    Parent toggles can only be enabled by your CS Representative/Paradox Admin.

     

    The More section of Client Setup includes the following settings:

    • Candidate Management – This enables the Candidate Management feature, where users can take mass action on more than one candidate at a time and where they can view all of their candidates in one place.
    • Browser Extension – This enables the Browser Extension feature, where users can access multiple Candidate Inbox features, such as chat, scheduling, and notifications, among others, within a browser extension window. This allows users to complete certain CEM tasks without having to leave a different web page.
      • ATS Embedding – This will allow you to enable the embedding of the browser extension into Workday or SAP as an easy way for teams to reference candidate conversations or add a Workday/SAP candidate directly into the CEM. When enabled, the following settings will display:
        • ATS – This is where you can select the integrated ATS for the embedding functionality. Options include:
          • Workday
          • SAP
        • ATS URL – This field is where you can enter in the Workday/SAP URL.
    • Candidate Mobility – This enables the Candidate Mobility feature, where you can move candidates to other jobs in the system. When enabled, the following settings will display.
      • Show Job Description to Candidate – When enabled, the system will include job descriptions for the jobs a candidate is moved to in the Candidate Mobility messaging. This will allow candidates to click into and view the new job’s description and other job data, ultimately encouraging them to move forward with the new job.
      • Data Carryover – This setting is where you can select the candidate data that is added to a new application when a candidate moves to a new job using the Move to Job action. If an option is not selected, then that data will not be carried over in the candidate movement. By default, all options will be selected, but can be removed as needed. These options include:
        • All Candidate Attributes
        • Forms
        • Documents
        • Assessments
        • Video Interviews
          • Note: If this setting is toggled on, the fields Job Title and Job Req ID will not populate under the More → Edit Candidate Profile setting.
      • Candidate Profile Options – These are the actions that will be available in the menu of the Candidate Profile's More button for all users except Company/Account Admins, Franchise Owner, and Franchise Staff, who will have all options available by default. 
        • Allow candidates to be moved to any job in any status – This will display when the Candidate Mobility toggle is enabled and when Edit is selected as one of the Candidate Profile Options. When enabled, the system will display all jobs from My Jobs, both open and closed as well as Paradox Jobs and integrated ATS Jobs, in the Edit Candidate Information slide-out drawer as well as the Move to Job/Invite to Apply slide-out drawer. This allows flexibility in assigning jobs to candidates.
      • Edit Attributes Available – These are the standard and custom Candidate Attributes that will be editable when adding or editing a candidate's general information in their profile.
      • Data Feeds – This enables the Data Feeds feature, where you can manage data files within the CEM for one-time or scheduled uploads via SFTP.
      • Widget Token – This setting is tied to the Workday Partnership and adds a Widget Token field to the widget conversation that will then be used on Workday's career sites.
      • Experience – This enables the Dynamic Content (formerly Experience Assistant) feature, which brings the most relevant content, including videos, blog posts, news, jobs, and more, to each candidate's fingertips when candidates ask the AI Assistant Candidate Q&A questions that trigger dynamic content to display.
      • Candidate Inbox Default Sorting – This will set the way that the inbox is sorted by default. These options will also be displayed in the inbox for users to manually adjust, if preferred. Options include:
        • Recent activity (default)
        • Unread messages
        • Newest to Oldest
        • Oldest to Newest
      • Candidate's private conversation – This is defaulted to on and ensures the security of candidate information by preventing access to the candidate's conversation with the AI Assistant when they continue their conversation in a different browser or when the expiration period is reached. This prevents bad actors from gaining access to candidate personal information provided in the conversation.
        • Expire At – The timeframe that this conversation should expire due to inactivity. Options include:
          • 6 hours
          • 12 hours
          • 24 hours (default)
          • 48 hours
          • 72 hours
      • Candidate Visibility Timeframe – This allows users to better manage larger numbers of candidates without having lags in system performance. This will work by adding a filter on which candidates you would like to see in our system, specifically candidates from how long ago. When enabled, the below setting will display.
        •  Default Timeframe – This timeframe will be the default filtered view for candidates who have applied in the number of days selected. Options include:
          • Last 30 days
          • Last 60 days (default)
          • Last 90 days
          • Last 6 months
          • Last 12 months
          • All time
      • SMS Country Whitelist – This allows you to select the countries that can be sent SMS messages without a phone number configured on your account. This helps to prevent a SMS pumping fraud issue by allowing only US, UK, CA, and country phone numbers configured on your account to receive SMS messages without issue. By default, all other countries will be blocked from sending SMS messages. Select and apply the countries that should be whitelisted in order for them to also receive SMS messages from the system.
      • Notes – This enables the Notes section to be added to the Candidate Profile. When enabled, users can add notes to a candidate's profile and tag system users for review.
        • Notes instructions – When Notes is enabled, then this setting will display. Toggle this on view a box where you can enter in instructions that will display to users in the Notes section of the Candidate Profile. 
      • Surveys – This will enable the Surveys feature. When turned on, the following settings will also display.
        • Interview Feedback – This allows interview attendees to complete a survey about a candidate after interviewing them, which the team can use to assist in selecting the best candidate for the position.
        • Employee Feedback – This allows you to create internal campaigns that can be sent out to system users so that your admin team can run pulse check surveys as well as rate your AI Assistant's performance and effectiveness with products, such as Scheduling, Workflows, Apply, and more.
        • Evaluations – This allows event attendees to assess students during Campus Events or Conferences only and capture their first impressions.
      • Requisition Based Permissions and Alerts – This enables candidate visibility permissions entirely based on a user's association with a requisition, which differs from our group and location permissions used to determine candidate permission visibility. This method includes the ability to automatically or manually assign permissions to users to be able to view and manage candidates based on their assigned requisitions. NOTE: A recruiter associated with a requisition at the time a candidate applies will continue to have viewing access to that candidate even if the requisition is removed from their permission and/or is closed. When enabled, the following permissions will display.
        • Add users that will not have alerts filtered by requisition – This allows you to enter the users who will not have alerts sent to them based on their requisition permissions.
        • Sync any requisition updates (user or location changes) to candidates – This will allow candidates who have applied within a set time frame to have their hiring manager, recruiter, and/or interview team data updated based on the changes made to the Job Requisition. Enabling this toggle will ensure that there is consistency between the requisition data and the candidate-applied data as well as accurate candidate visibility permissions. Select the time frame in which candidates who have applied to the requisition will have their user data updated. Options include:
          • 1 month (default)
          • 2 months
          • 3 months
            • Notes: 
              • At this time, this data only pertains to updated user data – only certain accounts have this enabled for updated location data as well.
              • This setting only applies to the hiring manager, recruiter, and interview team user roles. 
              • Users in the job feed must match the users listed on the Employees page for this setting to function properly. If this information does not match, then this data will not be updated.
              • This updated data will not be applied to the corresponding Job Attributes (Hiring Manager on Job, Interview Team on Job, and Recruiter on Job).
              • This information will be pulled from the job feed at the time the candidate applied to the job and will not change.
              • When the Candidate Summary displays No Recruiter Assigned, this is due to the fact that the recruiter on the job feed does not have a user record in the CEM. In this scenario, add a user that matches this information for the sync to function correctly.
              • For an account that has more than 3K candidates who need to be updated: The system will update the most recent candidates from the last 7 days. All other candidates will be updated at the end of the day (US time zone) to prevent issues with the server.
        • Ignore permissions on Location/Group – This will ignore a user’s permission to any groups and/or locations. The user’s requisition permissions will take priority over any other permissions.
          • Note: If toggled off, a user’s candidate visibility will be determined by their assigned requisitions and their group/location permissions. This will lead to users seeing candidates that did not apply to their assigned requisitions. This is commonly used for supervisory roles that need to see groups of candidates but are not assigned to requisitions.
        • Apply Permissions on Reports and Dashboards – This will limit a user’s visibility on data within reports and dashboards based on their requisition permissions.
          • Note: If toggled off, a user's visibility data within reports and dashboards will be determined by their group/location permissions.
    • IMPORTANT WHATSAPP NOTE: Follow theWhatsApp configurationsteps in order to correctly enable this feature for the account. 
      • WhatsApp – This enables WhatsApp to be used as a communication method in phone numbers and Conversation Builders as well as provides access to the WhatsApp Templates page, where WhatsApp templates can be added to your account. When enabled, the following settings will display.
        • WhatsApp Location Based Keywords – This generates WhatsApp keywords based on locations created in Location Management for candidates to engage with the AI Assistant specific to WhatsApp. When a candidate texts the location's associated phone number with this keyword, then job search results will display for only that location.
        • Send a fallback SMS if a WhatsApp message fails to send – This will send an SMS communication if a WhatsApp message fails to deliver. This setting will be enabled by default.
        • Twilio Account – This is where you will need to select the new dedicated Twilio account created for your account.
      • URL Shortener – This will shorten URLs in all system areas. This will be enabled by default and will display URLs in a maximum of 60 characters.
      • Voice – This will enable the Voice feature, where the AI Assistant will read out the message that they send to candidates/users along with the ability to respond back with voice.
        • Text to Speech for Olivia Voice (Candidates Only) – This will display a microphone icon to candidates that will display in place of the send icon in the chat thread. When selected, they will be able to speak a message to the AI Assistant in response. The system will then transcribe their message and send it to the AI Assistant.
        • Text to Speech for Olivia Voice (Employees Only) – This will display a microphone icon to users that will display in place of the send icon in the assist widget. When selected, they will be able to speak a message to the AI Assistant in response. The system will then transcribe their message and send it to the AI Assistant.
      • WeChat – This enables the use of WeChat in communications with candidates in mainland China and surrounding regions and countries.
        • Note: Please contact your CS Representative about your specific use case to gain approval in using this feature.
      • Add Candidate: Display Requisition Option – This allows users to assign job requisitions to candidates as a user is adding them from the inbox. This ensures that these candidates fall into the correct Journey Targeting flow.
        • Use Case: Conversational ATS customers. Integrated ATS customers won't use this because candidates are typically only created within the integrated ATS, but it can be helpful while testing, as you can skip the Chat to Apply feature.
      • Allow Basic Authentication – This will allow other APIs to access the public API corresponding to the current account and any custom endpoints in said account using only the Account ID and Secret Key. If this remains disabled, then the account will only accept JWT tokens for authentication.
      • Watcher Mode – This allows users to receive notifications about candidates that they have specifically interacted with at some point in the hiring process. Watcher Alerts serve as a type of “filter” on top of existing alerts to ensure users only receive the alerts that they are interested in for relevant candidates. NOTE: Users can still be manually added as watchers from the Candidate Profile's More menu.
        • Add watch only filtering to Smart Alerts – This will display when Watcher Mode is enabled and allows users to set Watcher Alerts for Smart Alerts in Alert Management. This is beneficial for the use case when a candidate says a specific word, like “help," that your team would want to be alerted to and address.
      • Calculate Location Timezone from Address – The system will automatically determine the location's time zone from the location's address, city, state, and zip code for all locations added manually or via a location feed.
        • Note: If a time zone value is manually set or imported via feed, then that value will be stored and not updated automatically.
      • Verification Code Primary Contact Method – This allows candidates to only be sent two-factor authentication (2FA) via their primary contact method. This applies to SMS, Email, and WhatsApp.
      • Candidate SMS communication hours – This allows you to set the time frame in which SMS and WhatsApp communications are sent to the candidate in the time zone detected for the candidate. When enabled, update the business hours and time frame in which these communications can be sent. 
        • Note: This does not impact interview reminders, but it does impact the following product communications:
          • Scheduling (new interview invites, reschedules, cancelations, and updated interview invites) 
          • Conversation reminders
          • Workflows
          • Offers
          • Candidate Journey communications > Forms
          • Surveys
        • Candidate Email communication hours – This allows you to set the time frame in which email communications are sent to the candidate in the time zone detected for the candidate. When enabled, update the business hours and time frame in which these communications can be sent. 
          • Note: This does not impact interview reminders, but it does impact the following product communications:
            • Scheduling (new interview invites, reschedules, cancelations, and updated interview invites) 
            • Conversation reminders
            • Workflows
            • Offers
            • Candidate Journey communications > Forms
            • Surveys
