


    Create a messaging template

    The #recorded-interview-invite-url token is available for Candidate Inbox and Campaign Messaging Templates, but its value will only display in its place after a recorded interview is sent out.

     

    Add any number of templates in order to assist your team in properly communicating with your candidates. Users with full access to the Messaging Templates permission can complete the following steps.

    1. Select All Apps in the top left corner of the header and then CMS from its drop-down menu.
    2. From the left panel of the CMS, select Templates and then Candidate Messaging or Employee Messaging, depending on the messaging template you want to create.
      • Note: Employee Messaging will only display if you have Employee Communications enabled for your account.
    3. In the upper-right corner of the section, select + Create New.
    4. A slide-out drawer will then open. Name the template.
    5. Select where this template will be available. Only one component can be selected for each template. If you want to create the same template for a different component, then you can duplicate after it has been created in the list. Options include:
      • Candidate Messaging:
        • Campaigns (if enabled for your account)
        • Inbox
        • Workflows
        • Hiring Events (if enabled for your account)
      • Employee Messaging:
        • Communication
        • Conversation (direct messaging)
        • Hiring Events (if enabled for your account)
    6. You will then need to manage the employees who can use this template throughout the system. To do this, complete the steps below:
      1. Select the Manage Permissions button next to the Template Available In selector.
      2. A new page of the drawer will open in the drawer. Select + Add Roles and then the user roles that will have access to using this template in the selected component area.
        • Note: Users will also need access to that component in order to utilize the template.
      3. Select Apply in the bottom right corner of the roles drop-down menu.
      4. Select Confirm to return back to the main Create Messaging Template drawer.
    7. Enter the preferred message within the Enter Message box for SMS, Email, or both.
      • Important to Notes:
        • The available tokens/attributes in this message will depend on the component selected in the Template available in selector.
        • For email messages, several editing features, including the email’s subject line and font type/style, will be available to use when crafting your message. However, inbox email templates do not allow text formatting.
          • Custom Subject Line – When a custom subject line is added for an Inbox-type messaging template, then the system will send that Inbox Messaging Template with the custom Subject line. If there is no subject line added, then the default subject line will be: #ai-name from #company-name.
        • Each messaging type has a limited number of characters available.
          • SMS = 640 characters
            • Note: If you paste text into this box that is beyond the character limit, then a red negative number of characters will display in the bottom right corner of the box, indicating that this message is over the character limit.
            • Note: When you have entered an input greater than 160 characters for SMS, then the character counter will turn orange and a warning message will display under the text box.
          • Email = No character limit
    8. (Optional) For messages that are entered in English, you have the option of creating the same template in another language. To do this, follow the steps below:
      1. Select the English text written in the upper-right corner of the drawer. 
      2. This will open the language selector. Select all preferred languages for translations and then Apply in the bottom right corner of the drop-down menu.
      3. A Translations section will then display below the English message that has translations for every language selected. Make any changes manually as needed.
    9. Select Create in the bottom right corner of the drawer.

    The messaging template will then be ready for use.


    Duplicate a messaging template

    You can easily make a copy of an existing messaging template to use as the foundation for a new template. To do this, 

    1. Hover over the preferred template.
    2. Select its action menu, or ellipses, and then Duplicate from its drop-down menu.  
    3. Update the template's name and details in the slide-out drawer that opens.
    4. Select Save.

    If duplicating a template, by default, all permissions will remain on that newly duplicated template, but permissions are configurable/editable by the user duplicating the template.
