    Parent toggles can only be enabled by your CS Representative/Paradox Admin.

     

    The Conversational Events section of Client Setup enables the Conversational Events product and includes the following settings:

    • Conversational Events – This enables the Conversational Events product for the account. This will be enabled for you if approved for use.
      • Hiring Events – This toggle will enable hiring events in the platform and allow you to determine event characteristics. When enabled, the following settings/fields will display. 
        • Venue Types:  
          • Select the available event venue types that an employee can create – This allows you to determine if users in the account can create In-Person Hiring Events only, Virtual Hiring Events only, or both. 
        • Interaction Types:
          • In-Person Events:
            • Select the available interaction types when creating an in-person event. – The interaction types available for in-person events. Options include:
              • Event Sessions
              • Scheduled Interviews
                • Notes:
                  • For in-person hiring events, both in-person and virtual interview types will be available to a user when creating an interview session.  
                  • The available interview types are dependent on the selected interview types within Client Setup → Scheduling → Additional Interview Types.
          • Virtual Events:
            • Select the available interaction types when creating a virtual event. – The interaction types available for virtual events. Options include:
              • Virtual Chat Booth
              • Live Video Broadcasts
              • Virtual Scheduled Interviews
        • Mobile Candidate Experience:
          • When a candidate texts into an event keyword or phone number, how would you like upcoming events to be shown to the candidate? – This allows you to customize the candidate’s experience when the candidate texts an event keyword or phone number for an upcoming event. Options include:
            • Text List – When selected, a candidate will either:
              • Receive a list of all upcoming events tied to the phone number that the candidate texts.
              • Automatically start the event registration conversation for the event when only one event is tied to the phone number that the candidate texts.
            • Web Link – When selected within the first option and a candidate texts into an event keyword or phone number, the AI Assistant will direct the candidate to the Upcoming Event Site. 
        • Event Phone Number and Keyword association period:
          • Before the event start date – The amount of time before an event that it will display as active and within the events list when a candidate messages its event phone number.
          • After the event start date – The amount of time after an event that it will display as active and within the events list when a candidate messages its event phone number.
        • Event Reporting Categories:
          • Add a new event reporting category – A field where you can create a custom reporting category that can be used to report on different types of events that are created and managed within the system.
          • Existing Event Reporting Categories – A list of all event reporting categories created within the account. Selecting the pencil icon will allow you to rename or delete the category.
    • Orientation – This toggle will enable orientation events in the system and allow you to determine event characteristics. When enabled, the following settings/fields will display. 
      • Candidate Store Location Available – This toggle determines whether employees will have the ability to select Candidate Store Location as an Event Venue type or not when creating an Orientation Event.
        • Default Number of Candidates Per Location – When the Candidate Store Location Available setting is toggled on, then this setting will display and and allow you to set the default number of candidates with the same assigned location that can be scheduled for the same event. Options include:
          • Unlimited (default)
          • 2 candidates
            • Note: When selected, an additional Prevent from scheduling over other candidate’s orientation setting will appear that, when enabled, will only show the candidate orientation events that do not overlap with the times that they are already scheduled for an event(s). 
      • Candidate Event Rosters:
        • Set default employee groups who should always receive the event candidate roster for an orientation event that they are tied to. – The user groups that should be available to the user include:
          • Event Managers – When selected, all Event Managers listed for the orientation event will receive the event candidate roster notification.
          • Event Ambassadors – When selected, all Event Ambassadors listed for the orientation event will receive the event candidate roster notification.
          • Location Contact: Email Address – When selected, the system will send the event candidate roster notification to the location email address that is assigned to all scheduled candidates. If multiple candidates with the same assigned location are scheduled to the same orientation, a location contact email address should only receive one event candidate roster notification.
            • Note: If you select this as a user group who schedule receive the candidate roster, a user can determine if the location email address is required to complete 2FA to access the candidate roster or not. By default, this toggle will be off.
          • Location Point of Contact – When selected, the system will send the event candidate roster notification to the location point of contact that is assigned to all scheduled candidates. 
        • Customize when the event roster notification is sent to employee before the start of the event – This allows you to determine when the event candidate roster should be sent to the user group(s) selected. You can enter a combination of free text and a selection to note the timing of this action.
        • Customize when the event roster link will expire. – This allows you to determine when the event candidate roster link with the event candidate roster notification should expire. You can enter a combination of free text and a selection to note the timing of this action.
    • Orientation Event Candidate Check-in:
      • Determine when candidate check-in will automatically close. – This allows you to determine when check-in for orientation events will automatically close. You can enter a combination of free text and a selection to note the timing of this action. 
      • Allow employees to manually close candidate check-in for an orientation event. – This allows employees added to an orientation event to manually close candidate check-in before it automatically closes.
        • Note: When an employee manually closes candidate check-in, it cannot be re-opened for that event.
    • Editing Past Events:
      • Allow Employees to Edit Past Events – This allows users to edit past events.
    • Candidate Check-In:
      • Allow Candidates to Manually Check Themselves In? – This will allow candidates to manually check themselves into their event interview up to an hour before their scheduled time.
        • Limit when the candidate will no longer be able to check-in after the event ends. – The amount of time after the event ends that candidates will no longer be able to self-check into their scheduled event interview. You can enter a combination of free text and a selection to note the timing of this action.
        • Customize when candidates can manually check themselves in for their event interview. – The amount of time before an event that candidates can manually check themselves into the event. You can enter in a combination of free text and a selection to note the timing of this action.
    • Registration & Interview Request Expiration:
      • Hiring Event:
        • How long after the initial hiring event invitation request or initial event interview request is sent should Olivia expire the pending request? – This allows you to customize how long after the initial schedule request is sent to the candidate that the scheduling request should expire. You can enter a combination of free text and a selection to note the timing of these actions.
      • Orientation:
        • How long after the initial Orientation invitation request is sent should Olivia expire the pending request? – This allows you to customize how long after the initial schedule request is sent to the candidate that the scheduling request should expire. You can enter a combination of free text and a selection to note the timing of these actions.
    • Limit Canceling and Rescheduling:
      • Hiring Event:
        • Candidates Can Cancel Their Event Interview – This allows you to set the timeframe in which candidates can cancel their event interview.
        • Candidates Can Reschedule Their Event Interview – This allows you to set the timeframe in which candidates can reschedule their event interview.
      • Hiring Event: Virtual Chat Booth:
        • Candidates Can Cancel Their Event Registration – This allows you to set the timeframe in which candidates can cancel their event registration.
      • Orientation:
        • Candidates Can Cancel Their Event Registration – This allows you to set the timeframe in which candidates can cancel their event registration.
        • Candidates Can Reschedule Their Event Registration – This allows you to set the timeframe in which candidates can reschedule their event registration.
        • Prioritize events with lower registration counts when start/end times are simultaneous – This toggle will prioritize events with lower registration counts when events are occurring at the same time.
    • Candidate Timezone:
      • Hiring Event:
        • Determine the timezone method in which candidates will receive event scheduling requests – The timezone in which candidates will receive all hiring event-related scheduling requests and notifications. Options include:
          • In the candidate’s detected timezone (default) – The start and end times of an event will display to the candidate in their browser’s time zone.
          • Always in event timezone – The start and end times of an event will be displayed to the candidate in the event’s time zone.
      • Orientation:
        • Determine the timezone method in which candidates will receive event scheduling requests – The timezone in which candidates will receive all orientation event-related scheduling requests and notifications. Options include:
          • Phone Number or IP (default)
          • Location Timezone (the timezone of their assigned location, which is determined in Location Management) 

    The current time in the selected timezone will be displayed within Event Builder and the Event Dashboard.

     
    • Rescheduling Candidate Allowances:
      • Customize how many times a candidate is allowed to manually reschedule. – This will allow you to customize how many times a candidate can manually reschedule an event. When enabled, the below settings will display, depending on which event types are enabled.
        • Hiring Event:
          • How many times can a candidate manually reschedule for a different hiring event? – The number of times a candidate can manually reschedule for a different hiring event. Options include:
            • Never
            • One time
            • Two times
            • Three times
            • Unlimited
        • Orientation:
          • How many times can a candidate manually reschedule for a different orientation event? – The number of times a candidate can manually reschedule for a different orientation event. Options include:
            • Never
            • One time
            • Two times
            • Three times
            • Unlimited
    • Manage Scheduling Timelines:
      • Customize the earliest and latest time frame from which a candidate can be invited and registered for an event. – This will allow you to set the earliest (minimum) and latest (maximum) time frames for registering/scheduling a candidate for an event.
        • Hiring Event Time Frame – The soonest and furthest available hiring event that the Paradox system will send to the candidate in an attempt to get them scheduled for the event.
        • Orientation Time Frame – The soonest and furthest available orientation event that the Paradox system will send to the candidate in an attempt to get them scheduled for the event.
      • Manually Scheduling Advanced Settings – This will enables users the ability to override the default Manage Scheduling Timelines configured here in Client Setup on a per candidate basis when manually scheduling the candidate for an event.

    Based on the Minimum and Maximum Timelines set, the AI Assistant will look for events that have future start dates that are within this timeframe. 

    If you want candidates to be able to register for events that exist with a past event start date, the minimum timeline must be set as No Restrictions.

     
    • Schedule Over Busy Times:
      • Allow Olivia to schedule employees for an event interview over their busy times – When enabled, Event Managers can determine if the interview can be scheduled for an event interview over their busy times.
        • Note: A Schedule over unavailable times toggle will display when scheduling an event and will be off by default for all interviewers added to the hiring event. When enabled, the interviewer can be automatically and manually scheduled for an interview during that specific interview session.
      • Default enable all interviewers added to a Hiring Event to be schedule over their busy times –  When enabled, the Schedule over unavailable times toggle will display when scheduling an event and be defaulted on for all interviewers added to the event. This can be toggled off per interviewer.
    • Event Branding:
      • Event Dashboard Card Color – This is the default event dashboard card color, but it can be updated to better reflect your brand. The color added here will be the dashboard card color visible to all users for all events and will be visible to candidates on their Orientation Landing page.
      • Dashboard Icon Color – This is the default dashboard icon color, but it can be updated to better reflect your brand. The color added here will be the icon color on the event dashboard and the icon color on the candidate orientation landing page.
